The steps depend on whether you use a personal Microsoft account or a work or school account managed by an organization. For work or school, open View account from your Microsoft 365 profile menu and edit the fields that are available. If a name or other detail is locked, your organization’s IT administrator or HR team may need to change it.
First, identify your account type
A personal Microsoft account and an organization-managed work or school account use different account settings. Microsoft’s Microsoft 365 account-settings guidance distinguishes personal Microsoft 365 Personal or Family accounts from work or school accounts. Make sure you are signed in with the identity whose details you want to change.

Change a work or school display name or other account details
- Sign in to Microsoft 365 with the relevant work or school account.
- Select your profile photo or account icon, then choose View account.
- Open Personal info to see your basic contact and account information. Select an edit control only for a field Microsoft makes available, then save the change.
The available controls vary by organization, and Microsoft notes that an organization may not allow users to change details in Personal info. A display name, job title, and other account details are separate fields; changing one does not establish that the others, or your email address, have changed.

Ask your organization’s IT administrator or HR team whether the field is managed centrally. Microsoft Support says some organizations do not allow users to change their names and advises contacting the IT administrator for support: Microsoft’s work or school account name guidance.

Change a work or school profile photo
Use the My Account portal
- Sign in to the My Account portal with your work or school account.
- Select the edit icon on your current profile photo.
- Upload the replacement photo and save.
If the photo edit control is unavailable, your organization may restrict photo changes.
Use Outlook on the web
- Select your profile picture and choose View account.
- In the My account pane, select the picture.
- Upload the new photo and select Apply.
Microsoft says the updated photo appears the next time you sign in to Microsoft 365; it does not give a universal propagation time for photos.

Change a personal Microsoft account display name
Sign in to your personal Microsoft account and edit the display name in its account settings. Do not use the work or school View account instructions for a personal account: the account types have different settings and are not interchangeable.

If an option is missing or changes have not appeared
- Check which account is signed in. Confirm that the profile menu shows the intended work, school, or personal identity.
- Look for a field-specific edit control. The organization may expose some details for editing and keep others centrally managed.
- Contact IT or HR about organization-managed details. A missing or locked control can reflect policy rather than a setting you have overlooked.
- Allow time for a name update. Microsoft Support says a name change can take up to 24 hours to update everywhere. This timing applies to names, not as a general promise for photo updates.
- For work or school sign-in trouble, contact your IT administrator.
