Connect only the account and capabilities needed for the task. Before approving access, check which assistant and source account you are authorizing, what data or actions it can reach, whether content is fetched live or indexed, and what your organization permits. Start with read-only access where possible, and review any message, event, or other consequential change before it is executed.
What does connecting an AI assistant actually allow?
A connection gives an assistant access through the identity and permissions you authorize; it does not make every account or file available by default. OpenAI says access to connected Google apps depends on the connected Google account’s permissions and workspace settings. Microsoft likewise describes connector results as permission-filtered, and shared or delegated Outlook resources require an account that already has access to them. See the ChatGPT Google app data controls FAQ and Outlook Email and Calendar apps in ChatGPT.

“Connected” can describe different capabilities: searching or summarizing data, syncing or indexing it for retrieval, or allowing the assistant to take actions such as sending an email. Treat these as separate decisions. A permission-filtered result is not a complete privacy safeguard: a person with legitimate access can still ask for sensitive material to be surfaced, copied into another context, or disclosed through a later action.
How to connect an account safely
- Identify both accounts. Confirm which assistant account or workspace you are using and which Google or Microsoft account will provide the data. Authorizing a source account does not necessarily change the assistant account or workspace.
- Get organizational approval first. In a managed workplace, check with the administrator or security team before connecting a service. Microsoft says administrators control available connectors; Google Workspace administrators can restrict OAuth scopes or require approval. Policies and available controls vary by organization. See Microsoft’s guide to Copilot connectors and the OpenAI Google app FAQ.
- Choose the smallest useful capability. Decide whether the task needs email, calendar, or file access, and whether it needs reading only or an action such as creating or sending. Leave unrelated capabilities disabled when controls allow it. Microsoft security guidance says to “Apply least privilege to every component and dependency.” Read Microsoft’s data, privacy, and security planning guidance.
- Inspect the authorization request. Check the app identity, source account, organization or tenant, requested data, and actions before approving. Some enterprise permissions may be bundled or require administrator consent; do not assume the approval screen offers individual scope choices. For the administrator-managed ChatGPT Google Drive setup, OpenAI documents its OAuth scope list in the Google Drive app setup guide.
- Understand the data path. Find out whether the assistant retrieves information live or syncs and indexes it, what retention or personalization controls apply, and whether the organization has relevant audit or retention rules. ChatGPT’s ordinary Google app connection does not automatically create a personal synced index; an eligible administrator-managed Drive indexing setup is a distinct workflow, according to the Google app data controls FAQ.
- Test with a narrow, low-risk request. Ask for a specific recent item and request a source citation or link. For Microsoft connectors, Microsoft recommends naming the source and adding time bounds or ownership context to improve retrieval; see Understand Copilot connectors.
- Review access and cleanup deliberately. Turn off capabilities you no longer need. If disconnecting, also inspect relevant conversations, saved memories, source-side permissions, and organizational retention rules; those controls may be separate.
Should you choose live access or synced indexing?
For Microsoft 365 Copilot connectors, synced and federated setups differ in where content is retrieved from and how it is administered. The choice is an architecture and policy decision, not merely a convenience toggle.

| Consideration | Synced connector | Federated connector |
|---|---|---|
| Data path | External content is indexed into Microsoft Graph. | Content is fetched live without being indexed into Microsoft 365. |
| Access model | May be organization-level or user-level, depending on setup. | User-level in Microsoft’s overview. |
| Administration | Tenant configuration is administrator-configured. Self-serve sync is enabled by an administrator and authenticated by the user. | An administrator enables the connector and users authenticate. |
| What to assess | Whether indexing, sync behavior, and source permission enforcement meet policy. | Whether live retrieval suits the source’s sensitivity and freshness needs. |
| Actions | The connector type alone does not grant action permission. Copilot Chat is read-only by default unless extended with action connectors or plugins. | Microsoft’s overview described federated connectors as read-only and said write actions would be available starting early October 2026. As of October 4, 2026, confirm current availability and behavior in the documentation and your tenant. |
These distinctions are described in Microsoft’s Copilot connectors overview. A synced index changes data location and lifecycle; a live connection avoids indexing content into Microsoft 365 but still retrieves it for use. Evaluate either pattern against your organization’s data-handling rules.
How do you prevent an assistant from sending or changing things?
Keep reading separate from acting. If a task only requires summarizing messages or finding a document, do not enable sending, editing, deleting, approving, or disclosure actions unless they are genuinely needed. Where an action is necessary, set a review point before it takes effect.

- For email, verify the recipient, subject, body, attachments, and whether reply-all or forwarding is appropriate.
- For calendar changes, verify the date, time zone, attendees, title, and event details.
- For files or other records, verify the target, change, and intended audience before saving, sharing, or deleting.
- Use an explicit human confirmation for consequential actions, rather than assuming the assistant’s interpretation is correct.
Google’s Gemini Enterprise instructions provide one example of a review step: the user can edit a draft message or event and then click Send to execute the action. This is a product-specific workflow, not a guarantee that every assistant works the same way; see Google Cloud’s assistant actions documentation.

Why can an email or document be a security risk?
Source content is data to analyze, not authority to override the user’s instructions or the assistant’s safeguards. An email or document may contain malicious instructions intended to manipulate an AI system. Microsoft warns that untrusted data can influence an agent and may even lead to custom actions being invoked. Its security guidance also notes: “All of this data might influence the behavior of the system, and such processing comes with security risks.” See Microsoft’s security planning guidance.

Restrict available tools and require confirmation before side effects. This reduces the chance that hostile or misleading content will trigger an unwanted action, but it does not make a connection risk-free: the assistant can still return information to an authorized user or expose it through a permitted downstream action.

Google apps: Gmail, Calendar, and Drive
For ChatGPT’s Google app connections, the connected account’s permissions and workspace settings shape access. Administrators should review enabled actions and OAuth scopes. Disconnecting the app does not automatically delete prior chats or saved memories, so treat app disconnection, conversation deletion, and memory controls as separate settings. See the Google app data controls FAQ.

Outlook Email and Calendar
ChatGPT’s Outlook access and actions depend on the account’s permissions, Microsoft Entra consent, workspace settings, and selected app. Shared mailboxes or calendars require connecting an account that already has permission to access them. A connection may involve both organization-level consent and individual account authorization; the applicable steps depend on the organization and current product configuration. Details are in OpenAI’s Outlook Email and Calendar app guidance.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesWhat to check if results are missing or access is blocked
- Confirm you connected the intended source account and that it has access to the requested message, calendar, or file.
- Check whether the assistant workspace or administrator has enabled the app or connector and the specific capability you need.
- For shared or delegated Outlook resources, verify access for the account actually connected to ChatGPT.
- In a managed organization, ask whether administrator consent, OAuth-scope approval, or connector enablement is still required.
- Make retrieval requests more specific by naming the source and narrowing the date range or ownership context; ask for a citation or link so you can verify the result.
Connector controls, action availability, and authorization screens can vary by assistant, account type, geography, plan, workspace policy, and rollout. Use the current documentation for your product and inspect the authorization request you actually receive rather than treating another product’s steps as universal.
