Choose a lumber supplier by sending each candidate the same project-specific material list, then comparing written quotes for specification match, quality evidence, delivered cost, schedule, handling, documentation and remedies for problems. The right supplier is the one that can meet the project’s documented requirements at an acceptable total cost and with commitments you can verify.
1. Define what the project requires
Before asking for quotes, prepare one bill of materials or schedule of requirements and send the same version to every supplier. Otherwise, different quotes may cover different products or assumptions and cannot be compared reliably.

Include the details that apply to the job:
- Species, or specifically approved alternatives.
- Nominal dimensions and actual dimensions where relevant.
- Required grade and any applicable grading or inspection requirements.
- Treatment, moisture condition or exposure requirements, if specified.
- Engineered-wood product designations and any required design or evaluation documentation.
- Quantities, required delivery dates or sequence, and jobsite delivery constraints.
- Required sourcing or chain-of-custody documentation.
Ask suppliers to identify exceptions and proposed substitutions in writing. Do not let an unlisted alternative pass as an equivalent without approval against the project requirements.
2. Check product identity and quality evidence
A quote should identify the material being offered well enough for the project team to compare it with the specification. At delivery, check product markings and supporting documents against that requirement; do not assume that one quality mark covers every product a merchant sells.

Solid lumber
Ask which grade and grading agency apply, and how the material will be marked or documented. The grade evidence should correspond to the product and use specified for the project. Keep receiving records and, where useful, photographs of labels or grade marks.
Engineered wood
Match the product designation and any required report or documentation to the specified use. APA says its trademark signifies independent third-party quality verification for products in its program; that statement describes the mark’s assurance scope, not every item sold by a supplier. APA provides a certified manufacturer directory and states that it does not manufacture, sell or install building products.

3. Compare quotes on delivered cost and terms
Do not choose on unit price alone. Ask for an itemized written quote that makes the material, quantities and commercial terms visible. Lumber prices and stock vary, so there is no single current market price or general price recommendation that applies to every project.
- Material charges by item and quantity.
- Delivery charges, minimums or other fees.
- Payment terms and any quote validity period.
- Delivery, cancellation and substitution terms.
- Any exclusions or assumptions that could change the final cost.
Keep quote dates and validity periods with the comparison. A lower materials figure may not be the lower delivered cost if delivery charges, minimums or terms differ.

4. Confirm availability and delivery fit
Ask the supplier to distinguish stock available now from products that must be ordered, and to state which delivery dates it can commit to. No general lead time is established here; availability and schedule need confirmation for the particular products and location.
Agree on the delivery window, vehicle access, unloading equipment, drop location and who is responsible for safe offloading. Confirm how the supplier will notify the site about a shortage or delay. APA’s builder guidance recommends coordinating delivery timing to reduce jobsite storage. Its guidance also covers proper storage and handling; for glulam, it advises removing wrapping after installation in an enclosed space so the member can stabilize naturally during construction.

If the project specifies moisture condition, ask what condition is being quoted and how it will be documented at shipment. A moisture meter may be useful as an optional receiving tool on some jobs, but the guidance does not make one mandatory for every delivery or endorse a particular model.

Before accepting a quote, get the supplier’s process in writing for material that arrives damaged, short, incorrect or as an unapproved substitute. Clarify how quickly the site must report an issue, what evidence is needed, who arranges replacement or correction, and whether additional delivery or other costs may apply. There is no universal lumber-merchant claims or returns policy established here, so the project should rely on the terms agreed with its supplier.

6. Verify sourcing claims when required
Sourcing requirements depend on the project, contract and jurisdiction. If certification or chain-of-custody evidence is required, check the certificate’s identity, validity period and product scope, then confirm that the delivered product and its invoice or delivery note support the same claim. A supplier’s certificate alone does not establish that a particular delivered product is the certified product promised.
For UK government procurement under the Timber Procurement Policy, the Timber Procurement Advice Note, 7th edition, updated 26 November 2025, describes evidence of legal and sustainable origin and chain-of-custody control. It identifies FSC-, PEFC- and Grown in Britain-certified products as Category A evidence under that policy and explains that buyers may assess other evidence. These are UK policy details, not a universal rule; projects elsewhere should follow their own applicable law, owner requirements and contract specifications.
7. Make the comparison auditable
Use a single record for the project team so that the award decision can be traced back to the requirements and supplier commitments.

Questions to ask before accepting a quote
- Can you quote this exact bill of materials and list every exception or proposed substitution?
- Which grades and grading agency will apply, and how will the material be marked or documented?
- Which items are available now, and which delivery dates can you commit to?
- What delivery equipment, unloading and placement are included?
- How will the material be protected before delivery, and what storage or handling instructions apply?
- How should the site document shortages, damage or incorrect material, and what remedy and time limits apply?
- If sourcing evidence is required, can you provide current certificate details and product-specific chain-of-custody evidence?
- What are the quote validity, payment, delivery, cancellation and substitution terms?
