Capture the relevant part of a website with your computer’s screenshot function, insert the saved image in Google Docs, and place a short caption beneath it. For a caption that stays visually attached to the screenshot as the document changes, put both in a two-row table or combine them in a Drawing. Add alt text separately when the screenshot contains information that surrounding text does not convey.

Choose a capture that makes the relevant detail legible. If the report relies on a particular button, setting, or message, include enough surrounding page context for readers to understand where it appears.

Google Docs does not have a universal command to take a website screenshot. The capture step happens on your computer; Docs is where you insert and arrange the resulting image.

Upload a saved image

In the document, click where the screenshot should appear.

Choose Insert > Image > Upload from computer, then select the screenshot file.

Use another insertion method
Docs also supports inserting an image from sources such as Drive, Photos, Stock & web, Camera, or By URL. You can also drag an image from your computer or a website into the document, or copy and paste an image.
Add a readable caption
Google Docs does not provide a dedicated caption feature, according to a Google Docs Editors Community Product Expert response dated June 29, 2026. The simplest workaround is to type ordinary document text below the image.
Make the caption answer two questions: what page or interface is shown, and why does the image matter to the report? For example: “Figure 2. The account settings page shows the selected privacy option.” Use a figure number if the report refers to screenshots by number, and keep the description specific to what the image actually shows.

Keep the image and caption together
| Method | Best for | Trade-off |
|---|---|---|
| Text below the image | The quickest, easiest-to-edit caption. | The image and caption are not deliberately grouped; document edits can affect their layout. |
| Two-row, one-column table | Keeping a screenshot and caption visually close: put the image in the first row and the caption in the second. | It uses a table to control the layout. You can hide its borders by changing their color or width. |
| Drawing | Making the screenshot and caption a single composed object. | The image and text are composed with Drawing tools rather than kept as separate ordinary document elements. |
Use a table for a practical report layout
-
Insert a one-column, two-row table where the screenshot belongs.

Place the screenshot in the first row and type its caption in the second.

If you do not want visible grid lines, change the table border color or width.
Use a Drawing for a combined object
Choose Insert > Drawing and use the Drawing tools to add the image and a text box. Arrange them together, then insert the composed result into the document. This approach is useful when you specifically want one combined image-and-caption object.
Add alt text for accessibility
A visible caption and alt text have different jobs. The caption is document text that readers see; alt text gives screen-reader users an audio description of visual content. When the screenshot conveys information not already stated nearby, add alt text as a separate description. Do not rely on the caption as the only description of meaningful visual information.
Or skip the browser setup
If you need screenshots through an API rather than capturing each page manually, ScreenshotNeo can return a screenshot or PDF from one GET request. Before capture, it accepts the cookie or consent banner like a visitor and removes more than 60 known consent platforms, newsletter popups, and chat widgets; each of those steps can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed, and the response reports the page verdict and billing status in headers. Its MCP server provides screenshot and PDF tools for AI agents.
For example, save a WebP screenshot of a page with cURL:

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
Replace YOUR_API_KEY with your API key and change the target URL as needed. See the ScreenshotNeo API documentation for request options. Plans include 1,000 screenshots a month free with no card; paid plans start at $5 for 3,000. Sign up for 1,000 free screenshots a month with no card.
Troubleshoot common problems
The screenshot is not in the document
Check that the image was saved where you expect, then retry Insert > Image > Upload from computer and select that file. If you copied the screenshot instead, confirm the capture is on the clipboard before pasting.

The caption drifts away from the screenshot
Use the two-row table layout or compose the pair in a Drawing when keeping them visually together matters. Ordinary text below an image is easier to edit but does not deliberately group the two elements.
Screen-reader users cannot tell what the screenshot shows
Add alt text describing visual information that is missing from the nearby report text. A caption remains useful visible context, but alt text is a separate accessibility description.
The caption sounds vague
Name the page or interface and the detail relevant to the report. Replace labels such as “Screenshot” with a concise description that tells the reader what the image demonstrates.
