Compare mortgage servicers by checking how they handle payments, escrow, account records, customer support and corrections—not by assuming the lender or loan owner will always service the loan. A servicing transfer generally changes who administers the mortgage, not the loan’s contractual terms. Before refinancing, ask who is expected to service the new loan and whether that assignment could change.
Know which company does what
The mortgage servicer manages the loan day to day: it collects principal, interest and any escrow payments, sends statements, tracks balances and handles related account matters. The lender is the company that made the loan; the loan owner holds the debt. Those roles can belong to different companies, and a servicer may change after origination.

A loan sale and a servicing transfer are separate events. A loan can be sold while the same company continues servicing it. Conversely, servicing can transfer without changing the loan’s other terms. The CFPB’s official model transfer notice puts it plainly: “Nothing else about your mortgage loan will change.” That statement concerns a transfer of servicing; it does not mean every loan-owner transfer is the same event.
Compare the servicing experience on practical criteria
Use the same questions for each company you are considering. These checks help you understand how account administration works; they do not produce a universal score or guarantee future service quality.

Payment handling
- Which payment methods are available, and what cutoff or processing expectations apply?
- How do you set up autopay, and how are partial or extra payments shown on the account?
- Where should payments be sent, and what account setup steps are required?
Use the address and instructions in official account notices. After a transfer, update bank bill-pay details and review the next statement to confirm that payments were credited correctly.
Escrow administration
- Does the account collect property taxes, insurance premiums, or both?
- How are escrow statements, shortages and disbursement questions handled?
- How can you check whether tax and insurance payments were sent on time?
Escrow handling is part of servicing when the account collects those funds. Ask how to raise a question if a tax or insurance payment appears delayed or incorrect.

Statements and account records
Check how you can access statements, payment history, balances and payoff information. In applicable cases, federal servicing rules require a written mortgage statement each billing cycle with specified information. Ask how to retrieve records if online access is unavailable or an account detail needs verification.

Public complaint patterns and authorization
The CFPB complaint database lets you review complaint narratives and company responses. Look for recurring issues relevant to your priorities, but do not treat complaint totals as a direct quality score: consider company size or market share, database coverage and the fact that not every complaint is published or handled in the same way.
Use NMLS Consumer Access to check authorization information for participating companies and professionals. Search the legal company name and relevant state. NMLS coverage varies by state agency and license type, and its information is updated on business days; if an entry is missing or unclear, confirm with the state regulator.

Questions to ask before refinancing
Compare the refinance’s interest rate, fees and contractual terms separately from the servicing experience. Then ask the lender:
- Which company is expected to service the new loan after closing?
- Will the lender retain servicing or transfer it, and what could cause the assignment to change?
- Where will the servicing arrangement be described in the offer or loan documents?
The lender and servicer may be different, and servicing can change. The available CFPB guidance does not establish that a borrower can select or guarantee a particular servicer, so treat any assurance as specific to the offer and documents rather than permanent.

What to do when servicing transfers
For covered transfers, the old servicer generally must send notice at least 15 days before the effective date, and the new servicer generally must send notice no more than 15 days afterward. They may instead send one combined notice at least 15 days before the effective date. The rule includes specified exceptions, including certain transfers preceded by insolvency or regulatory proceedings. The notice should give the effective date, contact information for both companies, and the dates when the old servicer stops and the new servicer starts accepting payments.
- Read the notice. Record the effective date, new contact details and payment-routing dates.
- Redirect payments. Follow the new instructions for subsequent payments. If paying by mail, allow for mailing time.
- Update bank bill pay or autopay. Change any payment instruction that sends money to the old servicer.
- Check the new account and statement. Confirm that payment history, balance and escrow information transferred as expected.
For 60 days from the effective transfer date, the new servicer cannot impose a late fee or treat a payment as late when you sent it to the old servicer on time or within the grace period. This protection applies to qualifying payments mistakenly sent to the former servicer; it is not a reason to disregard the notice or keep using outdated payment instructions.
If a payment or account record looks wrong
Keep statements, payment confirmations and the transfer notice. Contact the servicer using its designated written notice-of-error or request-for-information channel, and retain a copy of what you send. If the issue involves the handoff—for example, a payment sent to the old company or an escrow record that did not carry over—the CFPB advises contacting both the old and new servicers. Their response duties and timing are subject to the applicable rules and circumstances.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsHow to reach a fair comparison
For two or more servicers, compare the same evidence for each: payment methods and processing clarity, escrow administration, access to statements and records, support and written correction procedures, complaint themes in context, and applicable state authorization. The CFPB and NMLS resources can help with parts of that review, but they do not provide a comprehensive ranking of mortgage servicers by service quality. Treat the comparison as a way to identify fit and questions to resolve—not as proof that one company will necessarily perform better.
