Choose a payment processor by matching its fees and payment options to how your clients actually pay—not by picking the provider with the lowest headline rate. Compare online card, bank-transfer, wallet, and in-person costs separately, then check invoicing workflow, payout and dispute terms, and whether the processor supports your business in your country.
Start with your clients’ payment habits
Before comparing providers, map the payments you expect to receive. Review the last few months of invoices, or estimate a realistic mix if you are just starting out. Note the payment method, typical invoice amount, and number of transactions for each:

- Online card payments through an invoice or payment link
- Bank transfers, such as ACH where available
- Digital wallets
- In-person card payments, if you work on-site
The right fee is the one for the transaction your client will make. In-person card, online checkout, invoicing, and bank transfers can have different prices. Square’s US fees page, for example, lists separate categories for card-present, online, online API, and invoice ACH transactions: Square’s fees and payment processing rates.

Compare the full cost, not just the percentage
For each relevant payment method, record the percentage fee, fixed per-transaction fee, any subscription, and any optional-service charge. Then apply those costs to a few representative invoices. A fixed fee takes a larger share of a small payment, so one average invoice may not tell the whole story.

As US examples, Square’s Payment Links page lists no upfront fee and a standard online transaction rate of 3.3% + 30¢. Its broader US schedule shows different rates by plan and method: displayed card-present rates are 2.6% + 15¢, 2.5% + 15¢, and 2.4% + 15¢ across plan columns; displayed online rates are 3.3% + 30¢, 2.9% + 30¢, and 2.9% + 30¢. These are the rates shown in Square’s plan columns, not a guarantee of the rate for every account. Check the applicable row and current terms at Square’s US fees page and Square Payment Links.
Stripe publishes pricing by product and market, including standard pricing for online and in-person payments, and offers no-code Payment Links. PayPal’s merchant fees distinguish domestic and international transactions and payment types; its fee page says it was last updated September 1, 2026. Check whether clients can pay easily
A processor is only useful if your clients can complete payment without unnecessary friction. Check which cards, wallets, and bank methods are accepted, whether clients need an account, and how the invoice or checkout link works for them.
- Stripe: Payment Links let you create no-code links for online payments. See Stripe Payment Links.
- Square: Payment Links and invoices are among its no-hardware options. Its US Payment Links page lists supported payment methods and the standard link rate: Square Payment Links.
- PayPal: Its business invoicing page says clients can pay invoices by debit or credit card or PayPal Wallet: PayPal invoicing.
Confirm the exact payment options available for your country and account; product features and fees can vary by market.

Match the workflow to your freelance business
Decide whether you need only a hosted invoice or link, or a more integrated checkout. Consider whether the service handles recurring invoices, fits your bookkeeping or project-management process, and makes it straightforward to reconcile incoming payments. If you mainly invoice clients, a terminal or custom website checkout may be unnecessary: Square says invoices and payment links do not require hardware, and Stripe offers no-code Payment Links.
Test the invoice or link flow and reconciliation process before making a processor your only payment route. Keep another practical way to collect payment if you can, especially while you are confirming that the new workflow works for both you and your clients.

Verify eligibility, payouts, and account terms
Do not assume a processor will approve every freelance business or service. Stripe says its review during activation ultimately determines whether a business is supported; check its restricted businesses list and the applicable local terms. Square’s terms also enumerate unsupported activities and allow fee changes with advance notice: Square general terms.
Before choosing, read the current agreement and account information for your country and business type. Confirm payout timing, any reserve or hold conditions, refund and dispute rules, and how support is handled. These terms can depend on account status; the available official pages do not establish one universally fastest provider or a single best option for every freelancer.
Use a like-for-like comparison
- List your payment mix. Estimate online cards, wallets, bank transfers, and in-person payments, along with typical invoice sizes and transaction counts.
- Find the matching fee row. For every provider, use the fee for the actual payment method, channel, and market—not a rate for a different kind of transaction.
- Calculate total fees. Include percentage and fixed fees, subscriptions, and optional services. Compare several realistic invoice sizes.
- Try the client experience. Check the invoice or link, accepted methods, and any account requirement from the client’s perspective.
- Read the applicable terms. Verify eligibility, payout, refunds, disputes, and account restrictions for your location and work.
- Test before switching fully. Run the invoicing and reconciliation workflow before relying on it as your sole payment route.
