Choose a bank statement converter by testing it on statements like the ones you actually handle, then checking transaction fields and balances against the originals. Assess privacy independently: find out where documents are processed, who can access them, how long they are kept, and whether their contents are reused. A successful export or an advertised accuracy percentage is not proof that the transactions are right.
What “accurate” conversion needs to mean
A converter may read characters correctly yet attach an amount to the wrong date, put a debit in the credit column, omit a row, or split one transaction across rows. Those are different failure modes, so a headline accuracy percentage is difficult to interpret unless the vendor explains what was measured and how.

- Character accuracy: whether text recognition reads the printed characters correctly.
- Field accuracy: whether values such as dates, descriptions, and amounts land in the correct fields.
- Transaction accuracy: whether each complete transaction is represented correctly, without omissions or duplicates, and with the correct sign and row associations.
For bookkeeping, reconciliation, lending review, or audit work, transaction-level checks are more useful than an unexplained character-recognition score. BankWriter makes these distinctions and cautions that a generic “99%” claim may not specify which level it measures: BankWriter.
Start with the statements and destination you actually use
Inventory your inputs
List whether you receive digital PDFs with selectable text, scanned PDFs, photographs, or password-protected documents. Include the banks, layouts, date ranges, and languages that occur in the real workflow. Text PDFs and scanned images pose different extraction challenges: scans require optical character recognition (OCR), and a demo using one clean sample does not establish broad bank or layout support. If you have paper statements, scanning hardware may be needed to create images before conversion; it is unnecessary if your statements are already digital.

Specify the output
Identify where converted data must go—such as a spreadsheet, CSV import, bookkeeping system, or another review process—and which fields that destination requires. Check batch volume, integrations, and whether the export preserves dates, descriptions, amounts, and debit/credit signs in the form your downstream workflow expects.
Run a representative pilot and verify the output
Before adopting a tool, preserve a small but representative set of original statements. Include the relevant input types and bank layouts, rather than choosing only the easiest file. Convert those same documents with each product under consideration and review the resulting transactions against the source statement.

- Count transactions: check that every row is present, with no omissions or duplicates.
- Check row associations: confirm that each date and description belongs to the right transaction.
- Check amounts and signs: verify the values and that debits and credits are placed correctly.
- Reconcile totals: compare opening and closing balances and transaction totals with the statement. A successful export alone does not establish that these agree.
- Review uncertain cases: determine whether malformed or low-confidence rows are flagged for correction instead of silently guessed.
- Measure the whole workflow: note the editing, exception handling, and manual correction still required after export.
Look for editable results, visible exceptions, and an audit trail or other way to review corrections. A tool that extracts data quickly but leaves substantial correction work may not save time overall. The selection criteria in BankWriter and the workflow comparisons at commercial comparison sources are useful prompts, but they do not establish a shared independent accuracy benchmark. No universal product winner or comparable transaction-accuracy results are established here.

- Does conversion run on your device, in a browser, or on the vendor’s servers?
- Which original-file contents or extracted rows leave your device, and which third parties receive them?
- Are originals, temporary files, and exports retained? For how long, where, and how are they deleted?
- Can employees or support staff inspect files? Under what circumstances, and is access logged?
- Are documents or extracted contents used to train models, improve services, or for another purpose?
- What access controls, encryption, incident response, and oversight of service providers apply?
“Browser-based” does not necessarily mean that no data leaves your device. Examine what the browser fetches and whether separate components—such as billing or support services—receive information. Likewise, a vendor privacy statement is evidence of the vendor’s stated practice, not independent proof or an audit.
For example, CleanStatements describes in-memory and temporary server processing followed by deletion after the conversion request. StatementForge describes browser-side conversion and separately identifies networked billing components. These are vendor disclosures, not independently verified guarantees; consult their current policies directly before relying on them: CleanStatements privacy policy and StatementForge privacy information.

Know when financial-services rules may apply
In the United States, the FTC Safeguards Rule is relevant to covered nonbank financial institutions under FTC jurisdiction; it is not a universal rule for everyone using a converter and does not certify software. The Federal Trade Commission’s small-entity compliance guide states: “The Safeguards Rule requires covered financial institutions to develop, implement, and maintain an information security program with administrative, technical, and physical safeguards designed to protect customer information.” The FTC also describes responsibilities involving service providers that handle customer information, along with measures such as access controls, encryption, multifactor authentication, and secure disposal. Whether the rule applies depends on the organization and its activities, so determine obligations for your situation rather than inferring them from a vendor’s marketing. See the FTC’s Safeguards Rule compliance guide and Safeguards Rule materials.
