When that shared space is full, Gmail may stop sending and receiving messages. Check which service is using the quota, remove items you no longer need, and permanently empty the relevant Trash and Spam folders. Google explains how shared account storage works.
What the Gmail storage limit covers
For a standard personal Google Account, the no-charge allowance is up to 15 GB across Gmail, Drive, and Photos. The amount available to a particular account can vary, including for some promotions or managed plans, so check your account’s storage breakdown rather than assuming Gmail is the only service using space.

When the account reaches its limit, Gmail can stop sending and receiving email. Drive uploads and file creation may also stop, and Google Photos backups may be affected. Google describes these effects in its storage-management guidance.
Work and school accounts may use different pooled or administrator-managed limits. The consumer 15 GB figure does not necessarily apply to them.

Find what is using your storage
- Open Google’s storage manager and review the breakdown for Gmail, Drive, and Photos.
- Start with the service using the most space. If Gmail is the problem, search for large attachments. If another service is responsible, cleaning up email alone may not free enough space.
Free space in Gmail without deleting mail indiscriminately
Search for large attachments
In Gmail’s search box, enter has:attachment larger:10M to find messages with attachments larger than 10 MB. Review the results and keep anything you may need; delete only messages you no longer want.
For more targeted searches, Google also documents filename:.pdf larger:5M for larger PDF attachments and older_than:2y has:attachment for messages with attachments older than two years. These searches help narrow the results; they do not determine whether a message is safe to delete.

Permanently clear Gmail Trash and Spam
Deleting a message does not immediately stop it counting toward storage while it remains in Trash. Review Trash, then permanently empty it; check Spam as well. Permanent deletion cannot be undone, so inspect the contents before clearing either folder.
Check Drive and Photos too
If the storage manager shows that Gmail is not the main source of usage, look for large Drive files, backups, and app data, and review Photos content that counts toward the quota. Review each service’s Trash before emptying it, since permanent deletion may not be recoverable.

Files shared with you generally count against the owner’s Drive storage. A copy you make can count against your own quota. Google Photos treatment also depends on upload details: some photos backed up in Storage saver before June 1, 2021 do not count. Check the current account breakdown before deleting older photos on the assumption they are using space.
Allow time for the storage total to update
After you delete many files, Google says the storage total may take up to 48–72 hours to update accurately. Check the storage manager again after that period if the account still appears full.

Choose between cleanup and more storage
| Option | Best suited to | What to consider |
|---|---|---|
| Clean up existing content | Accounts with unwanted messages, files, or photos taking up enough space | No purchase is needed, but deleting content is permanent once Trash is emptied. Make sure you target the service actually using the quota. |
| Add storage with Google One | People who need to keep their content or need more shared capacity | Google One adds storage across Google services. Availability and plan details can depend on the account and region; check Google’s current storage purchase information. |
| Contact an administrator | Work or school account users | Storage may be controlled by the organization. Google says these users cannot buy storage for themselves and should contact their administrator. See Google One storage help. |
Google’s guidance also says that if an account remains over quota for two years, it may delete content across Gmail, Drive, and Photos. This is a policy warning, not a guarantee that deletion will happen on a particular date; consult Google’s current storage-management guidance.
