To convert a file, identify its current format and the format you need, then use software that explicitly supports that input-to-output conversion. Make a copy first, convert it, and open the result in the app where you plan to use it. Changing a filename extension alone does not convert the file.
What file conversion does—and what it does not do
File conversion changes a file’s representation so another application or device can use it. The right method depends on the exact source format, target format, and intended use. Support is directional: an application that converts one format to another may not support the reverse.

Renaming report.docx to report.pdf, for example, changes only the name. It does not create a PDF. Use an application with documented support for the conversion you need.
How to convert a file safely
- Make a copy. Keep the original untouched so you can retry or recover content if the result differs.
- Identify the actual source and target formats. Check the file’s format in the application that created it, rather than relying only on its filename extension. Decide whether the recipient needs to edit the file or just view it.
- Choose a converter that supports both formats in that direction. Check the application’s documentation. For sensitive files, prefer local software unless you have reviewed an online service’s terms and file-handling practices.
- Set relevant options. Depending on the conversion, options may include PDF page range or image compression, or media codec and quality settings.
- Convert, then inspect the output. Open it in the intended destination application and check the content and features that matter, such as layout, formulas, animations, or embedded media.
- Keep the original. Retain an editable source when future revisions are needed; use a fixed-layout output when recipients only need to view or share the document.
Common conversion jobs
Office documents, text, images, or web pages to PDF
PDF is often suitable when a document is being shared for viewing rather than further editing. The Document Foundation’s Getting Started Guide 26.2 recommends PDF for a document that needs to be shared and will not be modified. This is guidance for that use case, not a rule that every document should be converted to PDF.

LibreOffice Writer, Calc, Impress, and Draw can export documents to PDF. Its guide distinguishes exporting—which creates a PDF without changing the original format—from Save As. Use the export dialog when you need controls such as page range or image compression; the quick, direct PDF route does not include all those controls.
Adobe’s supported-format listing includes common office formats such as DOC/DOCX, XLS/XLSX, and PPT/PPTX, as well as text, image, HTML, OpenDocument, and StarOffice formats as inputs for PDF conversion. It also notes that some older or specialized document formats require their originating application and the Adobe PDF printer. The listing is an Adobe India support page marked last updated 31 August 2026; check the documentation for your region and Acrobat version before relying on support for a particular extension.

Audio or video
For media, check the input container, the codecs inside the file, and the target format. A converter may support a container but not a particular codec, or vice versa. FFmpeg’s official documentation describes the -formats and -codecs options for listing support in a given build. The project’s broad capabilities do not guarantee that every installed FFmpeg build includes every format or codec.
Available media support can also depend on the operating system. The Document Foundation’s audio and video documentation describes dependencies on DirectShow filters on Windows, GStreamer on GNU/Linux, and QuickTime-supported formats on macOS. As a result, a file that works on one computer may not work on another.

Images
Choose an image output according to how you will use it. Consider whether you need transparency or further editing, and balance quality against file size when preparing an image for distribution. Adobe lists common bitmap image formats as inputs for PDF conversion, but that does not establish which image format or quality setting is best for every other purpose. Check the chosen application’s documentation and inspect the converted image.

How to choose a conversion method
- Purpose: Decide whether the file needs to remain editable or is primarily for fixed-layout viewing and sharing.
- Fidelity: Identify what must survive: fonts, layout, formulas, animations, metadata, or embedded media. Conversion can change or omit information. Microsoft notes that some information may be lost when OpenDocument presentations are saved and opened in PowerPoint; see its file-format reference.
- Compatibility: Confirm support for the exact source and target formats in the converter, destination app, operating system, and—where relevant—installed build.
- Controls: Check whether you can set the options the job needs, such as page range or compression for PDFs, or codec and quality for media.
- Privacy: A desktop converter may let you work locally. For an upload-based service, review its terms and handling practices before sending a sensitive file; privacy practices vary and should not be assumed.
What to check when the conversion looks wrong
- The output will not open: Confirm that the converter supports the exact input and output formats, not merely a similar extension. For media, check container and codec support in the installed build.
- Formatting or content changed: Compare the output with the original in the intended destination application. Some conversions do not preserve every feature; retain the original and try a documented alternative or export setting if needed.
- Settings are missing: Check whether the application has a fuller export dialog. In LibreOffice, the direct PDF route omits some controls available in the export dialog.
- A media file works on another computer but not this one: Check the operating system’s media dependencies and the converter’s build-specific format and codec support.
