Clean scraped data by preserving the original extract, checking how it was parsed, profiling values before changing them, applying documented transformations, and validating the result for its intended use. Enrich it only against a suitable reference source, and review uncertain matches rather than treating automated suggestions as facts. A repeatable workflow keeps the output useful without losing track of where its values came from.
1. Preserve the raw extract and record its origin
Keep downloaded files or API responses unchanged as read-only inputs. Work on copies so you can compare the cleaned output with the original and recover from destructive edits.

Record the retrieval date, source page or endpoint, query or scrape configuration, and a batch identifier in a manifest or dedicated source columns. These details help trace values later, but a filename or URL alone is not complete provenance. When importing multiple files into OpenRefine, its importer can retain source file names or URLs.
2. Import the data and check the parse
Choose a parser based on the file’s contents, not just its extension. Before editing, inspect the import preview for headers, delimiters, row boundaries, unexpected columns, and malformed characters. OpenRefine supports formats including CSV and TSV, JSON, XML, spreadsheets, and RDF; extensions can add support for more.
#1 Best Overall
If text appears corrupted, check the character encoding before cleaning it. OpenRefine’s import options include UTF-8, UTF-16, and ASCII. Mojibake can look like source content, so normalizing it as if it were a real value can spread the error.
3. Profile fields before changing values
Use filters, facets, and sorting to understand the data’s actual value patterns. For each field, inspect missing values, inconsistent capitalization, surrounding whitespace, punctuation, date formats, units, repeated records, and values that do not fit the expected type.
Write down the intended rules first. If an operation could discard meaningful detail, keep the source column and create a normalized column beside it. For example, retain the scraped date string while adding a separate parsed date field; this makes mistakes easier to spot and preserves the evidence needed to revise the rule.

Make transformations that serve a defined output schema, rather than changing values for visual neatness alone. Typical operations include trimming whitespace, correcting verified typos, standardizing categories and dates, splitting combined fields, joining fields when the target schema calls for it, and reshaping rows or columns.

OpenRefine’s clustering can surface likely spelling variants, but similar strings do not always refer to the same thing. Inspect proposed clusters and canonical values before applying a broad merge. Keep an edit history where it is safe and useful, or write transformed results to a separate output file. Deleting rows, permanently reordering data, or overwriting source values deserves particular care.
5. Deduplicate using the record’s actual identity
Decide what one row represents before removing duplicates. Use a stable source identifier when one exists. Otherwise, define a candidate key from fields that should identify a record, then inspect collisions to make sure distinct records would not be merged.
Matching names alone is usually insufficient for near-duplicate removal: two entities can have similar names, while one entity may appear under different spellings. Record whether you removed exact duplicates, likely duplicates, or both, and what rule you used.

1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems6. Enrich against a suitable reference
Enrichment should answer a specific need, such as adding an authority identifier or a related property—not simply add more columns. First clean and, where useful, cluster the source values. Typos, whitespace, and extraneous characters can interfere with string matching.
Rank #3
OpenRefine supports reconciliation against external authorities and can add related properties. Its documentation describes reconciliation as semi-automated: matches need human judgment and approval. Review ambiguous candidates, especially when similar names could belong to different people, places, or organizations. Keep unmatched and uncertain records distinguishable from accepted matches.
For accepted matches, retain the authority’s identifier and record the source and retrieval date. Before processing at scale, check the service’s documentation, rate limits or throttling guidance, and terms. A suggested match is not ground truth, and accepting an incorrect match can introduce errors that were not present in the original scrape.
7. Validate for the dataset’s intended use, then export
Set practical acceptance checks based on the destination and the meaning of a row. There is no universal quality threshold for every scraped dataset. Before export, check:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Required fields are present and values have the expected types and formats.
- Any key or uniqueness rules hold, and collisions have been reviewed.
- Row counts and important category distributions have not changed unexpectedly.
- Missing enrichment values and unresolved matches are visible and handled as intended.
- The exported columns and structure match what the receiving system expects.
Export to the format the next system requires. OpenRefine project archives include edits and history, which can help reproduce work. If that history or the original state should not be shared, export only the cleaned dataset rather than distributing the project archive.

Choosing a workflow: visual project or repeatable code
OpenRefine is a visual, local-project option for exploratory cleanup and one-off transformations. A scripted Python workflow may suit jobs that need to run repeatedly and be version-controlled, but the sources cited here do not establish a current library comparison or a complete Python implementation. Choose based on the work, not a blanket claim that one approach is always faster or better.
- Exploratory versus recurring: A visual interface can make it easier to inspect unfamiliar values; repeat jobs benefit from explicit, rerunnable rules.
- Team workflow: The OpenRefine manual says one local project cannot be accessed by multiple people simultaneously. Projects can be exported and imported with edit history.
- Data size and runtime: Establish your own constraints; the documentation cited here does not quantify a universal dataset-size limit or runtime.
- Enrichment needs: Confirm that the authority or service supports the entity types and properties you need.
- Traceability: Prefer a workflow that preserves source values where needed, records transformations, and exports the required schema.
Common problems and how to recover
Characters look garbled
Cause: the file was interpreted with the wrong character encoding. Fix: return to the import preview, try the encoding that matches the source (OpenRefine offers UTF-8, UTF-16, and ASCII), and re-import before transforming the affected text.
Rows or columns appear shifted
Cause: the parser’s delimiter, header setting, or file interpretation does not match the content. Fix: revisit the preview, verify separators and row boundaries, and correct the import settings before editing.
A cleanup rule merges values that should stay separate
Cause: a broad text rule or cluster treated similar strings as equivalent without checking what they represent. Fix: undo or restore from the original extract, inspect the proposed groups, and apply a narrower, documented rule.
Best Value
Duplicate removal deletes valid records
Cause: the chosen key was too broad, such as a name by itself. Fix: restore the prior state, define the intended record grain, use a stable identifier or reviewed combination of fields, and inspect collisions before removing rows.
Enrichment returns ambiguous or unmatched results
Cause: the source value is dirty, the authority has multiple plausible candidates, or no suitable match exists. Fix: normalize the value, review candidate context, retain the authority ID only for approved matches, and leave uncertain or unmatched cases explicitly marked.
The exported file omits useful workflow history
Cause: a data-only export was chosen instead of a project archive. Fix: keep the OpenRefine project archive when edit history is needed and safe to share; otherwise, use a cleaned-data export to avoid exposing project history or original state.
