How to Choose a Backup Solution for SharePoint and Microsoft 365

Choose a Microsoft 365 backup service around the incidents you must recover from. Check workload scope, recovery history, permissions, retention, security, and total cost, then test representative SharePoint restores before buying.

Choose a Microsoft 365 backup service by matching its recovery behavior to the incidents your organization must survive—not by the number of workloads or features on its product page. Define the data and history you need, test how permissions and metadata return, check who controls recovery and where backup data resides, then run a restore exercise against representative SharePoint sites before you commit.

Start with the incident you need to recover from

Service availability, records retention, and backup solve related but different problems. Microsoft’s service-resiliency measures are designed to keep its platform operating and recover from service disruptions. Records controls such as Microsoft Purview retention policies support governance obligations. Backup is intended to let an organization restore data to a prior healthy state after events such as accidental deletion, overwrite, or ransomware.

Microsoft’s FAQ distinguishes a disaster-recovery copy that reflects current content state from historical backup restore points. A copy of current state may not help if that state already includes a customer-side deletion or overwrite. When evaluating a service, describe the actual incident and desired outcome: for example, recover a deleted site, restore a folder to before an overwrite, or rebuild a site without replacing its currently healthy content.

Microsoft’s 2024 whitepaper, Microsoft 365 Backup: Best practices for data recovery and business continuity, puts the buyer’s objective plainly: “When you buy a backup solution, you’re really buying the ability to recover from a disastrous event, where it’s vital to restore business operations and critical data as quickly as possible.” Treat recovery—not a green backup-status indicator—as the outcome to validate.

Confirm exactly what the service protects

Microsoft 365 Backup documents coverage for SharePoint sites, OneDrive accounts, and Exchange mailboxes, with the option to protect all or selected items in those workloads. That scope does not establish coverage for every Microsoft 365 service, object type, or site configuration. Ask each provider for a workload and object matrix that matches your tenant, including exclusions and any required policy setup.

  • Can you select individual SharePoint sites, OneDrive accounts, and Exchange mailboxes, or must you protect an entire workload?
  • Which objects and data types within each workload are included?
  • What happens to protection when a site, mailbox, or user is renamed, moved, deleted, or offboarded?
  • Can policies and restore operations be managed through the administration tools and permissions your team actually uses?

Compare recovery points, history, and recovery time

Two measures matter: the recovery point objective (RPO), or how much recent work could be lost, and the recovery time objective (RTO), or how long it takes to resume work. Ask how often recoverable points are created during the incident window that matters to your organization, how far back they remain available, and how long representative restores take at your tenant’s scale. Get answers separately for full-site, alternate-location, and granular restores.

Microsoft’s published setup figures are estimates, not tenant-specific guarantees. Microsoft says a valid policy activation request takes on average up to 60 minutes to process, followed by another 60 minutes to create restore points. Initial backups are estimated at approximately 15 minutes per 1,000 protection units added to a policy. These figures describe setup and initial protection, not the time to restore a particular tenant.

Microsoft says full SharePoint site and OneDrive restores can be faster when using recommended express restore points and in-place recovery. Its restore documentation gives an average of 10–120 minutes for some smaller single-site fast restores; that range is not a guaranteed RTO for larger sites or other restore paths. Use a test to establish what your own recovery scenarios require.

Test the restore destination and level of recovery

A product may offer several restore paths, and they do not have the same effect on live data. Microsoft documents full SharePoint site rollback to the original URL or restoration to a new site, as well as selected file and folder recovery.

Full rollback to the original site

A full rollback replaces the site’s content and metadata with the selected historical state. That can be appropriate when the whole site must return to an earlier point, but it can also replace healthy changes made since then. Confirm what is overwritten and how operators can assess the target restore point before proceeding.

Restore to a new site

Restoring to a new site provides a separate destination. It lets operators inspect and copy recovered data forward while preserving currently healthy content in the original site. Test how users find the recovered site, and how links, ownership, and access work in that destination.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Recover selected files or folders

Granular in-place recovery can avoid rolling back an entire site, but Microsoft states that item-level permissions are not restored: the recovered item inherits permissions from its destination folder. Validate this behavior for sensitive content and confirm whether your provider offers another supported path when the original item-level access must be recreated.

For each restore path, test libraries, folders, and individual files that represent your real working patterns. Record what happens to permissions, metadata, versions, links, taxonomy, and any special site or library state your business depends on. Microsoft’s restore documentation notes that some paths have limitations, so do not infer fidelity from a successful file restore alone.

Keep backup retention distinct from records retention

Microsoft says SharePoint site backups removed from a policy are held for 52 weeks from each restore point. Its FAQ says the Microsoft 365 Backup recovery window is isolated from Purview retention and deletion policies. These are distinct mechanisms: a backup window does not replace records-management controls, and Purview retention should not be assumed to extend backup recovery history.

For any service, establish the configurable backup window, what happens when protection is removed, how deletion and offboarding affect recoverability, and how the service handles legal holds or other compliance requirements. Confirm the answers against your organization’s retention schedule and contract rather than assuming backup and records policies align automatically.

Assess security, control, and data location

Microsoft documents SharePoint and OneDrive backup content as append-only Azure Blob copies: existing copies are not modified by the service, while later points create new copies. That describes an aspect of Microsoft’s platform architecture; it does not by itself prove that a particular organization’s recovery objectives, access controls, or independence requirements are satisfied.

Compare Microsoft’s native service with partner applications

Microsoft 365 Backup provides Microsoft-admin-center workflows and point-in-time recovery for its documented workloads. Microsoft also lists partner applications that use Microsoft 365 Backup Storage. Microsoft says partner offerings may add features and unified experiences, but explicitly states that its preferred designation is not technical certification or endorsement.

Compare the full operating and commercial cost

Pricing alone is not comparable unless the protected unit and included service are clear. No current prices are established here. Request a written breakdown that lets you compare the same scope, retention period, and support level across candidates.

  • What is billed: users, capacity, sites, mailboxes, or another protected unit?
  • Are retention extensions, additional storage, or particular restore paths charged separately?
  • Are restore limits, support tiers, or response-time commitments part of the quoted price?
  • What contract terms, renewal conditions, and offboarding steps affect access to backup data?
  • What staff time and operational work are required to monitor policies, investigate alerts, and conduct recovery exercises?

Run a recovery exercise before purchase

Use representative SharePoint sites rather than accepting a demonstration that shows only backup status. Include a site rollback, a restore to a new site, and granular recovery of files or folders. Select content with realistic permissions and metadata, and have the people who would respond to an incident carry out the exercise.

  1. Choose representative cases. Include a small site and a business-critical site, plus content with distinct access rules, metadata, and version history.
  2. Define success in advance. Write down the required restore point, acceptable data loss and downtime, destination, and expected handling of permissions and metadata.
  3. Perform each relevant restore. Test the original-site rollback, alternate-site restore, and granular recovery paths your organization expects to use.
  4. Check the recovered result. Verify content, versions, metadata, access, links, and user discoverability—not just whether the operation reported success.
  5. Measure elapsed time and effort. Record how long the restore and validation take, what permissions or approvals are needed, and any manual repair work.
  6. Document gaps and decide. Compare observed results with your objectives; resolve unacceptable gaps in configuration, process, contract, or product choice before rollout.
