How to Choose the Right AI Tools for a Small Business

Start with one recurring business task, test AI tools on representative work, and keep a human responsible for checking outputs, costs and data risks.

Choose an AI tool by starting with one specific, recurring business task—not by buying a bundle of features. Test a small number of candidates on real examples, then compare their results, total cost, data handling, workflow fit and the review they require. Keep a person accountable for checking the work before it affects customers or business decisions.

Start with a business task, not a tool category

Write down one task that happens often and takes meaningful time or effort. Be specific: “draft a first version of our weekly product update” is easier to evaluate than “improve marketing.” The U.S. Small Business Administration (SBA) recommends starting small and testing whether AI adds value before expanding its use (SBA: AI for small business; last updated February 14, 2025).

Potential tasks to investigate include analyzing business data, handling repetitive administrative work, summarizing meetings, drafting or adapting business content, brainstorming, and supporting common customer-service questions. These are possible workflows, not guaranteed benefits; performance depends on the task, tool and business context.

Define what a useful result means

Before testing, decide what the tool must produce and how you will judge it. For example, a meeting-summary pilot might need to capture decisions and action items accurately while reducing the time spent writing notes. A content-drafting pilot might be judged on how much editing a staff member must do before publication.

  • Choose representative examples, including ordinary work and less straightforward cases.
  • Record the time and effort the current process takes.
  • Set a quality threshold and name the person who will review each output.
  • Decide in advance what would justify keeping, changing or stopping the pilot.

Run a small pilot before expanding use

Try one candidate tool on the defined task before committing the business to a broader rollout. Use work that reflects the business’s actual terminology, formats and constraints, while removing sensitive information unless the service’s data controls have been checked and approved for that use.

  1. Describe the task. Note who does it, how often it occurs, what information is needed and what a successful result looks like.
  2. Test on representative work. Compare the output with the original material or with the result produced by the existing process.
  3. Have a person review it. Check factual accuracy, completeness, tone and suitability for the intended audience.
  4. Assess the whole workflow. Include setup, prompting, corrections, approvals and any extra steps—not just the time spent generating a response.
  5. Make a keep-or-stop decision. Continue only if the tool provides a worthwhile improvement without creating unacceptable data, quality or trust risks.

The SBA advises that another person review outputs from free AI tools or software used by a small business. A human reviewer should remain responsible for consequential or customer-facing material even when a pilot performs well.

Compare tools against the same criteria

If more than one tool could handle the task, test them on the same examples and compare the factors below. This is a practical selection method based on SBA and NIST guidance, not an official scoring rubric.

Criterion What to check
Task fit Does the tool handle the named task well on representative examples, including the cases that matter most to the business?
Total cost What will the expected use cost, including any required plan, usage charges or connected services? Confirm current terms with the provider; prices and plan details are not established here.
Data handling What business or customer information would be submitted, and are the service’s controls appropriate for that information?
Workflow fit Can the tool fit the existing process, or does it add steps, cleanup or coordination that outweighs the time saved?
Output quality and review How often does it make errors, and can staff reliably find and correct them before the result is used?
Trust and rights Could generated material mislead customers or raise intellectual-property concerns? Who checks it before external use?

Do not treat a polished response as proof that it is accurate. Compare outputs with source documents, records or other appropriate references, and include the reviewer’s correction time when judging whether the tool helps.

Protect business information and customer trust

Before putting information into an AI service, identify whether it includes sensitive, confidential or proprietary details. The SBA warns that data exposure, intellectual-property issues and inaccurate customer-facing content are risks to consider. Avoid submitting information when its handling could expose it, and review generated material before using it externally.

A September 17, 2026 description for the SBA/SC SBDC seminar “Using AI Tools Safely and Effectively” recommends removing sensitive data before use, keeping backups, comparing generated outputs with the original document, and setting boundaries around critical details such as numbers, names, legal terms and business-specific language (SBA/SC SBDC seminar description). These are practical safeguards offered in that seminar description, not a universal legal rule.

For a more structured approach to trustworthiness risks, NIST’s AI Risk Management Framework (AI RMF) is voluntary guidance intended to help organizations incorporate trustworthiness into AI design, development, use and evaluation. NIST says AI RMF 1.0 is being revised, so consult the NIST AI RMF page for its current status rather than assuming the framework is mandatory or unchanged. NIST also provides a small-enterprise introduction to information-security and privacy risk management in SP 1314, published July 2024.

Use adoption statistics as context, not a buying reason

The SBA Office of Advocacy reported on September 24, 2025, that 8.8% of businesses with fewer than 250 employees were using AI in the period its article discusses. It also reported 6.3% for those small businesses six months earlier and 11.1% for large businesses at that earlier point. The figures draw on Census Bureau Business Trends and Outlook Survey data and describe observations from 2025, not current 2026 adoption rates (SBA Office of Advocacy adoption article; research spotlight). They are historical context, not evidence that a particular tool will suit your business.

Decide whether to keep, revise or stop the pilot

At the end of the test, compare the results with the task’s original requirements. Keep the tool only if the output is good enough, the review burden is manageable, the workflow improves overall, and the data and trust risks are acceptable. If it falls short, revise the task or test another candidate; if the underlying task is too sensitive or the output cannot be checked reliably, do not use AI for it.

Expand gradually when a pilot succeeds. Add one workflow at a time, define who reviews results, and revisit the decision if the tool, its terms or the information being processed changes.
