To convert a CSV to vCard without mangling names, check two separate things: whether the text is decoded with the right character encoding, and whether each CSV column is mapped to the right vCard name field. Use a CSV-aware parser, preserve the source file, create the vCard version your destination supports, and inspect a small sample in the receiving app before importing the full list. For vCard 4.0, the character encoding must be UTF-8.
Why names go wrong during conversion
A contact name may look garbled because its bytes were decoded using the wrong character encoding. Or it may remain readable but appear in the wrong place because the converter mapped columns incorrectly. These are different problems, so check both the text itself and the name fields.

CSV does not define one universal contact schema. A column called Name does not automatically tell a converter whether its contents belong in a given name, family name, or display-name field. The common CSV format also allows quoted values containing commas, double quotes, or line breaks. A converter that simply splits each row at every comma can shift fields and corrupt names or other contact details. RFC 4180 describes the common syntax and notes that implementations differ.
What the vCard version changes
vCard 4.0 requires UTF-8
RFC 6350, the vCard 4.0 specification, requires UTF-8 and does not allow another charset to override it. A vCard 4.0 object must include VERSION:4.0 immediately after BEGIN:VCARD, and it must include an FN property for the formatted name. Its N property stores structured name components: family name, given name, additional names, prefixes, and suffixes.

- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Do not assume every app accepts the same version
Older vCard specifications remain in use, and the official Google Contacts and Outlook instructions do not establish a complete compatibility list for vCard versions across apps. Check the current requirements for the receiving app rather than assuming vCard 4.0 will import everywhere. The encoding rule above applies specifically to vCard 4.0.
How to map names without guessing
If your CSV has separate name columns, map them deliberately to the corresponding structured fields. Google’s contact template separates Name Prefix, First Name, Middle Name, Last Name, Name Suffix, and File. It recommends keeping the template header row so the headings help place information correctly. For vCard 4.0, map the available components into N and set FN to the display name you want users to see. See Google Contacts’ import instructions.

If the CSV contains only a single full-name field, do not assume the last word is always the family name. Name order and structure vary, and the cited standards and platform guidance do not establish a universal splitting rule. Preserve the original full name; use human review or rules specific to the destination if separate components are required.

- Keep an untouched copy of the CSV. Work on a duplicate so you can return to the original if a conversion or encoding change causes problems.
- Inspect the header and the text encoding. Identify what each column contains. If names display incorrectly in Excel, Microsoft’s documented recovery route is to import the source using the encoding that makes the text readable, verify the display, and save it as
CSV UTF-8 (Comma delimited) (*.csv). CSV itself has no universal charset mandate in RFC 4180; the source application and receiving importer affect how its text is decoded. - Map name fields explicitly. Distinguish given, middle or additional, family, prefix, suffix, and formatted display name wherever the source provides them. Do not split a single full name based on an assumed cultural name order.
- Use a CSV-aware parser. Preserve quoted fields, including commas, doubled double quotes, and line breaks. Keep each value associated with its header instead of splitting rows on commas.
- Generate the version required by the destination. For vCard 4.0, encode as UTF-8 and include
VERSION:4.0,FN, and the structuredNcomponents. If the receiving app requires another version, follow its current official documentation. - Preview a small sample in the destination app. Check accented and non-Latin names, name-component placement, punctuation, and other important contact fields before processing the full list.

Google Contacts
Google documents importing both CSV and VCF files and recommends retaining its template header row to help place fields correctly. Its reviewed instructions do not describe the same example-contact preview step that Outlook provides, so inspect the imported sample contacts in the destination before continuing with a large list.

Outlook
Microsoft recommends UTF-8 for Outlook contact CSV imports and provides an example-contact display for checking readability. If the sample text is not readable, cancel instead of proceeding. For Greek, Cyrillic, Arabic, or Japanese text, Microsoft specifically cautions that problems can occur; its guidance is to check the sample and correct the source encoding if needed. These steps describe Outlook’s documented workflow, not how every spreadsheet or contacts app behaves. See Microsoft’s Outlook CSV instructions.

What to check when an import still looks wrong
- Characters are replaced or unreadable: Revisit the source CSV’s encoding and how the destination decodes it. For a vCard 4.0 file, confirm it is UTF-8.
- The name is readable but split incorrectly: Check the CSV-to-vCard column mapping and the destination’s interpretation of structured name fields.
- This contact and later columns are shifted: Check for commas, quotes, or line breaks inside a field and confirm the converter parses CSV quoting rather than splitting on commas.
- The file is rejected or fields disappear: Verify the vCard version and properties against the destination’s current documentation. The Google and Microsoft guidance cited here does not provide a universal version-by-version compatibility matrix.
