Choose an email client that supports your provider’s current OAuth sign-in, protects IMAP and SMTP connections with TLS, and rejects invalid or mismatched server certificates. Then compare device support and the features you actually need. There is no universal winner: compatibility depends on your provider, account type, client, and—in work or school accounts—administrator policy.
What makes an IMAP email client secure?
IMAP does not encrypt mail traffic by itself. RFC 9051 warns that IMAP transactions, including email data, can be exposed to eavesdropping or manipulation unless protection is negotiated. During TLS negotiation, the client must also check that the server certificate identifies the hostname it intended to contact. See the RFC 9051 security considerations.

Look for the provider’s prescribed TLS mode—implicit TLS or STARTTLS—and do not bypass certificate warnings or accept a hostname mismatch. TLS protects the connection in transit; it is not end-to-end encryption of message contents, and it does not prevent a mail provider or a compromised device from accessing messages.

- Authentication: Can the client use the provider’s OAuth sign-in instead of asking you to give it your regular account password? For Gmail, that means “Sign in with Google.” Microsoft documents OAuth2 for IMAP, POP, and SMTP, but actual availability still depends on the client and account settings.
- Incoming mail: Does the provider support IMAP for your account type, and does the client offer the right account setup and authentication flow?
- Outgoing mail: Is SMTP authentication available and configured for your account? Receiving mail over IMAP does not establish that sending will work. Microsoft-hosted organizations may disable SMTP AUTH or require separate configuration.
- TLS and certificates: Can you configure the provider’s required TLS mode, and does the client validate the server certificate’s identity?
- Current support: Is the client maintained and documented for your provider’s current sign-in changes? An outdated client may fail even if it once worked.
For provider-specific requirements, consult Google’s Gmail setup and troubleshooting instructions, Google Workspace guidance on moving from less-secure apps to OAuth, Microsoft’s OAuth guidance for IMAP, POP, and SMTP, and its Outlook.com connection guidance. Setup instructions can change; check the latest steps for your account type and client before switching authentication.

What to check for your provider
Gmail and Google Workspace
Google supports adding Gmail to other email clients, including Outlook, Apple Mail, and Thunderbird. Prefer the account-level “Sign in with Google” flow when offered; Google says app passwords are unnecessary and are not recommended in most cases. Since January 2025, personal Gmail no longer has an Enable/Disable IMAP toggle: IMAP is always on for personal accounts. That does not guarantee every client’s setup or authentication flow will work.
For managed Google Workspace accounts, a client that uses only a username and password should be switched to OAuth. Google’s instructions for Thunderbird and other mail clients say to remove and re-add the Google account using IMAP and OAuth. For Apple Mail on iOS or macOS, remove and re-add the account and choose Google sign-in. Follow your organization’s current administrator policy.

- FIDO2 & Passkey Ready: Business-ready and FIDO2 L1 certified. This key is supported by major management suites and is ideal for both individual and enterprise deployment. Works seamlessly with Gmail, Facebook, GitHub, Dropbox, Coinbase, and more.
- Universal Connectivity (USB-A ): Features a built-in USB-A connector—simply unfold the key and plug it into your compatible PC or laptop for seamless authentication on the go.
- Dedicated Manager App: Use the Thetis Manager App for the initial hardware PIN setup. Setting the PIN on the device first ensures a smooth registration process. Once the PIN is configured, you can begin registering the key across your favorite FIDO2-compatible online services.
- Ultra-Durable & Portable: Featuring a rotating metal cover, this key is water, crush, and tamper-resistant. It fits easily on a keychain and requires no batteries or network connectivity.
- Check FIDO2 compatibility before purchase - Known limitations: ID Austria is not supported (requires FIDO2 Level 2). Windows Hello login only works with Windows Enterprise editions that support Entra ID, and NFC is NOT supported.
Microsoft 365 and Outlook.com
Microsoft documents OAuth2 support for IMAP, POP, and SMTP, including a flow using Microsoft Entra registration, access tokens, protocol scopes, and SASL XOAUTH2. That makes OAuth a valid protocol option, not a guarantee that every client or organization has enabled it. Outlook.com setup also varies by Outlook version and connection mode; Microsoft identifies older desktop releases that lack OAuth for Outlook.com IMAP/POP and recommends a current OAuth-compatible setup.

1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteMicrosoft’s client guidance describes OAuth settings for Thunderbird and says to add Apple Mail using the Outlook.com account type when OAuth is needed. Mozilla’s 2026 Thunderbird guidance for Microsoft OAuth notes possible setup changes related to Microsoft’s basic-authentication deprecation. Some work accounts may require administrator approval, and two-step verification or cookies can affect particular sign-in flows. Check SMTP separately: a successful incoming connection does not prove that outgoing authentication is permitted or configured.

- Maintenance and documentation: Prefer a current client with clear, provider-specific instructions for OAuth and troubleshooting.
Set up and test the account
- Identify your account precisely. Determine whether it is personal Gmail, managed Google Workspace, Outlook.com, or a Microsoft 365 work or school account. Account type can change the available sign-in flow and administrator requirements.
- Check the provider’s current instructions. Confirm IMAP and SMTP settings and the OAuth method for that account and client. If the client offers the provider’s web sign-in, use it rather than entering your normal password directly into the client.
- Configure transport security. Set TLS for incoming IMAP and outgoing SMTP as the provider specifies. Do not override certificate warnings or accept a certificate hostname mismatch.
- Verify sending independently. Test SMTP as well as receiving mail; account or organization settings may allow one and block the other.
- Test normal use. Confirm that messages sync and that you can send. If sign-in loops or fails, update the client and follow the provider’s latest account-specific troubleshooting steps. For Google, removing and re-adding the account can establish the modern sign-in flow.
