Choose a school fee collection system by first listing the fees and payment workflows it must handle, then compare each candidate’s full costs, recordkeeping and integration, family access, privacy and security, and contract terms. Ask finalists to demonstrate your actual payment and refund scenarios, and check the proposal against procurement, privacy, payment, and school-food rules in your jurisdiction.
Start with the fees and workflows the system must cover
“School fees” can mean very different things: meal balances, trips, athletics, clubs, and other school-related expenses. Decide which categories are in scope before comparing providers. A school or district may use one portal for everything or separate systems for different payment types; neither arrangement is automatically better. The right choice depends on the workflows and records your school needs.

Write down who pays, which schools or sites are included, and whether meal accounts or point-of-sale systems are involved. Include practical requirements such as scheduled payments, low-balance alerts, partial payments, receipts, and family account access. The CFPB describes these features and the range of school-related expenses in its July 2024 US school lunch payment report.

Request an itemised, current price proposal rather than relying on a headline transaction rate. Ask for charges by payment method and transaction type, plus any account or annual charges, refund and chargeback costs, and the rules for future price changes. Establish whether the school, family, or both pay each charge, and ask how the price changes if the school absorbs some or all transaction fees.

Historical US evidence can help frame questions, but it is not a quote for your school. In its research conducted from December 2023 to April 2024, the CFPB reviewed information from the 300 largest US public school districts. Among 63 districts in its sample that published fee specifics, average flat fees were $2.37 and average percentage fees were 4.4%. The bureau cautioned that those observations covered only 21% of districts in its sample and may not estimate the market average. Fees varied by district contract, including for the same provider, and some districts covered fees or negotiated lower charges. Get your own proposal and contract terms.
The CFPB’s report describes a large but bounded sample: it covered more than 16.7 million students across more than 25,000 schools. Three companies—MySchoolBucks, SchoolCafé, and LINQ Connect—served 67% of enrolled students in that sample. These are findings from the report’s 2023–2024 research, not a current ranking of the whole US market. The report also notes that families generally cannot choose the platform selected by their district, which makes the district’s decisions about fees and access consequential.

Test family access and payment choices
Ask families’ likely payment questions directly: which payment methods are available, what fees appear before checkout, how receipts are issued, and what happens when a parent or caregiver has trouble accessing an account. Check whether the system supports the family access and payment patterns your school requires, including any applicable accessibility or language needs. Confirm these details in the supplier’s proposal and demonstrate them during evaluation rather than treating a feature list as proof.
Review privacy, security, and data handling
Before sharing student or family data, have the appropriate privacy and security staff review what information the service collects, why it needs it, where it goes, how long it is retained, and how it can be exported or deleted. Minimise the data sent to the platform and involve the school’s data-protection lead early. Where processing could be high risk, assess whether a data-protection impact assessment is required under the rules that apply to your school.

England’s Department for Education guidance says, “The data collection must be limited to what is essential for the tool’s educational purpose.” Its EdTech procurement guidance, updated July 9, 2026, recommends asking suppliers about data-management policies and security measures such as encryption, secure authentication, audit logging, and intrusion detection. It also identifies independent audits, certifications, and penetration-test reports as evidence schools may ask to review. These are England-specific recommendations; schools elsewhere should apply their own jurisdiction’s data-protection and security requirements.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesRead service commitments and contract exit terms
Request the implementation plan, support arrangements, service-level commitments, and evidence for important security or service claims. Ask how quickly the supplier responds to incidents and support requests, what happens during an outage, and how the school can retrieve records if it leaves. Identify which statements are binding contract terms, which were demonstrated, and which remain unverified.

England’s Department for Education commercial guidance concerns school MIS arrangements, not a universal fee-collection contract, but its commercial checks are useful when assessing school software terms. The guidance, updated July 17, 2026, advises schools to understand charges, how and when prices can rise, termination costs, and arrangements where service components have different contract end dates. It notes that “Contract terms relating to payment are often variable and may change during the contract.” Check the procurement, data-protection, digital technology, and cyber-security requirements that apply in your jurisdiction.
Run a consistent comparison before choosing
Use the same written requirements and demonstration scenarios for every finalist. Include finance, IT or security, data protection, procurement, and school nutrition staff where relevant. This makes differences easier to evaluate and exposes gaps before contract signature.
- Define scope: list fee categories, payer types, school sites, meal-account or point-of-sale needs, and whether one portal or separate systems are acceptable.
- Map the current workflow: document charge creation, payment, receipt, account posting, refund, reconciliation, and exception handling.
- Request itemised pricing: ask for every payment-method and transaction charge, account or annual costs, refund and chargeback terms, fee-payer options, and price-change rules.
- Use identical demonstrations: have each finalist show a routine payment, a partial payment if needed, a refund, a duplicate or failed transaction, family account access, and end-of-day reconciliation.
- Review the same evidence: examine data flows and retention, security documentation, support commitments, implementation, export and exit provisions, and the proposed contract.
- Score against actual needs: record what is contractual, what has been demonstrated, and what remains unverified; then apply local procurement, privacy, payment, and school-food requirements.
How to treat vendor examples
Named products and adoption figures can help identify services to investigate, but do not establish that a system suits your school. The CFPB’s MySchoolBucks, SchoolCafé, and LINQ Connect figures describe its US district sample. The UK Government Digital Marketplace listing for iPayimpact describes payments for meals, trips, clubs, and other school items and claims use by over 1,500 schools, multi-academy trusts, and councils; that is a supplier listing claim, not an independently verified market count. Confirm current availability, capabilities, fees, and contract terms directly with any provider you consider.
