Set up SPF, DKIM, and DMARC in stages: inventory every service that sends email for your domain, publish the services’ authentication records, then monitor DMARC reports before enforcing a failure policy. The order matters: an incomplete SPF record or misaligned DKIM signature can disrupt legitimate mail when you move to quarantine or reject.
What SPF, DKIM, and DMARC each do
These mechanisms check different parts of an email’s domain identity. SPF authorizes sending infrastructure for an SPF identity; DKIM lets a sending system sign a message with a domain-linked cryptographic signature; DMARC checks whether a passing SPF or DKIM identity aligns with the domain in the visible From address. DMARC also lets a domain owner publish a requested handling policy for messages that fail and request aggregate reports.

| Mechanism | What it checks | Where it is configured | Role in DMARC |
|---|---|---|---|
| SPF | Whether sending infrastructure is authorized for an SPF identity | A DNS TXT record | A passing SPF identity can satisfy DMARC only if it aligns with the visible From domain. |
| DKIM | A cryptographic signature associated with a signing domain | The sending system and a selector public key in DNS | A passing DKIM signing domain can satisfy DMARC only if it aligns. |
| DMARC | Whether a passing SPF or DKIM identity aligns with the visible From domain | A DNS TXT record at _dmarc |
Communicates the domain owner’s requested failure handling and can request reports. |
For DMARC, a message passes when SPF or DKIM passes and at least one passing identifier aligns with the Author Domain—the domain in the visible From header. Relaxed alignment allows identifiers to share an organizational domain; strict alignment requires an exact domain match. RFC 9989 says relaxed alignment has been sufficient in practice for nearly all domain owners (RFC 9989).

The standards validate domain use, not message quality.

Before changing DNS, inventory every sender
List all systems that send using your domain, not just the mailbox service. Include your website or application, marketing and support platforms, invoicing services, and any other third-party sender. Check each provider’s instructions for the exact DNS values and account-side settings it requires. Google’s sender guidance likewise says to include all senders in SPF and warns that omitted third-party senders are more likely to be marked as spam (Google Email sender guidelines).
- Record each service and the domain it uses in the visible From address.
- Ask each provider for its SPF authorization instructions, DKIM selector and public-key record, and any required signing or verification steps.
- Check the current DNS records before editing. A domain should have one valid SPF policy; do not add a second SPF record just because a new vendor supplied a snippet.
There is no universal SPF string or DKIM selector to copy. The correct values depend on your sending services and DNS host. DNS dashboards may label TXT records differently, so follow the authoritative instructions for your domain and provider.

Publish or correct SPF
SPF is a DNS-published policy that lets a receiver evaluate whether the sending infrastructure is authorized for the relevant SPF identity. For DMARC alignment, the SPF identity that matters is the MAIL FROM domain, not necessarily the visible From address. SPF is specified in RFC 7208.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Review the existing SPF TXT record for the domain and confirm which senders it already authorizes.
- Use each provider’s instructions to add its authorized mechanism to the existing policy, rather than publishing a separate SPF policy for that same domain.
- Check the completed record against the SPF standard’s evaluation constraints and verify it is published at the DNS name the provider specifies.
- Send a real message through each service and inspect its authentication result. Confirm not only that SPF passes, but that the passing MAIL FROM domain aligns with the visible From domain if you expect SPF to satisfy DMARC.
Enable DKIM for each sending service
DKIM uses a signature associated with a signing domain. The receiver checks that signature using the public key published in DNS. A valid signature from an unrelated domain does not authenticate the visible From domain for DMARC; the signing domain must align. DKIM is specified in RFC 6376.

- In each sending platform, obtain its DKIM selector and the exact public-key DNS record it provides.
- Publish the record under the selector name requested by that platform.
- Enable DKIM signing in the platform after DNS is published, following its verification process.
- Send a test message from that service and check that the signature verifies and the signing domain aligns with the visible From domain.
Google’s sender guidance says personal Gmail delivery requires DKIM keys of at least 1024 bits and recommends 2048-bit keys when supported. These are Google-specific requirements and recommendations, not a universal promise about every receiver’s policy (Google Email sender guidelines).
Publish DMARC in monitoring mode
DMARC is published as a TXT record at the _dmarc DNS name for the domain. For example, the record name for example.com is _dmarc.example.com. Start with a monitoring policy such as p=none, and specify an aggregate-report destination that you control. Use the syntax and options described in RFC 9989; do not treat a generic example as a finished record for your domain.

p=none requests monitoring rather than enforcement. It does not instruct receivers to quarantine or reject failures. Aggregate reports show messages claiming to use your domain and summarize authentication results; they can reveal legitimate senders you had not inventoried. RFC 9989 states that proper consumption and analysis of aggregate reports is essential to a successful DMARC deployment (RFC 9989). Aggregate reporting is also specified in RFC 9990.

Review reports before moving to enforcement
Do not raise the policy merely because SPF and DKIM records are present. Review real mail flows and reports to determine whether each expected service appears, whether SPF or DKIM passes, and whether at least one passing identifier aligns with the visible From domain.
- Expected service missing: Check whether it uses another From domain, whether the report period includes its mail, and whether its DNS or signing setup is complete.
- SPF passes but DMARC fails: Check the MAIL FROM domain’s alignment with the visible From domain. A pass for an unaligned domain does not satisfy DMARC.
- DKIM passes but DMARC fails: Check the signing domain. A valid signature from a domain that does not align is insufficient.
- Forwarded mail or mailing-list traffic fails: Investigate the forwarding or list behavior and its effect on SPF and DKIM before treating a failure as malicious. Do not assume every failing result indicates an unauthorized sender.
- Unknown source appears: Determine whether it is a forgotten legitimate service or an unauthorized use of the domain before changing policy.
Raise the DMARC policy deliberately
Once legitimate sending streams are accounted for and reports show stable authentication and alignment, consider moving from monitoring to quarantine and then, if appropriate, reject. Quarantine and reject request progressively stronger handling for messages that fail DMARC; they do not guarantee a particular receiver’s action or a specific delivery outcome. Make changes deliberately and continue reviewing reports after each policy change.
Google recommends SPF, DKIM, and DMARC for sending domains and says bulk senders must use all three. Its guidance also says the DMARC policy requirement can be set to none; that is Google’s stated requirement, not a general statement that monitoring enforces protection (Google Email sender guidelines).
Which standards describe the current setup?
RFC 9989 is the current DMARC specification and supersedes RFC 7489 and RFC 9091. Use it alongside RFC 7208 for SPF and RFC 6376 for DKIM; RFC 9990 specifies aggregate reporting. Provider-specific DNS values and dashboard steps remain dependent on the sending platform and DNS host.
