Set the cadence, test that the screenshot is created and saved, then turn on the schedule.
How the scheduled screenshot workflow works
Scheduling and rendering are separate jobs: Zapier starts the workflow at the chosen time, Urlbox captures the webpage, and a connected storage service keeps the resulting file. You need accounts with both Urlbox and Zapier. The Urlbox guide demonstrates an hourly capture of BBC.com saved to Google Drive; it also names Dropbox and Amazon S3 as possible destinations through connected storage. Before building the automation, decide which URL to capture, how often to capture it, and where the files should go. Those choices determine the schedule and storage setup, and help you estimate the number of renders your workflow will use.

- Confirm access. Create or sign in to your Urlbox and Zapier accounts.
- Create a Zap and choose its trigger. Select Zapier’s Schedule trigger, then set the recurrence you need. Urlbox’s guide describes hourly, daily, weekly, monthly, yearly, or specific-time runs. Choose a cadence that matches the monitoring need rather than capturing more often than necessary.
- Add Urlbox as the capture action. Configure the screenshot request for the target webpage. The Urlbox API reference requires a URL or HTML payload and says a URL must be publicly accessible; do not assume a restricted or authenticated page can be captured. See the Urlbox API reference.
- Choose the render options. Set viewport dimensions or request a full-page capture as appropriate. Urlbox documents full-page stitch mode for accuracy and native mode for speed; choose based on whether complete page coverage or a faster render matters more. See Urlbox screenshot options.
- Connect a destination. Send the output to a folder or storage service, such as Google Drive. Dropbox and Amazon S3 are also named as possible destinations in the Zapier workflow.
- Test before enabling the schedule. Run the Zap manually, inspect the resulting screenshot, and confirm the file appears in the intended destination. Then enable the recurring schedule.
Choose a cadence, volume, and storage plan
Estimate the number of captures before selecting a plan: multiply the number of URLs by the number of scheduled runs in the billing period. The appropriate cadence depends on how quickly the page changes and how much history you need. Urlbox’s guide describes recurring schedules from hourly through yearly, as well as a specific time.

Urlbox’s pricing page lists the following monthly plans and render allowances; prices exclude VAT at the prevailing rate. Pricing and plan limits can change, so confirm the live page and feature access before relying on a particular allowance.

These figures are from Urlbox’s pricing page; the page should be checked for current limits and plan-specific feature access. A Urlbox tutorial updated March 21, 2025, stated a starting price of $19 per month for 2,000 successful screenshots; treat that tutorial figure as dated rather than as a separate current quote.

Use the API when you need your own scheduler
If Zapier is not the right fit, run Urlbox requests from a scheduler you control and handle the render response in your application. For workflows that use asynchronous renders, Urlbox documents a completion notification through webhook_url. Verify webhook signatures with the project’s webhook secret before trusting a notification, then save or process the completed image. See the Urlbox webhook documentation.
For durable archives, do not rely only on Urlbox’s hosted render URL: the API reference and storage guide state that renders are hosted for 30 days by default. Download the output or configure bucket storage if you need to retain files longer. See Urlbox storage documentation.

When this approach fits—and what to verify
- One or a modest set of recurring URLs: a Zapier schedule can start a capture workflow at the interval you choose.
- Many URLs or frequent runs: calculate the monthly render workload and check request-per-minute limits and plan access before depending on the workflow.
- Change monitoring: use a consistent viewport and capture mode so that differences between saved screenshots are easier to interpret.
- Long-term archiving: make sure files are downloaded or sent to persistent storage rather than left at an expiring hosted URL.
- Restricted pages: the cited API documentation establishes URL capture for publicly accessible pages; it does not establish that private or access-controlled pages can be captured.
Urlbox also describes Capturedeck as a separate bulk screenshot product with scheduling capabilities. It is not the same workflow as a Zapier-triggered Urlbox render; check its live product details if you need a dedicated bulk-capture service.
Troubleshooting scheduled captures
The Zap runs but no screenshot is saved
Check the Urlbox action’s run details for a render result or error, then confirm the storage connection and destination folder. A successful capture does not by itself confirm that the file was written where expected; verify the saved file during the manual test.

The target page does not render as expected
Confirm the URL is publicly accessible and that the selected viewport and full-page mode suit the page. If the page depends on content that loads as you scroll, a full-page capture may be more appropriate than a viewport-only image. The cited documentation does not promise capture access to restricted pages.

Recalculate URLs multiplied by scheduled runs and compare the workload with the live plan allowance and request-per-minute limit. Reduce the frequency, capture fewer URLs, or select a plan that supports the workload.

Urlbox documents a 30-day hosting period by default. Download renders or configure storage bucket delivery for files that must remain available beyond that period.
