Start with the current policy in your publishing agreement, publisher or platform guidance, and any applicable imprint or series rules. Then distinguish a citation that identifies specific AI-generated material from a disclosure that describes broader help, such as editing or research support. The governing policy determines what is permitted, what to disclose, and where it belongs.
First decide whether you need a citation, a disclosure, or both
A citation identifies particular material incorporated into a book—for example, generated text, an image, or another output. A disclosure describes a function the tool performed across the work, such as brainstorming, language editing, translation, or research assistance. Those purposes can overlap: a book may need a citation for a specific generated passage and a separate disclosure of substantial assistance, if the publisher requires both.

Do not assume that a citation makes a prohibited use acceptable, or that a general acknowledgment identifies a particular generated passage well enough. Check the relevant publisher policy and style instructions before choosing the form.

The examples below apply to the organizations and publication contexts named; they are not universal rules for all books. Publisher requirements can differ even when an author follows the same citation style.

A practical workflow for disclosing AI use in a book
- Find the controlling rules. Review your contract, current publisher or platform AI policy, and any series or imprint requirements. Confirm both whether your use is allowed and what disclosure it triggers.
- Keep a private record of the use. Note the tool and model/version if available, when you used it, the task, and how you reviewed or changed its output. APA recommends retaining prompts and, in some cases, output; Elsevier asks for the tool, purpose, and oversight. These are examples of named organizations’ guidance, not a universal requirement to retain prompts or logs.
- Identify specific generated material separately. If you quote, paraphrase, reproduce, or otherwise incorporate an AI output, document that material in the format the applicable publisher or style guide requires. A broader acknowledgment may not identify it sufficiently.
- Put each disclosure where the policy directs. Depending on the governing rules, placement may be in acknowledgments, notes or endnotes, an author note, methods, or a declaration before the references. These locations are not interchangeable defaults.
- Keep authorship and accountability human. Do not list an AI tool as a human author. Verify factual claims, check cited sources against the originals you consulted, and confirm that you have the necessary permissions. Disclosure does not transfer responsibility for the finished book.
Sample wording for a general acknowledgment
After confirming that your publisher accepts the use and does not require different wording or placement, you can adapt a plain-language note such as:
I used [tool and model/version] to assist with [specific task]. I reviewed and revised the resulting material and remain responsible for the final text.

Be specific enough to describe what the tool did. If the publisher requires additional details or a declaration in a particular section, use that requirement instead of treating this example as an approved universal template.
How to cite a specific AI-generated passage
Use the citation system required for your book. In MLA, the entry describes the generated material, treats the AI tool as the container, and includes the model version when possible; do not name the tool as the author. Chicago’s Q&A provides a note example that includes the tool, date, and a URL to a shared conversation when available. Consult the relevant guidance for the exact format rather than combining elements from different styles.
When an AI response points you to books, articles, or other sources, verify those sources and cite the original works you actually consulted. A generated answer is not a substitute for checking the underlying source.
