How to Compress a Screenshot to 10 MB (Without Making It Hard to Read)

To get a screenshot under a 10 MB upload limit, first check its current size. If it is already below 10 MB, you do not need to change it. If it is larger, make a copy and reduce its pixel dimensions proportionally, or export it in a more compact format the destination accepts. Save the copy, check its actual file size, and inspect small text before uploading. For a strict 10 MB ceiling, aim a little below it rather than trying to land exactly on the limit.

What “compress to 10 MB” means

Most people asking how to compress a screenshot to 10 MB mean “make it no larger than 10 MB,” not “make it exactly 10 MB.” A screenshot already under the destination’s maximum does not need to be enlarged or altered. If the service’s limit is strict, leave some room below the stated maximum: services may display or enforce limits differently, and an image close to the threshold can still fail an upload.

File size and pixel dimensions are related, but they are not the same. Dimensions describe how many pixels the image contains; file size is how much storage the saved file takes. Reducing the dimensions usually reduces file size, but it also removes image detail. Changing format or compression settings can reduce file size while keeping dimensions, but lossy compression may make fine text and thin lines less clear.

Check the screenshot before changing it

Find the saved image and inspect its file size in your operating system’s file manager. Check the image’s dimensions too if you are deciding whether it can be made smaller. If it is under the upload limit, keep it as-is. If it is over, preserve the original and work on a copy so you can return to the unmodified screenshot if the result becomes blurry or the destination rejects the format.

Do not rely only on an editor’s estimate or preview of a new file size. Save the result, then check the actual saved copy. That is the file you will upload, and it is the size that needs to pass the destination’s limit.

Choose the least damaging way to reduce the file

Reduce dimensions proportionally The screenshot has fewer pixels; the image shape stays the same. There are more pixels than the destination or intended display needs. Small text and details remain readable at the size people will view it.

Convert or export in another format Dimensions can stay the same, but the file encoding changes; a lossy format may discard detail. The destination accepts the alternate format and the screenshot must retain its dimensions. Text, icons and thin lines remain clear, and the service accepts the saved format.

For screenshots, text legibility matters more than achieving a particular compression ratio. There is no dependable percentage reduction to expect: results depend on the original image, dimensions, format and settings.

Resize a screenshot on Mac with Preview

  1. Open the screenshot in Preview. If you want to preserve the original, duplicate the file in Finder first and edit the copy.
  2. Choose Tools > Adjust Size.
  3. Reduce the width or height while keeping the proportions linked, so the screenshot does not become stretched or squashed. Preview shows the new size in the dialog.
  4. Apply the change and save the copy. Apple describes the feature this way: “You can resize or rotate an image opened in Preview to fit into a particular spot.” Apple’s Preview guide also covers cropping and resizing.
  5. In Finder, check the saved copy’s file size. Open it in Preview and zoom in on small text, icons and thin lines. If it is still above the limit, reduce the dimensions a little more and repeat the check.

If the screenshot includes margins or content you do not need, cropping can reduce the amount of image content while retaining the resolution of what remains. Crop only what is genuinely unnecessary; do not cut out context that a recipient needs to interpret the image.

Resize on Windows with PowerToys Image Resizer

Microsoft’s Image Resizer utility is part of PowerToys. Once it is installed, use its File Explorer action to resize a copy of the screenshot. Microsoft documents configurable size presets and three resize behaviors in its PowerToys Image Resizer guide.

  1. In File Explorer, select one or more screenshots. Make copies first if you want to keep the originals unchanged.
  2. Right-click the selection and choose Resize with Image Resizer.
  3. Choose a preset or configure dimensions suited to the intended use, then select Fit as the starting behavior for an ordinary screenshot.
  4. Apply the resize and inspect the resulting file. Check its size in File Explorer and zoom in to confirm that the important text remains legible.

Fit scales the image proportionally without cropping, so the whole screenshot remains. Fill scales proportionally but crops as needed to fill the requested dimensions. Stretch fills the requested dimensions by changing the image proportions; that distortion is generally undesirable for screenshots. If you need every edge and do not want distortion, Fit is the appropriate starting choice.

Keep the dimensions and try another format

If the screenshot must retain its current pixel dimensions, try exporting a copy in a format the receiving service accepts. WebP is one option: Google explains that lossy WebP uses predictive coding and provides the cwebp conversion tool for Linux, Windows and macOS in its WebP overview. Conversion does not guarantee a smaller file in every case, so compare the saved result rather than assuming the format will solve the problem.

Lossy compression can soften small characters, icons and one-pixel lines that matter in a screenshot. Compare the converted copy with the original at its ordinary viewing size and zoom in on fine details. Keep the original, and do not use an alternate format unless the destination accepts it. If it does not, use a format it supports and adjust the dimensions or export settings instead.

Use this check-and-adjust loop

  1. Make a copy. Keep the original untouched in case you need its full resolution or quality.
  2. Change one thing at a time. If extra pixels are unnecessary, reduce dimensions first. If they must stay the same, test an accepted alternate format or a lower quality setting in an image editor.
  3. Save the copy. A preview or estimated size is not a substitute for checking the saved output.
  4. Verify the actual file size. Use Finder or File Explorer and compare the result with the specific service’s stated limit.
  5. Inspect the image. Check readability at ordinary viewing size, then zoom in on small text, icons and thin lines.
  6. Adjust in small steps if needed. If the copy remains too large, reduce dimensions or quality a little more, save and check again. Stop once it is safely below the limit and still clear enough for its purpose.

Troubleshooting: why the upload or image may still fail

  • The saved file is still above 10 MB. The change was not large enough, or the editor’s estimate differed from the saved result. Check the actual file in Finder or File Explorer, then reduce dimensions or export settings further in small steps.
  • The screenshot is blurry or text is hard to read. Dimensions or lossy quality were reduced too aggressively. Return to the original and try a less aggressive resize or export setting; compare text and fine lines before using the copy.
  • The image looks stretched. The resize changed the proportions, for example by using Stretch. Recreate the copy with proportions preserved; on PowerToys, use Fit when you want the whole image without cropping.
  • The destination rejects the file even though it is small enough. It may not accept the converted format, or its limit may be different from the one you assumed. Confirm the destination’s accepted formats and stated size limit, then export in an accepted format and verify again.
  • The resized image cuts off content. A crop was applied, or a Fill behavior cropped the edges to fit the requested dimensions. Recreate the copy with Fit or resize without cropping, and inspect the entire screenshot before uploading.
  • A conversion did not make the file smaller. Compression depends on the original file and export settings. Keep the original and try reducing dimensions if doing so will not make the screenshot unusable.

Frequently asked questions

Should I aim for exactly 10 MB?

No. If 10 MB is the maximum, a smaller file is sufficient; there is no benefit to making it exactly that size.

Will converting to WebP always reduce the file size?

No. The outcome depends on the source image and conversion settings. Check the saved file and its appearance instead of assuming conversion will reduce it.

Can I use an online compressor for a private screenshot?

The workflows above run through Preview or PowerToys on your device and avoid uploading the image to a separate compression website. If you choose an online service, consider whether the screenshot contains information you should not share with that service.
