Choose a workflow orchestration platform by matching its execution model to the work: use a managed workflow service for sequences of service or API calls, a DAG scheduler when recurring data dependencies are the center of the job, or a code-first durable orchestration system when developers need to express long-running coordination in ordinary code. Then verify persistence, recovery, retries, human waits, integrations, scheduling, operational ownership, and cost against a representative workflow—not a feature checklist alone.
What workflow orchestration does
Workflow orchestration coordinates ordered or branching work across services or tasks. Instead of embedding all coordination in separate applications or scripts, a workflow centralizes the flow logic; durable systems also store progress so execution can wait, resume, or recover after interruption. Google describes Workflows as a managed service for coordinating HTTP-based services, while AWS describes Step Functions as state machines for distributed applications and process automation.

The key distinction is how a platform describes and runs work. Some platforms express explicit control flow—what happens next, which branch to take, or when to wait. DAG schedulers focus on dependencies among tasks, resolving which tasks are ready to run. Code-first durable systems let developers write coordination in ordinary code while the runtime manages persisted workflow state.

Service and API coordination
For a bounded process that calls APIs or cloud services, branches on results, retries transient failures, or waits for a response, consider a managed workflow service. Google Cloud Workflows is documented as coordinating HTTP-based services in a durable, stateful workflow (Google Workflows overview). AWS Step Functions provides state machines for distributed applications, process automation, microservices, and pipelines (AWS Step Functions overview).

Scheduled data pipelines and dependency graphs
Choose a DAG-oriented scheduler when the central problem is coordinating recurring data work according to task dependencies. In Google’s comparison, Managed Airflow resolves declarative DAG dependencies, while Workflows uses imperative flow control; the guide also contrasts their scheduling and trigger options (Google Cloud orchestration selection guide). A DAG scheduler is not simply a longer workflow: its dependency-first model is valuable when that is how the workload is naturally described.
Code-first durable orchestration
If developers need to express coordination using ordinary code and want the runtime to manage persisted progress and recovery, assess a durable orchestration SDK. Microsoft’s Durable Task documentation describes ordinary-code workflows with state persistence, automatic recovery, and distributed coordination (Microsoft Durable Task). This approach may suit teams that prefer code and SDKs over a separate workflow definition language, but check supported languages, deployment model, and operational requirements for the specific implementation you plan to use.

State, checkpoints, and restart behavior
Ask what survives a worker, process, or host restart; where execution progress is stored; and what happens when a task is replayed. These are different questions from whether a product can retry a task. Microsoft documents Durable Task orchestration checkpointing at await or yield points (Microsoft Durable Orchestrations). For every candidate, establish what recovery means in its execution model and what application code must do to make replay safe.

A retry policy is not a substitute for error handling or idempotency. A timeout may occur after a remote service has already completed an operation, so retrying could repeat a charge, notification, or other side effect. Design the task so a safe rerun can be recognized, and define a separate route for permanent failures or exhausted retries.
Long waits and human approvals
For workflows that pause for an external event or a person’s decision, check how the platform suspends execution, holds state, resumes work, and records the decision. AWS documents human interaction and task-token waiting; Google describes waiting and human-in-the-loop events; Microsoft documents workflows that wait for input or approval (AWS Step Functions, Google Workflows, Microsoft Durable Task).

Google’s Workflows overview states that a workflow can hold state, retry, poll, or wait for up to a year (Google Workflows overview). Treat that as a documented product capability, not a guarantee that every workflow pattern, region, or configuration has identical limits; verify the current service documentation for your intended use.
Authoring, integrations, and visibility
Compare how teams define workflows—imperative steps, declarative dependencies, or code—and whether the tools fit the team’s languages and deployment habits. Check available service connectors and HTTP/API support, local or pre-deployment testing, execution inspection, logs, and error visibility. Google documents integrations and authoring concepts for Workflows, and AWS documents state-machine authoring and step inspection (Google Workflows overview, AWS Step Functions overview). Confirm details in the specific product configuration you expect to run.

Triggers, schedules, and hosting responsibility
Decide whether a workflow starts from an API call, an event, a schedule, or another orchestration layer. A scheduler may be separate from the workflow engine, so include that component in the design and operating plan. Google’s selection guide compares Workflows and Composer scheduling and trigger options (Google Cloud orchestration selection guide).
Also compare who operates the orchestration layer. A managed service and a provisioned orchestration cluster place different demands on the team for capacity planning, maintenance, upgrades, monitoring, and incident response. Google’s guide distinguishes usage-based billing for Workflows from provisioned-capacity billing for Cloud Composer/Managed Airflow; that is a billing-model distinction, not evidence that one option will cost less for a particular workload (Google Cloud orchestration selection guide).
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Estimate cost for your workload, not a headline price
Before comparing bills, estimate executions, steps or tasks per execution, run duration, concurrency, expected waits, and the infrastructure capacity your design requires. Then use the vendors’ current pricing tools for the intended region and configuration. Usage-based execution billing and provisioned-capacity billing have different cost drivers, so include operational effort and any separate scheduler or worker infrastructure in the comparison. Current prices and a workload-specific cost estimate are not established here; verify them directly with the provider before deciding.
Run a proof of concept against realistic failures
Build the same representative workflow in each shortlisted platform and test more than its happy path. Record how each platform exposes state and errors, what must be operated by your team, and which assumptions drive estimated cost.
- Successful path: Confirm that the workflow completes in the expected order and produces the intended result.
- Transient API failure: Make a dependency fail temporarily and observe retry conditions, delay behavior, and eventual recovery.
- Permanent error: Force an unrecoverable error and check whether it is reported, caught, or routed to a defined failure path.
- Duplicate or replayed event: Submit the same trigger again, or simulate a replay, and verify that side effects are safe.
- Long wait and human approval: Pause for an external event and a human decision, then check how execution resumes and how the decision is tracked.
- Restart and recovery: Restart the relevant orchestrator or worker component and inspect what progress was preserved and what work ran again.
Use the results to decide whether the platform’s execution model fits the workflow and whether your team can operate it. Vendor documentation can establish described capabilities, but it does not establish a universal winner or a head-to-head performance ranking.
