Look separately at what you submit, what the service gathers during use, whether people may review interactions, how the data is used, and how long it is retained. A training opt-out does not necessarily stop storage, safety processing, or human review.
What data does this AI tool collect?
Start by listing every way information reaches the service. A chat box is only one possible source: uploads, voice, connected apps, and device information can have separate data flows. For example, Google’s Gemini Apps Privacy Notice lists prompts and spoken requests, shared files, videos, screens and photos, Gemini Live recordings and transcripts, feedback, connected-app information, and device or app information. - Information you provide: prompts, pasted text, files, images, audio or video, and feedback.
- Information generated or collected during use: responses, activity history, usage logs, device details, and possibly location information.
- Information accessed through integrations: mail, calendars, cloud files, browser pages, connected services, extensions, or third-party agents.
Write down the product’s name, whether you use its website or app, whether the account is personal or managed by work or school, your country or region, and which features are enabled. Check whether the notice covers signed-in and signed-out use, embedded versions, voice, memory, browsing, file uploads, connected apps, and agents separately. Google says its Gemini Apps notice covers signed-in use, while its general Privacy Policy explains signed-out use. Microsoft advises users to check an agent’s own privacy statement and terms. Also look for whether interactions can be reviewed by people, including contractors or service providers. Google’s notice says some Gemini data may be reviewed by human reviewers and cautions users not to enter confidential information they would not want a reviewer to see or Google to use to improve its services.

Does this AI tool use my chats to train its models?
Find the provider’s data-use or model-improvement policy and read the exact wording for your account type. Policies can differ between individual, business, API, school, and organization-managed services—even when they share a brand. Do not treat “not used for training” as meaning “not stored,” “not reviewed,” or “not processed for safety.”
Separate the possible purposes in your notes rather than treating “use my data” as one question:
- Providing the answer or operating the service
- Personalization, memory, or activity history
- Product improvement and generative-model training
- Quality or safety review
- Advertising and usage measurement
- Security, fraud prevention, and legal compliance
For each purpose, record whether it is on by default, whether you can change it, whether the control applies to the whole account or only a feature, and whether it affects past activity or only future interactions.

Examples from current provider policies
The following are provider-specific examples, not a universal privacy ranking. Verify the current terms for your product, region, and account. These policies were checked October 4, 2026.

When you consult a support page, check its update date and version scope. Microsoft explicitly labels one Copilot privacy-controls page as applying to an older app version and directs readers to newer instructions. Microsoft’s Copilot controls guidance.
Can people at the company review my prompts?
Look for the words “human review,” “service provider,” “quality,” “safety,” and “abuse investigation” in the privacy notice. A service may allow limited review for purposes such as improving services or protecting users, even if a separate training control is off. Check whether the policy explains which data can be reviewed, who may review it, and whether reviewed material follows a different retention period.

Google’s Gemini Apps Privacy Notice says some collected data is reviewed by humans, including trained service providers. It warns: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.” Google’s notice and its review warning.
For sensitive work or school use, check your organization’s administrator documentation and contract terms before entering confidential information. Organization-managed products can have different protections and controls from a personal account, and agents or connected services can introduce additional terms.
How long does the AI tool keep my chats?
Find the retention period for ordinary history, temporary chats, human-reviewed content, backups, safety investigations, and records held for legal reasons. A visible history setting or deletion button may not erase every copy immediately. Quote a retention period only with its provider and policy context; the figures below are not industry standards.

- OpenAI: OpenAI’s US Privacy Policy says personal data is generally removed within 30 days after a deletion choice, subject to stated exceptions. It also says Temporary Chats are automatically deleted within 30 days, subject to safety or legal retention. OpenAI US Privacy Policy.
- Google Gemini Apps: The notice gives 18 months as the default Gemini Apps Activity auto-delete period, with alternatives described in the notice. It also says chats reviewed by human reviewers and related data may be retained for up to three years and are not deleted when account activity is deleted. Gemini Apps Privacy Notice.
Check the notice for the date it was updated and the account or region it covers. A provider’s stated period is a policy commitment with qualifications, not proof that every copy disappears on that exact day.

Use the provider’s current official help pages for the interface you have; labels and navigation can change. These sources describe the available settings rather than guaranteeing a fixed menu path for every account.

- Open the privacy or data-controls area. Find settings for chat history or activity, model improvement or training, memory, voice, connected apps, personalization, export, and deletion.
- Record current values before changing them. Note whether each control applies to future activity only, older activity too, one feature, or the entire account.
- Review and delete saved activity. Check whether you can remove one conversation, clear all history, or set automatic deletion. Google points personal Gemini users to Gemini Apps Activity; managed accounts may have administrator-controlled activity settings. Google Gemini Apps Activity settings.
- Check temporary-chat or incognito options. Read what the mode changes and what exceptions remain; a temporary mode does not automatically mean zero retention.
- Export or request deletion if needed. Use the provider’s account tools or privacy channel, then keep a record of the date and product. Read the policy for exceptions and retention after a request. OpenAI’s privacy policy and data rights information.
Do not submit confidential material just to test a setting. If a control’s scope is unclear, ask the provider’s privacy contact or your organization’s administrator a specific question and save the answer with the date and product version. OpenAI documents its data controls and Temporary Chat behavior; Microsoft documents separate conversation and voice training controls for eligible Copilot users. How should I compare AI tools?
Compare like with like: use the same account class and comparable features. A personal assistant should not be ranked against an enterprise plan as if their policies were interchangeable. For each candidate, check:
- Data categories collected, including uploads, voice, activity, and device information
- Connected sources and permissions
- Default training use and available opt-out controls
- Retention, deletion, and export rules
- Human review and safety processing
- Memory and personalization settings
- Administrator controls and contractual protections
- Region, product version, and applicable terms
Prefer the service and settings whose documented scope fits your needs. If a policy does not clearly answer a material question—such as whether a particular agent’s uploads are retained—ask the provider or administrator rather than inferring an answer from the brand’s general privacy page.
