How to Capture Website Screenshots on a Mac for Client Documentation

Use Mac screenshot shortcuts for a visual record, or Safari’s Web Archive when you need to preserve webpage content rather than its appearance.

For a quick visual record of a webpage on a Mac, open it in your browser and press Shift-Command-4 to select just the page area, or Shift-Command-3 to capture the whole screen. Review the saved image before sharing it. If you need to preserve a Safari webpage and its linked content rather than record its appearance, use Safari’s Web Archive instead; it is not a screenshot.

Choose the right record for the client

What you need Mac or Safari option What it preserves

Keep a Safari webpage for later reference Safari: File > Save As > Web Archive The page’s graphics and links, while destination webpages remain available. It is an archive, not a pixel-identical image.
Keep the page’s HTML Safari: File > Save As > Page Source HTML source only, not the rendered visual appearance.

Apple documents capturing the entire screen, a window, or a selected portion. Its built-in instructions do not establish a universal, browser-independent stitched full-page screenshot command for macOS. Safari’s Web Archive is a preservation option, but it should not be labeled or presented as a screenshot.

Capture a visible webpage with Mac shortcuts

  1. Open the target webpage and arrange the browser so the content you need is visible. Close unrelated windows if they could appear in the capture, and move the pointer away from important text.
  2. Press Shift-Command-3 to capture the entire screen, or Shift-Command-4 and drag the crosshair to select an area. After starting an area capture, press Space to move the selected area without changing its size.
  3. For a window capture or additional controls, use the Screenshot app. Apple notes that some apps may restrict screenshots of their windows.
  4. Review the screenshot thumbnail by clicking it to edit, or wait for the screenshot to save to the desktop. Check the image before attaching it to client documentation.

Apple’s documented capture-format controls tied to supported Mac models running macOS Tahoe 26 or later should not be assumed to exist on older systems or every Mac. Available controls can vary by model and macOS version.

Prepare a screenshot for client documentation

  • Confirm the relevant text and page details are legible at the size the client will view.
  • Check that the image does not expose unrelated windows, notifications, or client information.
  • Use a clear filename or a short note in the client record to identify the page and capture context.
  • Label the attachment as a screenshot so it is not confused with a saved webpage archive or HTML source.

Save a Safari webpage instead of taking a screenshot

When the purpose is to retain webpage content for later reference, choose File > Save As > Web Archive in Safari. Apple says this can save the webpage’s graphics and links, provided the destination webpages remain available. Some webpages may prevent saving items that appear on the page, so check the resulting archive if completeness matters.

Safari’s Page Source option saves HTML only. Neither Page Source nor Web Archive should be represented as a screenshot of the rendered page.

Inspect page structure when the record is technical

For technical documentation that requires examining webpage contents rather than recording the page’s appearance, open Safari Web Inspector with Develop > Show Web Inspector or press Option-Command-I. You can also right-click the page and choose Inspect Element. Web Inspector is a developer inspection tool, not a screenshot workflow.
