In Microsoft Forms, the gray “placeholder” text you see inside certain inputs (like text boxes) is the control’s default hint. It’s there to show where the user should type or what format is expected.
What most people want, though, is simple: replace that default hint with their own wording (for example, change something like “Enter your response” to “Enter your email address”). The catch is that Microsoft Forms doesn’t give you a direct setting to edit placeholder text for built-in question controls.

This guide explains what’s possible, what isn’t, and the most reliable ways to make your form behave like it has custom placeholder text—using instructions that users will actually read.
What Placeholder Text Means in Microsoft Forms
Placeholder text is the light-gray hint shown before the respondent types anything. For example, a Text question typically shows a default prompt inside the response field, and date/number inputs often show a format-style hint.

In Microsoft Forms, that hint comes from the question control itself. You can control the question label and description, but not the internal control’s built-in hint string.
Can You Actually Change Placeholder Text in Microsoft Forms?
In current Microsoft Forms (web experience), you cannot directly change placeholder text for standard question types. There’s no setting in the question editor for “placeholder,” and changes to the question text or description won’t overwrite the control’s built-in hint.
What you can do instead is replace the effect of placeholder text by writing clearer instructions in the parts of the form respondents can’t miss: the question title and the optional description under it.

If your goal is better completion rates and fewer invalid responses, you want respondents to see the right instructions before they type. These workarounds are the closest practical substitutes for custom placeholder text.
Use the Question Text and Description to Set the Expected Input
Rewrite the question title and add a description that tells users exactly what to enter. This is the most consistent approach across browsers and devices.
Even if the input still shows a default hint, users will see your instructions above the field.
Add an Example in the Description
Examples are often more effective than abstract wording. Put a realistic example in the description, like “Example: 555-0123” or “Example: 2026-05-09”.

Shorten Labels for Mobile-Friendly Prompts
On mobile, long titles can wrap and push the description out of the initial view. Keep the question title short, and put the detailed instruction in the description.
That tends to reduce friction without making the form look cluttered.
Use Section Headers for Multi-Step Clarity
If your form has multiple “modes” of input, use sections (or create separate questions with clear titles). This helps users understand what each field is for even if placeholder text is generic.

Step-by-Step: How to Replace Placeholder Behavior with Instructions
Below are practical edits you can make in the Microsoft Forms editor (the browser version: forms.office.com or the forms panel inside Microsoft 365). The exact wording of UI labels can vary slightly depending on your tenant, but the workflow is the same.
For a Text question
- Open Microsoft Forms and open your form.
- Select the question you want to improve (for example, a Text question).
- Click the question’s Title area and rewrite it to state what the response should be.
- Click Description (if available) and add your instruction.
- Use a concrete format example in the description.
- Preview the form (the Preview button) and confirm the instruction appears above the input field.
Example title + description: Title: “Enter your work email” — Description: “Use your @company.com email. Example: [email protected].”
That produces the effect most people want from a placeholder change, without fighting the built-in control hint.
For Email and Phone-style expectations (without a dedicated placeholder editor)
Microsoft Forms may support input validation for some question types, but for plain Text questions you still need to guide respondents.

- Open the Text question.
- Set the Title to the exact data type (Email, Phone, License ID, etc.).
- In Description, specify the expected format.
- If you can, turn on Required.
- Preview on mobile sizing if possible (or test on a phone) to ensure the description is visible.
If you see an error later, you can also add a brief “If you don’t know your format, leave blank and we’ll follow up” line in the description to reduce wrong attempts.
For Date and Number expectations
Because Forms controls for dates and numbers can show a format-style hint by default, you’ll get the best results by stating the format clearly in the description.
- Select the Date or Number question.
- Click the question’s Description field.
- Write the expected format (for example, “Use YYYY-MM-DD.” or “Enter a whole number (no decimals).”).
- Set Minimum / Maximum if the question type provides those options.
- Preview and test with 2–3 sample entries to confirm the guidance matches what the control accepts.
Example: “Enter your appointment date. Format: 2026-05-09.”

Here’s a quick reference for the parts of Microsoft Forms you can reliably control.
| Form Element | Can You Change It? | Where to Edit |
|---|---|---|
| Question title (label) | Yes | Question editor > Title |
| Description (instructions under the question) | Yes | Question editor > Description |
| Required toggle | Yes | Question editor > Required |
| Built-in placeholder/hint inside the input control | No | No UI option available |
| Theme colors and branding | Sometimes (theme-dependent) | Form settings / theme options |
If your requirement is literally “change the gray hint text,” Microsoft Forms won’t meet it. If your requirement is “tell users what to type,” the description method will.
Common Mistakes That Make It Look Like Placeholder Text Changed (But Didn’t)
- Editing the description but not testing the preview. Description shows correctly in editor, but confirm in Preview.
- Writing instructions only in the form welcome/intro. Some respondents scroll past it; a per-question description is harder to miss.
- Assuming the placeholder will match your title. The internal hint remains the control’s default.
- Making instructions too long. On smaller screens, users may only see the title before interacting with the input.
- Using vague language. “Enter your info” doesn’t guide format. Use an example.
Troubleshooting: Placeholder Text Isn’t What You Expected
If you expected to see placeholder text you wrote, treat this like a systems problem: Microsoft Forms is showing the default hint, and your text is likely elsewhere.
1) Check you edited the right field
It’s easy to edit the Title or Welcome message when you meant to edit the question’s Description. In the question editor, verify you’re in the description area for that specific question.
2) Confirm the question type
Different question types show different built-in hints. A Text question won’t behave like a Number question, even if the title is identical.

3) Validate required/validation expectations
If users are getting errors, your issue may be format validation rather than placeholder text. Make sure you added constraints where supported (for example, min/max for number questions).
4) Test across devices
Placeholder hints and layout can render slightly differently on iPhone, iPad, and Android browsers. Use your phone to confirm the user can see your description before typing.
5) Don’t confuse “placeholder” with “helper text” or “error text”
Some feedback appears only after submission. If you’re seeing guidance after an error, that’s not placeholder text—use the description to set expectations before input.

Alternatives If You Must Edit Placeholder Text
If you truly need to control the exact gray hint inside the input field, Microsoft Forms is the wrong tool. You have a few options depending on how much customization you need.
Use a different Microsoft tool
Depending on your organization’s setup, you may be able to use other Microsoft experiences for custom interfaces (for example, building a form-like experience with Microsoft technologies). The tradeoff is time and maintenance versus Microsoft Forms’ simplicity.
If your requirement is only better instructions, keep Microsoft Forms and use titles/descriptions. If your requirement is literally placeholder editing, plan for a custom UI.
Use a custom form experience (web page) with your own placeholder text
You can build a custom web form that uses an actual HTML input placeholder attribute or equivalent UI component. That gives you full control over the hint text.
The downside is you’re responsible for hosting, accessibility, validation, and data handling. If you already have a front-end stack (for example, JavaScript + your existing backend), this is the most direct path to exact placeholder control.

FAQ
Can I change placeholder text in Microsoft Forms for a Text question?
No. Microsoft Forms doesn’t provide a placeholder editor. Use the question Title and Description fields to instruct respondents on what to type.
Why does my Microsoft Form still show the default gray hint?
That gray hint is generated by the question control. Even after you edit the Title/Description, the control’s built-in placeholder stays the default.
Will my description replace the placeholder text?
Not inside the input box. Your description will appear above the input so users see your guidance before they type.
Does this limitation change for Microsoft Forms in iPhone or iPad browsers?
The inability to customize built-in placeholder text remains. What can change is layout/scroll behavior, so test on the devices your respondents use.
Is there a hidden setting or admin policy to customize placeholder text?
No public Microsoft Forms setting supports editing placeholder strings for standard question controls.
What’s the best way to reduce invalid responses?
Use a clear title, add a description with a concrete example, and apply validation options where the question type supports them (like minimum/maximum for numbers).
Bottom Line
You can’t directly change placeholder text inside Microsoft Forms’ built-in input controls. If your goal is better guidance, rewrite the question title and use the question description to tell respondents exactly what format to enter.
