Choose a small-business file platform by matching it to the tools your team already uses, then decide which files belong to individuals and which must remain owned by the business. Compare storage, collaboration, access controls, recovery, portability, and the total cost for your actual user count—not storage capacity alone. There is no universal winner established by the available vendor specifications; a pilot using your own files and workflows is the practical way to decide.
Start with file ownership, not the storage quota
Separate individual work in progress from records that the team needs to maintain over time. Microsoft’s setup guidance describes OneDrive as designed for individual use and occasional file sharing, and a SharePoint team site as designed for files shared and collaborated on regularly. That is Microsoft’s recommended pattern, not a neutral finding that every business should use Microsoft. Microsoft’s file storage and sharing setup guidance explains the distinction.

- Individual work: drafts and working files primarily managed by one employee.
- Team-owned records: shared procedures, project documents, and other files that colleagues should still be able to use if their creator leaves.
- Customer-shared files: materials exchanged with clients or other external collaborators, where access scope and ongoing ownership need to be clear.
Make these categories explicit before moving files. A folder that is shared from an employee’s personal workspace may not provide the same ownership and continuity as a team library. For Microsoft 365, Microsoft describes SharePoint as the stronger fit for advanced content management and collaboration across a team or organization. Microsoft’s OneDrive service description outlines the distinction between OneDrive and SharePoint.
Compare storage using the plan’s actual allocation model
Published storage amounts are vendor plan specifications, not a measure of platform quality. Check the current plan and regional terms at purchase: included capacity and features can change.

| Service and plan | Published storage | How to interpret it |
|---|---|---|
| Google Workspace Business Starter | 30 GB pooled storage per user | Google lists storage as pooled across the organization’s users. |
| Google Workspace Business Standard | 2 TB pooled storage per user | Google lists shared drives as included with this edition. |
| Microsoft 365 Business Basic, Business Standard, and Business Premium | 1 TB per user for OneDrive | Microsoft lists this as each user’s OneDrive allocation. |
| Microsoft 365 Business plans | SharePoint organization quota: 1 TB plus 10 GB per purchased license | This is a separate organization quota, not an additional per-user OneDrive allocation. |
Google’s figures are listed in its Business editions guide, which also identifies Business Standard shared drives. Microsoft lists its OneDrive allocation in the OneDrive service description, last updated July 23, 2026, and the SharePoint quota in its SharePoint Online limits. These allocations should not be treated as directly interchangeable: pooled organization storage and individual cloud-drive allocation work differently.
Estimate today’s usage and likely growth, including large media or project files. Compare that estimate with the plan’s allocation rules rather than multiplying a headline number without checking whether it applies per person or to a shared pool.

Check how the platform fits daily work
Shortlist platforms that fit the productivity tools and identity setup the business already depends on. Then pilot the workflows that could disrupt work if they behave differently than expected:
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →- Co-edit common file types with several staff members.
- Sync files across the computers and phones employees actually use, including offline work if it matters.
- Share a file with a client and verify what the recipient can access.
- Work with large files and folders, and note any friction in upload, download, or synchronization.
- Confirm whether staff can work in familiar applications without creating duplicate or competing file locations.
The available vendor materials establish product roles and plan specifications, but do not establish an independent current performance winner. Base the choice on a pilot with real users, devices, and representative files rather than assuming one platform will sync or co-edit better for every business.

Verify administration, sharing, and recovery before committing
Storage is only useful if the business can control access and recover from mistakes. Check the exact edition and terms for the identity and administrative controls the company needs; verify who can share outside the organization, how access is removed, and what recovery options apply to deleted or changed files.
- Access: Can the business manage users and control external sharing at the scope it needs?
- Employee departure: Can a manager retain access to team records and handle files associated with a departing employee?
- Recovery: What restore and version-history options are available on the specific plan, and for how long?
- Business requirements: Check relevant jurisdictional, contractual, and compliance requirements directly against the edition and agreements. No legal compliance conclusion follows from the storage specifications above.
- Independent backup: Decide separately whether the business needs a backup beyond cloud sync and sharing. A sync service should not automatically be treated as an independent backup.
Before a full migration, test restoring deleted and changed files and exporting a representative set of data. Define the recovery objective and confirm that the platform’s actual recovery process meets it. A consumer cloud-storage comparison does not establish a suitable business backup architecture or a particular physical drive recommendation.

Use a short, realistic selection process
- Inventory the workload. Count users, estimate current storage and growth, identify large-file workflows, and flag data subject to contractual or regulatory restrictions.
- Classify folders. Mark each as personal, team-owned, or customer-shared, and assign durable ownership for shared business records.
- Shortlist familiar suites. Start with platforms already included in the company’s productivity setup, then verify current plan storage, sharing, and administrative terms.
- Run a pilot. Include several users and devices, representative file types and large files, external collaborators, and a simulated employee departure.
- Test recovery and exit. Restore deleted or changed files and export data before relying on the platform as the full archive. Decide whether separate backup is needed for the business’s recovery goals.
- Compare total cost. Calculate the annual cost for the exact user count and region, including necessary add-ons and migration or exit effort. Current pricing was not established in the sources cited here, so check vendor pricing at the time of purchase.
Choose the platform that passes your pilot
A good fit is the platform that lets staff work in their existing tools, gives durable team records a clear home, and passes your checks for capacity, collaboration, access, recovery, and portability. Vendor storage specifications can narrow the shortlist, but they cannot settle those operational questions for your business.
