How to Connect Gemini to Work Apps Safely

Gemini can use connected Workspace apps to find information and, in some cases, create or edit content. Setup depends on your account, activity setting and—at work—administrator approval.

You can connect Gemini to Google Workspace apps such as Gmail, Drive, Docs and Calendar, then ask it to find information or, for some apps, create and edit content. Personal accounts need the same Google account in Gemini and Workspace, with Keep Activity on. Work and school accounts also require an eligible Workspace edition and administrator approval. Before connecting, check your organization’s rules and Google’s disclosures about derived content and human review.

What connecting Gemini to work apps lets it do

Gemini’s Connected Apps let it use selected services as context for your prompts. Depending on the app, account and available features, it may find or summarize information, retrieve items, or create and edit content such as tasks, notes and calendar events. Connected access is not a guarantee that Gemini can search every type of content in a service.

Google’s Workspace connection guide describes limitations for personal accounts: Gemini cannot access comments or images in Docs or Gmail, pictures or videos in Drive, create Drive folders, move Drive content, count Gmail or Drive items, or report storage use. Work-account features can differ. Check the Connected Apps list shown for your account rather than assuming every app or function is available.

Connect Workspace apps with a personal Google account

  1. Sign in to Gemini with the same Google account you use for Gmail, Drive or other Workspace services.
  2. Make sure Keep Activity is on. Google requires it for this Workspace connection.
  3. Start a new conversation. Ask Gemini to use a service by name, such as Gmail, Drive, Docs, Calendar, Tasks or Keep. You can also type @ and select a connected service.
  4. If Gemini prompts you to connect the app, follow the on-screen steps and review the access requested.
  5. Ask a focused question or give a specific task. You do not need to name the service again in follow-up prompts within that same conversation, according to Google’s guide.

Google lists finding and summarizing information from Gmail, Docs and Drive; retrieving and managing Tasks; creating and retrieving Keep notes and lists; and creating or managing Calendar events. Features can vary, so confirm what Gemini offers in your account. To revoke access later, manage the app in Connected Apps settings.

Connect apps with a work or school account

An organization-managed account has additional eligibility and administrator controls. Google says access depends on a qualifying Workspace edition, Keep Activity being on, and the administrator enabling app access. The administrator manages these settings; if a service is missing, ask whether the organization permits it rather than trying to bypass the restriction.

  1. Check with your administrator that your Workspace edition and account are eligible and that Connected Apps are enabled.
  2. In Gemini, start a new conversation and mention the app you want to use, or type @ to choose from the apps available to you.
  3. Complete any connection prompt shown by Gemini, following your organization’s policy and any required approval.
  4. For each new conversation, explicitly request the connected service. Follow-up prompts in that conversation need not repeat the app selection.

Google’s work and school account guidance lists Gmail, Calendar, Chat, Docs, Drive, Keep and Tasks among supported examples. It also describes Classroom access subject to English-language and administrator age-designation conditions, and mentions GitHub repository attachment. These examples are not a promise that each feature is enabled for every organization, account, location or language.

Understand what Google says about data use

Google distinguishes using source content to respond from using information derived from that content. Its Connected Apps personalization guidance says Gemini does not train generative models directly on a user’s Gmail inbox, Drive, Contacts, Calendar or Google Photos imagery and audio. It also says summaries, excerpts, generated media and inferences from relevant content may be used to answer prompts and train models for service improvement. When source material is short or especially relevant, a summary may be the email or file itself. With Keep Activity on, prompts, responses, suggestions and information about how responses were generated may also be used.

Google says a subset of Connected Apps data processed by Gemini may be reviewed by human reviewers, including trained service providers, to debug, improve and help keep services safe. That subset can include interactions and summaries, excerpts and inferences from relevant emails and files. Google says it takes steps such as disconnecting reviewed interactions from the Google Account and reducing personal information, subject to stated exceptions. Google’s advice is direct: “Please don’t connect apps to Gemini if they contain personal or confidential information that you wouldn’t want to be used for training generative AI models.” It separately cautions against connecting apps containing confidential information a user would not want a reviewer to see.

These are Google’s published disclosures, not a blanket assurance that confidential content is excluded from every form of processing. Google’s Privacy Hub was identified as updated September 24, 2026, and the Gemini Apps Privacy Notice it references as updated June 29, 2026. Review the current notices and your account’s settings before connecting sensitive material.

Limit exposure before and after connecting

  • Follow your organization’s policy. Ask whether Gemini and the specific app are approved for the kind of work you intend to do.
  • Connect only what you need. Avoid enabling or invoking services that are unrelated to the task.
  • Keep confidential material out if it is not appropriate for this use. Google advises against connecting apps containing personal or confidential information you would not want used for training or seen by a reviewer.
  • Review the sources behind answers. Google warns that Gemini can produce inaccurate or outdated responses, including relying on an older email when a newer one exists. Check the cited sources before acting.
  • Disconnect access when it is no longer appropriate. Use Connected Apps settings to remove the app connection; this is an access control, not deletion of prior Gemini activity.
  • Manage Gemini activity separately. If you want to remove past Gemini Apps Activity, use the activity controls as a separate step. Disconnecting an app or deleting content in the connected service does not itself erase Gemini activity.

Disconnecting is different from deleting activity

Disconnecting a service stops the connected-app relationship; deleting Gemini Apps Activity addresses stored Gemini activity. Neither action should be treated as a substitute for the other. Google also says that changing or deleting information in a connected service may take days to affect the Gemini experience. Its Gemini Apps Privacy Hub and Connected Apps personalization guidance explain these distinctions. Review the relevant settings and notice for your account when you need to manage past interactions.

Availability depends on your account and setup

Which Connected Apps appear can vary by account type, Workspace edition, administrator settings, location, language, device and Gemini app. Google also distinguishes use of public information from access to personal account content: it may automatically use public information from Search, Flights, Hotels, Maps and YouTube, while personal information or content in those services is not accessed without permission.
