Compression can reduce image quality, and the amount of reduction depends on the PDF and settings. No tool, before-and-after file sizes, or quality results are established for the test named in the original title, so this guide covers documented methods rather than claiming a test outcome.
How to get a PDF under a 2 MB upload limit
First check the portal’s wording: “2 MB” may mean a maximum file size, and the portal’s own stated limit is the one that matters. Compress a copy of the original so you can return to it if the result is too blurry or a document feature no longer works. Then check the copy’s actual size in your file manager and upload only if it satisfies the portal’s limit.

There is no guaranteed amount of reduction. A PDF with large images may respond differently from one that is mostly text, and settings that shrink a file more can affect how it looks. Adobe documents compression levels for its web workflow and more detailed optimization controls in desktop Acrobat; Apple’s Preview offers a file-size reduction filter on Mac. Adobe’s Acrobat workflow documentation describes the desktop and web options.

Choose a compression method

Compress with Acrobat on the web
- Sign in to Acrobat on the web.
- Choose Convert > Compress a PDF.
- Select a compression level and run compression.
- Download the compressed file from Adobe cloud storage, then check the downloaded copy’s size and appearance.
Adobe’s Help Center describes three compression levels and says optimization can compress images and remove unnecessary items. The precise effect depends on the file and selected level. See Adobe’s web compression instructions.

Use Acrobat desktop for more control
For a one-off attempt, use Acrobat’s compression option. If you need finer control, Adobe documents an Advanced Optimization path in Acrobat Pro, Premium, or Studio on desktop, with settings for images, fonts, and transparency. Review those settings carefully: lowering image quality may make scanned pages or diagrams harder to read. The Acrobat compression guide describes the desktop routes.
Reduce file size in Preview on Mac
- Open the PDF in Preview.
- Choose File > Export.
- Choose Reduce File Size from the Quartz Filter menu and save a separate copy.
Preview is a Mac-specific option. Apple also describes image-related export options, including optimizing images for screen viewing or saving images as JPEG. Its warning is direct: “When compressed, the PDF may be of lower quality than the original. The resulting file size and image quality may vary depending on the options you select.” See Apple’s Preview instructions.

Check the compressed PDF before uploading
A smaller file size alone does not show that the document is still fit for its purpose. Open the saved copy and inspect representative pages at normal viewing size, especially pages with small print, tables, signatures, or detailed images. Confirm that text is legible and that required document features, such as searchable text or form fields, still work. If quality is unacceptable, return to the original and try a less aggressive setting or another method.

- Use the portal’s stated threshold as the check; do not assume every system interprets “MB” identically.
- Keep the original unchanged until the upload is accepted.
- If the file remains over the limit, try another documented setting or workflow and check the new output again.
When automation makes sense
For a single upload, a desktop app or Preview is usually more direct than building a software workflow. For an application that processes many PDFs, Adobe’s PDF Services API materials describe compression levels and assessing file size before compression. That is a developer-oriented option, not a necessary step for an ordinary one-off upload; see Adobe’s PDF Services API compression documentation.
