Choose ERP software by starting with the business outcomes and workflows you need, then compare a shortlist against requirements gathered from every team that will use it. Test candidates with realistic demonstrations, compare the full cost of implementation and ongoing ownership, and assess the implementation partner separately from the software. The best ERP depends on your industry, processes, growth plans, budget, and existing systems—not a universal brand ranking.
1. Define what the business needs to change
Begin with the reason you are considering ERP: for example, disconnected systems, slow reporting, manual work, or processes that no longer accommodate growth. Describe how the business operates today before writing a feature wish list.

- Map the important workflows and the systems they rely on.
- Record pain points, transaction volumes, process complexity, and the outcomes you want from a new system.
- Identify what already works and should be preserved, including workflows that are distinctive to your business.
- Separate problems an ERP must solve from problems that may have another cause or solution.
This gives vendors a business context for their proposals and helps keep the selection focused. SAP’s ERP evaluation guide and Rand Group’s selection checklist both emphasize grounding evaluation in the organization’s processes and needs.

2. Gather and rank requirements across teams
Involve the functions that will use or depend on the ERP, such as finance, operations, sales, purchasing, IT, and leadership. A system selected around one department’s priorities can leave others relying on separate tools. SAP warns that an RFP without stakeholder input can result in an ERP that serves only some business functions, leaving other areas to invest in standalone systems.
#1 Best Overall
Translate requests into business requirements, then rank each as a must-have, important, or optional. Include more than core modules:
- Functional and industry fit for the workflows you mapped.
- Reporting, data access, and decision-making needs.
- Security requirements and technical environment.
- Integrations with systems you will retain.
- Usability, training, and adoption considerations.
- Configuration options and any likely need for customization.
- Expected growth in transactions, users, locations, entities, and process complexity.
Weight requirements according to your goals. A generic ranking cannot represent every company’s trade-offs; the criteria that matter most depend on your operating model and priorities. Deloitte’s ERP selection criteria and Rand Group’s checklist offer additional evaluation dimensions.

3. Build a shortlist and compare candidates consistently
Use the same requirements and scoring method for each candidate. A weighted scorecard helps make trade-offs visible and reduces the risk of choosing based on brand familiarity or one impressive feature. Keep software fit and implementation-partner fit as separate scores: a capable product does not by itself establish that a particular partner can deliver your project well.
For each finalist, ask for evidence against the same priority workflows and requirements. Record what is available in the product now, what requires configuration or customization, what depends on an integration, and what is only a roadmap promise. Investigate important gaps and proposed workarounds rather than treating them as minor details.
Rank #3
Make demonstrations reflect real work
Give each finalist representative scenarios from your business, including the handoffs between teams and systems. Ask vendors to show how the workflows operate from beginning to end, how exceptions are handled, and what information is available for reporting. A demonstration that shows isolated features may not establish that the system fits your actual process.
Verify the partner and delivery proposal
Check references relevant to your industry, scale, and project needs. Clarify responsibilities, assumptions, exclusions, migration and integration scope, support arrangements, and contract terms. If internal capacity is limited or processes and migration are complex, selection or implementation consulting may help; check the adviser’s independence, relevant experience, references, and defined responsibilities.

4. Compare total cost across the ERP lifecycle
Do not compare candidates using only the initial license or subscription quote. Ask for a cost view that covers implementation and continued ownership, including:
Recommended Free Tools
- Software licensing or subscription.
- Implementation services and project management.
- Data cleansing and migration.
- Integrations and any customization.
- Training, support, and ongoing operations.
Compare those costs with the outcomes the project is expected to deliver, such as better performance, service, productivity, or reporting. Ensure proposals state what is included and excluded; an advertised software price does not establish the total project cost. Deloitte attributes a 16.3-month technology purchasing cycle to a Gartner study, but the year is not stated on Deloitte’s page. That figure is general technology-buying context, not an ERP-specific selection timeline or implementation duration.

5. Test whether each option can grow with the business
Ask vendors how their proposed solution would accommodate expected transaction and data growth, additional locations or entities, evolving processes, and future integration needs. Consider product direction and support alongside present-day fit, but distinguish verifiable current capability from future plans.
Before deciding, confirm that the proposed features, integrations, support scope, partner capacity, responsibilities, and contract assumptions match the offer you will actually buy. Product capabilities, pricing, integrations, and roadmaps can change, so check them with the vendor and partner during selection.
A practical final decision check
Before choosing, make sure your decision is supported by consistent evidence rather than a single demonstration or a broad promise. Your comparison should show:
- How well each option meets ranked business requirements and industry workflows.
- What it will take to integrate with existing systems and meet data and reporting needs.
- Where configuration is sufficient and where customization or workarounds are proposed.
- Whether users can adopt the system with realistic training and support.
- How the software and its delivery partner score independently.
- The expected lifecycle cost, project assumptions, risks, and contract terms.
- How the solution addresses the business’s stated growth plans.
