Choose a hosted form service when you want someone else to operate the submission endpoint; use your CRM’s native form when leads should go directly into its records and workflows; build a custom server-side API when you need processing or data-flow control that the other options cannot provide. The right choice depends on where submissions must go, which spam controls work with that route, and who will maintain it.
Compare the three approaches
| Option | Good fit | Main tradeoff | Check before choosing |
|---|---|---|---|
| Hosted form service | You need a managed submission endpoint and its storage, spam filtering, notifications, validation, or integrations. | Less infrastructure for your team to operate, but you depend on the service’s features, plan, and handling of submission data. | Required fields, validation, destinations, exports or API access, spam controls, data policies, retention, and plan limits. |
| CRM-native capture | Your CRM is the main lead record and its forms and workflows suit your process. | Direct lead handling is convenient, but you inherit the CRM’s form model, quotas, editions, and anti-spam behavior. | Field mapping, campaign attribution, duplicate handling, CAPTCHA support, volume, redirects, and downstream automation. |
| Custom server-side API | Bespoke processing, routing, or data handling warrants maintaining server code and API integration. | You gain control but take responsibility for validation, authentication, retries, logging, abuse controls, and maintenance. | Secret storage, request validation, origin policy, CAPTCHA token flow, API limits, failure handling, and monitoring. |
Choose based on where leads need to go
Start with the destination
If each submission needs to become a record in an existing CRM and enter its workflows, test the CRM’s native form first. Salesforce Web-to-Lead, for example, generates website-form HTML, supports a post-submit redirect and campaign-related fields, and documents a limit of up to 500 leads per day. That is a Salesforce product limit, not a general benchmark; verify the current edition and configuration requirements against your expected volume. Salesforce Web-to-Lead documentation

Prefer managed handling when it meets the requirements
If your site team does not want to run a submission backend, consider a hosted service that covers the required fields, storage, notifications, spam controls, and integrations. Formspree describes handling submissions, storage, deliverability, spam protection, and integrations for sites that can send an HTTP request; it also lists backend validation, notifications, routing, and API access. These are vendor-described capabilities, so confirm availability for the plan and deployment you intend to use. Its feature descriptions do not by themselves settle privacy, retention, or plan fit. A custom server-side integration is appropriate when a hosted service or CRM cannot cleanly meet your processing, routing, or data-handling requirements. You control more of the path, but your team must operate and secure it. For Salesforce external-form integrations, its developer guidance describes a server-side process using OAuth authentication and a My Domain endpoint, with CORS allowlisting and CAPTCHA-token handling where required. Check integration and spam behavior before launch
Do not treat CAPTCHA as a setting that can be added after the integration is chosen. It can change whether a submission route works at all. HubSpot says that when CAPTCHA is enabled, submissions through its Submit data for a form API or other form integrations will not be accepted. Salesforce’s Web-to-X support article, published July 6, 2026, says it supports Google reCAPTCHA v2, not v3 or other versions. Test the exact form, CAPTCHA configuration, and destination together before launch. HubSpot: prevent spam form submissions; Salesforce Web-to-X CAPTCHA support
Protect credentials and submission data
A hosted backend reduces the infrastructure you operate; it does not remove security decisions. Formspree’s API-key documentation says a public read-only key may be embedded in frontend code only when submissions are intended to be public. Keep read/write credentials out of client-side code. - PROCESSOR & MEMORY: Powered by an Intel Xeon Silver 4112 2.60GHz CPU and 16GB DDR4 RAM for reliable server-grade performance
- STORAGE CAPACITY: Equipped with 32TB total storage via four 8TB 12Gb/s SAS hard drives for high-throughput data handling
- RAID CONTROLLER: Features the PERC H740P RAID controller, enabling advanced data protection and flexible storage configuration
- POWER SUPPLY: Dual 550W redundant power supply units ensure continuous uptime and protection against single power source failure
- FLEXIBLE DEPLOYMENT: Ships with no OS installed, allowing administrators to install their preferred operating system or hypervisor
For every option, check which fields are collected, where submissions are stored or forwarded, how long they are retained, and who can access them. For a custom route, also plan validation, authentication, abuse prevention, error handling, retries, and monitoring. For a managed service or CRM, confirm those capabilities and terms in the current product documentation and your account configuration.

Use this decision sequence
- Map the destination. Identify the system that must receive each lead and the workflow that should follow. If that is an existing CRM, test its native form and confirm field mapping, attribution, duplicate handling, redirects, and expected volume.
- Check whether managed handling covers the job. Compare the hosted service’s fields, validation, storage, notifications, spam controls, integrations, export or API needs, data policies, retention, and current plan limits with your requirements.
- Choose custom integration only for a specific unmet need. Identify the processing or routing requirement that the hosted and CRM options cannot satisfy, then assign an owner for server code, credentials, security, failure handling, and maintenance.
- Test the real route end to end. Submit valid and invalid entries, test spam controls and CAPTCHA, verify the destination record and downstream automation, and check what happens when an API or integration fails.
Vendor features, plans, quotas, and integration behavior can change. Confirm the current documentation and account-specific terms before implementation. Formspree’s spam guidance, for example, is dated April 11, 2024, while its API-key documentation is dated November 12, 2024. Formspree spam guide
