Choose an AI tool by matching it to the task and the sensitivity of the information it will handle. Before staff enter company, customer, personal, or confidential data, check the specific service’s data-use, training, retention, deletion, access, and integration terms—and confirm that workplace policy permits the use. A “private” label or enterprise plan is not, on its own, proof that a particular workflow is safe.
Start with the task and the data it requires
First define what the tool needs to do: draft text, summarize documents, analyze records, or assist with another work task. Then identify exactly what information would be sent in prompts, uploads, and connected services. Classify that information under your organization’s policy and the laws that apply to your organization and location.

For personal, sensitive, client, or confidential information, get the required approval before use. The Australian Information Commissioner advises regulated entities to avoid entering personal information—particularly sensitive information—into publicly available generative AI tools. Its workplace guidance warns: “Once personal information has been input into GenAI systems, it is difficult to track or control how it is used, and potentially impossible to remove.” OAIC workplace guidance, December 4, 2025.
Use the minimum information necessary
Send only the material needed for the task. Remove names and other identifiers where practical, avoid uploading unrelated records, and consider whether a de-identified example can answer the question. The UK Information Commissioner’s Office (ICO) describes data minimisation as not using more personal data than necessary; removing identifiers can reduce exposure, but it is not a guarantee that the remaining information cannot identify someone.

Compare tools on the controls that matter
Shortlist candidates for task performance and workflow fit, then compare the actual service, plan, account configuration, and connected features you expect to use. Get clear answers to these questions before approving a workflow:
| Decision area | Questions to ask |
|---|---|
| Task fit | Does the tool handle this work accurately enough? Can a person check its output before it is relied on? |
| Data use | Can prompts, uploads, or outputs be used for model training or another secondary purpose? What settings or contract terms govern that use? |
| Retention and deletion | How long are inputs and outputs kept? What does deletion cover, and which retention controls are available for this specific plan? |
| Access and security | Which staff, administrators, vendors, or subprocessors may access the information? What safeguards and audit records are available? |
| Integrations | What information is shared with plugins, connectors, or other third parties, and under what terms? |
| Deployment | Would hosted, private-cloud, or on-premises deployment change disclosure or operational risk for this use? |
| Governance | Do the terms, approvals, organizational policies, and applicable legal requirements fit the task and jurisdiction? |
Do not infer the answer from a broad privacy claim. Check the current terms and settings for the particular service and configuration under consideration, and record what you verified. Enterprise options may provide additional controls, but their availability and effects vary by product and can change.

Account for integrations and third parties
An AI workflow may send information beyond the main tool—to a connector, plugin, vendor, or other service involved in processing. Review those data flows as part of the same decision. NIST’s Generative AI Profile identifies procurement due diligence, service agreements, and transparency measures as possible controls for third-party risks. Ask who handles the data, what the applicable agreements say, and whether the organization has approved those connections.

On-premises or private-cloud systems may avoid disclosing data to another entity, according to the OAIC, but they do not eliminate privacy or security risks. The organization must still manage access, retention, security, and the accuracy of outputs. A deployment choice should follow from the data, task, and operational capability—not from an assumption that local hosting makes a system completely safe.

- Compatible Models: Width: 13 9/16" (13.5 inch/344 mm), Height: 7 5/8" (7.6 inch/194 mm), Diagonal: 15.6" (396.24 mm) widescreen laptops which have a 16:9 aspect ratio. Not touchscreen compatible !!! Not fit for 16:10.Do NOT rely solely on your laptop’s diagonal size when ordering. Use a ruler to measure your screen’s visible area (excluding the black bezels). If the width reads 344mm and height reads 194mm, this filter is a perfect match for your device.
- Keep Information Privacy: Effective "black out" privacy from side views outside the 60-degree viewing angle. Designed for optical clarity when viewing from the front, a person not at the front of the screen can only see the dark side of the screen, so it protects buisness secrets and personal privacy
- Eye and Screen Protection: Privacy filter does not only protect your private life but also protects your eyes by blocking 30% of blue light , blocking the harmful blue light between 380 - 495nm, it filters out the blue light and relieves eye strain. Our laptop privacy screen also helps keep your screen safe from dust and scratches
- Perfect For Open Workspaces: Great for maintaining screen privacy in high traffic areas such as open work spaces, airports, airplanes, commuter trains, coffee shops and other public places, etc
- Easy Installation: Choose between 2 simple Options; Slide-On/Off or Mounted. Not touchscreen compatible
Put workplace review around the decision
For uses involving regulated data, consequential decisions, or material third-party processing, involve the appropriate privacy, security, legal, procurement, or IT owners. The OAIC recommends workplace policies, staff education, privacy impact assessment where appropriate, and active management of available settings. NIST’s risk-management materials likewise identify due diligence and service agreements as potential controls.
These sources offer a cross-jurisdictional framework, not a substitute for local legal advice or organizational approval. NIST’s AI Risk Management Framework is voluntary; its AI Risk Management Framework page says AI RMF 1.0 is being revised. NIST released its Generative AI Profile on July 26, 2024. The ICO describes its AI and data protection guidance as advice and best practice rather than a statutory code, and says it is under review following UK legislative changes. Check current local requirements and current vendor terms before approving use.

Use a repeatable selection process
- Define the work. Write down the task, expected output, and minimum information needed to complete it.
- Classify the data. Identify personal, sensitive, client, and confidential information, then check applicable policy and jurisdiction. Obtain approval before using protected material.
- Shortlist for fit. Evaluate whether each candidate performs the task well enough for the workflow, including whether staff can review its output.
- Verify the specific controls. Check current terms and settings for training or secondary use, retention, deletion, access, and integrations for the plan and account configuration you would use.
- Escalate higher-risk use. Ask privacy, security, legal, procurement, or IT owners to review regulated data, consequential decisions, or significant third-party processing.
- Pilot with lower-risk information. Where suitable, test with low-risk or de-identified material. Assess output quality and document permitted uses and required human review.
- Reassess when things change. Review the decision if vendor terms, settings, integrations, data types, or the work task changes.
Do not treat privacy techniques as guarantees
Pseudonymization, anonymization, local hosting, and privacy features can change risk, but none should be treated as a blanket assurance. The ICO notes that privacy risks can remain even for models not overfit to training data, and that implementing differential privacy meaningfully is challenging in practice. NIST’s SP 800-226, finalized March 6, 2025, discusses implementation hazards in differential privacy. Evaluate the complete workflow and safeguards rather than relying on a single technique or label.
