To make local Word, Excel, and PowerPoint files open in the desktop apps on Windows, go to Settings > Apps > Default apps, search for each file extension, and select the installed app you want. Set each file type separately. If a file opens from a OneDrive or SharePoint link in a browser, check Microsoft 365’s separate Desktop or Browser preference instead: that setting does not change Windows file associations.
The first thing to establish is whether you are opening a file stored on your device or following a link to a file stored online. The same-looking Word or Excel file can open differently depending on that route. The steps below help you choose the right setting, cover the common and macro-enabled extensions, and troubleshoot without changing a file’s name or buying software just to adjust a Windows default.

First identify how you are opening the file
The right setting depends on both the file’s location and how you open it. A file opened from File Explorer uses a Windows file association. An eligible link to a file hosted on OneDrive or SharePoint may instead follow a Microsoft 365 preference for opening in a desktop app or browser. These settings control different situations, so changing one may not affect the other.

| An eligible OneDrive or SharePoint file link in a documented Microsoft 365 scenario | The Microsoft 365 Desktop or Browser opening preference | Confirm the link points to a file on OneDrive or SharePoint and that you are signed in. |
| A supported OneDrive or SharePoint link opened from Office apps or classic Outlook on a managed work device | A possible administrator-configured Group Policy, separate from Windows file associations | Ask whether a policy applies if local-file associations are already correct. |
A browser opening by itself does not show that the Windows association is wrong. Check whether you opened a local file or a cloud link before changing settings. A useful comparison is to open the file itself from File Explorer and then separately test the link. If the local file launches in the app you expect but a link opens in a browser, focus on the cloud-link preference and eligibility rather than repeatedly changing Windows defaults.

Set the Windows default for Word, Excel, and PowerPoint files
Windows can assign a default app by file type or by application. Setting the extension is the direct method when you want a particular kind of file to open in a particular installed app. It is also the clearer way to check exactly which formats will use that app: selecting a preferred Word application does not necessarily change every Word-related file type in one action.
- Open Settings > Apps > Default apps.
- Search for the extension you want to change, such as
.docx. Include the period when searching for the file type. - Select the current app association shown for that extension.
- Choose the installed app you want Windows to use for that file type.
- Repeat the process for the other extensions you use, then open a file from File Explorer to check the result.
The familiar modern Office formats are .docx for Word documents, .xlsx for Excel workbooks, and .pptx for PowerPoint presentations. Set each independently; changing one does not set the others. For instance, you can assign .docx to one installed app and leave .xlsx and .pptx associated with their existing apps. The setting is per file type, so choose deliberately for every format you regularly open.
Interface wording and the available choices can vary by Windows build, installed apps, and organization management. A setting can only point to an app that is installed and offered by Windows for that file type. If the app you want does not appear, first confirm that it is installed; do not change the extension of the file to try to force another app to open it.
Common extensions and what to set
| File type | Extension | What to do |
|---|---|---|
| Word document | .docx |
Choose the app you want for Word documents. |
| Excel workbook | .xlsx |
Choose the app you want for Excel workbooks. |
| PowerPoint presentation | .pptx |
Choose the app you want for PowerPoint presentations. |
If you regularly open other Office file types, search for and set those extensions too. Older or macro-enabled formats can have separate associations; do not assume that changing the three common extensions covers every document you use. Windows uses extensions as file-type clues, and Microsoft identifies these three as the common modern formats in its file-format reference. That identification helps distinguish a document, workbook, and presentation; it does not mean they share a single default setting.
Set macro-enabled files separately
Macro-enabled Office formats use different extensions from the common macro-free x formats. Microsoft identifies .docm, .xlsm, and .pptm as formats that can contain VBA macros. The corresponding .docx, .xlsx, and .pptx formats cannot contain VBA or XLM macros.
| Application | Common macro-free extension | Macro-enabled extension |
|---|---|---|
| Word | .docx |
.docm |
| Excel | .xlsx |
.xlsm |
| PowerPoint | .pptx |
.pptm |
If you work with macro-enabled documents, search for their extensions in Default apps and choose an app for each one you need. Setting the standard extension does not automatically set its macro-enabled counterpart. For example, assigning .xlsx to a spreadsheet app says nothing about what Windows will do with an .xlsm workbook. If you use both formats, check both associations and test one of each from File Explorer.
This distinction concerns the file format and its ability to contain macros; it does not tell you that every macro-enabled file is safe or that an app will run a macro. The practical default-app task is narrower: match the extension you actually use with the installed app you want to launch. Do not treat the three common extensions as a catch-all for files with different suffixes.

Choose Desktop or Browser for eligible cloud-file links
When a Word, Excel, or PowerPoint file hosted on OneDrive or SharePoint opens from a Microsoft 365 link, the opening behavior may be controlled by an Office preference rather than Windows. In the eligible scenarios Microsoft documents, the preference lets you choose Desktop or Browser. It applies across the named Office apps and Outlook in those documented scenarios; a one-time Open with choice can override the default for an individual link.
Think of this as a choice about where an eligible cloud link opens, not a replacement for the extension-specific setting in Windows. Choosing Desktop for supported links does not change which app launches when you double-click a local .docx file in File Explorer. Likewise, changing the Windows association will not necessarily change a link opened from Outlook, Teams, or another environment.
The cloud-link choice has limits. Microsoft lists unsupported or ineligible cases, including when you are not signed into Microsoft 365, the file is not hosted on OneDrive or SharePoint, or the link comes from an unsupported app or environment. The desktop apps also need to be installed for a desktop-app workflow. Thus, if a link keeps opening in a browser, first check the account, host, originating app or environment, and installation status. A missing or ineffective preference does not by itself mean that the Windows default for the file type is broken.
- If a local file from File Explorer opens in the wrong app, change its Windows association.
- If a OneDrive or SharePoint link opens in a browser, check the Microsoft 365 Desktop or Browser preference and whether the link scenario is eligible.
- If the preference is missing or has no effect, check the signed-in account, file host, app or environment that supplied the link, and desktop-app installation.
When troubleshooting, vary one thing at a time. Test a local file and an eligible cloud link separately, and note how each was opened. If only the link behaves differently, repeatedly assigning the same extension in Default apps is unlikely to address the setting that controls the link. If the local file is also wrong, check its exact extension and association independently.

If only one file needs to open in a different app, use File Explorer’s one-time option rather than changing the association for every file of that type.
- Right-click the file in File Explorer.
- Select Open with > Choose another app.
- Select an installed app to open that file.
Use this when you want to inspect a particular document in another installed app but generally want to keep your existing default. Windows may offer other installed apps in this chooser. The one-time path is also a useful diagnostic: if the app you want is not offered there, confirm that it is installed before looking for it as a default choice.
For a cloud link, a one-time Open with action may similarly override the usual choice for that link. That action is distinct from setting a persistent Desktop or Browser preference. A one-time selection is useful when you need another app for a specific file but want to leave the general default unchanged. If you want the same behavior for every file of a type, use Default apps rather than relying on a one-time choice each time.

Confirm the file extension before troubleshooting
Windows uses a file’s extension to identify its type and choose an app. If File Explorer hides extensions, enable them through View > Show > File name extensions. Then inspect the end of the filename before searching for the association. A filename’s visible description or icon may not tell you whether it is a standard, macro-enabled, older, or different office format.
For example, a workbook ending in .xlsm is not the same extension as one ending in .xlsx; changing the .xlsx association alone will not establish the .xlsm default. Similarly, a PowerPoint file with an .odp extension is a different format from a .pptx presentation. Identifying the actual suffix before changing settings avoids troubleshooting the wrong file type.
Renaming an extension does not convert the contents of a file. Changing a filename’s ending to another Office extension is not a repair and does not make the file a valid document of that format. Use the correct association for the actual file type instead. If the extension has been hidden, reveal it and check the existing suffix; do not rename the file simply to make another app appear to recognize it.
What to expect when using another office suite
Choosing another installed suite as the default changes which app Windows launches; it does not guarantee that every Office feature will be preserved when the file is opened or saved. Microsoft’s file-format reference identifies .docx, .xlsx, and .pptx as default XML-based formats for the Office versions listed in that reference. Compatibility depends on the app and format, so choosing a default and preserving all formatting or file information are separate questions.
Microsoft’s format guidance says Word can open .odt files in the Office versions it lists, but formatting may be lost when saving and opening in that format. It also says PowerPoint can open .odp files, though some information may be lost when saving and opening. These notes are reasons not to promise complete feature fidelity when selecting a different office suite or working with an OpenDocument format. They are not a reason to expect the Windows association procedure itself to convert a file.
Before making a different suite the default for many files, consider what you actually need: the app that should launch, whether the format is one the app supports, and whether any possible formatting or information loss matters for your work. The available format guidance is scoped to the Office versions it lists and does not guarantee that every third-party suite preserves every feature. If a particular format matters to you, test a representative copy in the intended app rather than assuming that an association change settles compatibility.
When a work-device policy may be involved
Organizations can configure a Windows Group Policy that prefers desktop apps for specified OneDrive and SharePoint links opened from Office apps and classic Outlook. That administrative policy concerns supported cloud links; it does not replace the Windows association for local file types and is separate from a SharePoint site setting.

If a supported cloud link behaves differently on a managed device, ask the administrator whether such a policy applies. A policy is relevant to its documented cloud-link scenarios, not a general explanation for every local file that opens in the wrong app. For a local file from File Explorer, start with Default apps and the file extension. For a browser opening from a link, establish whether the link is eligible and whether a policy may govern that environment.
On organization-managed devices, available choices and behavior may be affected by configuration. If a desired choice is unavailable, an administrator may be able to explain whether the device is managed in a way that affects the setting. Avoid treating a SharePoint site setting, a Windows file association, and the documented Group Policy as interchangeable: each concerns a different part of the opening process.

Microsoft Support describes the Default apps procedure for Windows 10 and Windows 11, but interface labels and app choices can vary across builds and device configurations. Follow the labels present on your PC if they differ slightly from a guide, and search for the extension in the Default apps area rather than relying on a single remembered screen layout.
Windows 10 support ended on October 14, 2025. As of October 2026, it should not be described as a currently supported Windows release. The settings path alone does not restore operating-system support. That status is separate from the task of assigning a file association, and the procedure does not require purchasing a product simply to change the Windows default. If you want to use a particular desktop app, however, that app must be installed and available to Windows.
A practical troubleshooting order
Use this order when the expected app does not open, rather than changing several settings at once:
- Identify the opening route. Was it a local file opened in File Explorer, or a link from Microsoft 365, Outlook, Teams, or another environment? This determines whether to begin with Windows or the cloud-link preference.
- Check the actual suffix. If extensions are hidden, turn on View > Show > File name extensions in File Explorer. Record whether the file ends in
.docx,.xlsm,.odp, or another type. - For a local file, set that exact type. In Settings > Apps > Default apps, search for the extension and select the desired installed app. Repeat for every other type you use, including macro-enabled formats when relevant.
- Check app availability. If the intended app is missing from the choices, verify that it is installed. Windows can also show other installed apps through Open with > Choose another app.
- Test from File Explorer. Open a local file of the type you changed. This checks the local association without mixing in cloud-link behavior.
- For a link, check eligibility and preference. Confirm that the file is on OneDrive or SharePoint, you are signed into Microsoft 365, the link came from a supported app or environment, and the desktop apps are installed if you expect a desktop launch.
- For a managed device, ask about policy when appropriate. Administrator policy is a consideration for specified cloud links opened from Office apps or classic Outlook, not a substitute for local file defaults.
Do not use extension renaming as a troubleshooting step. If a setting change appears not to work, first confirm that you tested the same file type and the same opening route you intended to change.

Frequently Asked Questions
How do I make Word, Excel, and PowerPoint files open in their desktop apps by default?
For local files, open Settings > Apps > Default apps, search for .docx, select its current association, and choose the installed app you want. Repeat separately for .xlsx and .pptx, then test files from File Explorer.
Best Value
Why does a Word or Excel link open in a browser when the local file opens in the desktop app?
A local file uses its Windows file association, while an eligible OneDrive or SharePoint link may follow Microsoft 365’s separate Desktop or Browser preference. Check that preference and confirm the link is hosted on OneDrive or SharePoint, you are signed into Microsoft 365, and the app or environment that supplied the link is supported.
Do I need to set .docm, .xlsm, and .pptm separately?
Yes, if you use those macro-enabled formats. They are separate file types from .docx, .xlsx, and .pptx, so changing the standard extension association does not automatically change its macro-enabled counterpart.
Will renaming a file from .docx to .xlsx change its format?
No. An extension helps Windows identify a file type, but changing the filename suffix does not convert the file’s contents. Set the association for the file’s actual type instead.

What if the app I want is missing from Default apps?
Confirm that the app is installed. Windows can offer other installed apps through a file’s Open with > Choose another app option; the available choices can vary by device and configuration.
Does choosing another office suite guarantee that formatting will be preserved?
No. Microsoft’s format guidance notes that formatting may be lost when Word saves and opens .odt files, and that some information may be lost when PowerPoint saves and opens .odp files. Compatibility is separate from choosing which app Windows launches.
Can my work administrator control whether cloud links open in desktop apps?
Microsoft documents a Windows Group Policy that can prefer desktop apps for specified OneDrive and SharePoint links opened from Office apps and classic Outlook. It concerns supported cloud links and does not replace Windows associations for local files.
The Bottom Line
For local files, set the Windows default for each extension you use: .docx, .xlsx, and .pptx are separate, as are macro-enabled types such as .docm, .xlsm, and .pptm. For eligible OneDrive or SharePoint links, check Microsoft 365’s separate Desktop or Browser preference. Confirm the actual extension and opening route before troubleshooting, and remember that renaming a suffix does not convert a file.
