First check whether your bank lets you download transactions directly as Excel or CSV; that avoids the extra conversion step. If you only have a PDF, convert it to an Excel workbook, compare the extracted transactions with the statement, then save a CSV copy if the software receiving the data requires one. If you cannot select text in the PDF, use OCR-capable software and check the results especially carefully.
Check for a bank download before converting the PDF
Sign in to your bank through its usual website or app and look for a statement or transaction download. Confirm the account and date range, then choose Excel or CSV if either format is offered. Availability depends on the bank and account.

Choose a conversion route based on the PDF
If you can select text
Try selecting a transaction description or amount in the PDF. If you can highlight individual text, use a PDF-to-Excel export or an available spreadsheet import. Adobe’s documented Acrobat route is Export a PDF > Microsoft Excel > Excel Workbook (.xlsx). Adobe also documents importing a PDF in Excel through Data > Get Data > From File > From PDF. Menu labels and availability can vary with the product version.

If the PDF is a scan or image
If you cannot select text, the PDF may contain page images rather than a text layer. Use software with optical character recognition (OCR) to recognize the text before exporting or importing it. OCR results depend on image quality and page layout; recognition is not a guarantee that every transaction will be extracted correctly. Adobe describes OCR as part of its conversion options in its bank-statement guide and PDF-to-Excel guide.

Review the workbook against the original statement
Keep an untouched copy of the PDF. Open the exported workbook and check it page by page rather than assuming the conversion preserved the statement accurately.

- Confirm that dates are interpreted correctly and descriptions have not spilled into adjacent columns.
- Inspect decimal points, currency amounts, and debit or credit signs; a misplaced sign can change the meaning of a transaction.
- Compare balances and totals with the statement where available, and investigate discrepancies using the original PDF.
Adobe recommends reviewing converted data and formatting; comparing transactions and balances with the source is also a practical way to catch extraction errors.

Keep XLSX for review; use CSV when the destination needs it
An Excel workbook (.xlsx) is usually the more useful working copy when you need to review, format, sort, or analyze the converted data. If another application specifically requires CSV, use the spreadsheet’s Save As or export option to create that file from the reviewed workbook.
CSV is plain text for exchanging tabular data. It does not retain multiple workbook sheets, formulas, or rich formatting, so keep the XLSX as your review copy. After saving the CSV, open or preview it in the receiving application and check that columns, dates, and numbers appear as intended. Spreadsheet settings and the destination application can affect how dates and numbers are interpreted.

Match the CSV to the receiving software
There is no universal bank-statement CSV layout. Before importing, check the destination service’s current instructions for required columns and formatting. It may expect particular headers, date conventions, debit and credit fields, or other transaction details. Xero’s import guidance, for example, calls out headers, empty rows, and unnecessary fields as items to check; follow the current requirements of your own accounting or bookkeeping platform: Xero’s bank-statement import guide.
Consider privacy before uploading a statement
Bank statements contain sensitive financial information. Prefer your bank’s own export or a conversion method you trust, and check a provider’s current privacy terms before uploading a statement. Adobe says its online converter processes documents on Adobe servers and describes deletion unless a user signs in and saves the document; that is Adobe’s disclosure about its service, not a guarantee about other conversion sites.
