To remove personal information from a Word document, save a separate copy, run Word’s Document Inspector on that copy, remove only the categories you intend to discard, resolve tracked changes, and inspect the cleaned file again. Document Inspector can remove metadata and hidden review material, but it cannot find every way content may be concealed.
Make a separate copy first
Open the document and save a copy for cleanup before removing anything. Microsoft recommends working on a copy because information removed by Document Inspector may not be recoverable through Undo. Keep the original until you have checked the cleaned version and are sure it contains what you need.

Run Document Inspector
- In the desktop version of Word, open the copy and select File > Info > Check for Issues > Inspect Document.
- Select the categories you want Word to inspect, then choose Inspect.
- Review the findings. Choose Remove All only for categories whose contents you want to remove; removing a category can discard material you still need.
Microsoft documents this route for listed desktop releases, including Word for Microsoft 365 and Word 2021. Menu labels and controls can vary by platform or managed configuration, so this path is not established as universal for Word on the web, Mac, or mobile.

Know what Word can find
Document properties can identify people or reveal context even when that information is not visible in the document body. Microsoft gives examples including author, subject, title, last-saved-by information, and creation date. Document Inspector also checks for several kinds of review and hidden content.

- Comments and review material: comments, tracked-change revision marks, versions, and ink annotations.
- Properties and personal information: document properties and associated details such as usernames, template names, email headers, routing slips, send-for-review information, document-server properties, policy information, content-type information, and data-binding links.
- Document layout and hidden content: headers, footers, watermarks, text formatted with Word’s hidden-text effect, custom XML data, and invisible content.
The categories shown can depend on the document and Word configuration. Read the findings before removing anything, especially if the file needs its comments or revision history for collaboration or record-keeping.
Remove tracked changes deliberately
Turning off Track Changes stops Word from marking new edits; it does not erase revisions already in the document. Hiding markup also leaves the changes in the file. Microsoft states, “Hiding changes doesn’t remove them from the document.” To remove existing revisions, review them and accept or reject each change as appropriate. Do not accept or reject them blindly if you need to preserve the history or evaluate reviewers’ edits.

After removing selected items, run Document Inspector again on the cleaned copy and review its findings. Then check the actual document, including its text, headers, footers, comments, and visible layout, before sharing.

Document Inspector has limits. Its hidden-text check detects text formatted with Word’s hidden font effect, but not text obscured by other methods, such as white text on a white background. Its invisible-content check also cannot detect objects covered by other objects. A clean inspection is useful, but it does not prove that every sensitive detail has been removed.
