How to Capture and Organize a Gmail Workflow with Screenshots

Use Gmail labels and filters to organize recurring mail, then capture a clear, privacy-safe record of the workflow and its outcome.

Use Gmail labels to categorize messages, filters to automate recurring sorting, and a small sequence of sanitized screenshots to document how the workflow is set up and what it does. Gmail labels are not conventional folders: a message can have multiple labels, and archiving is a separate action that removes it from the inbox without making it disappear from All Mail.

Plan the workflow before capturing it

Choose a few categories that match the way you handle mail, then decide which messages should be labeled manually and which arrive often enough to justify a filter. Google Workspace presents Action, Follow-up, and Later as one possible label-based inbox example—not a rule everyone needs to follow. Adapt the names to your own work.

  • Action: messages that need a task or response.
  • Follow-up: conversations you are waiting on or need to revisit.
  • Later: useful messages that do not need attention now.

For a small or changing volume of mail, apply labels as you review messages. For recurring mail with predictable criteria, use a filter to apply a label automatically. These approaches can be combined.

Understand labels, nesting, and archiving

Gmail uses labels to categorize messages rather than treating folders as the primary organizing structure. A message may have more than one label, so it can belong to multiple useful categories at once. You can also nest labels to express a hierarchy, such as a parent label for Projects and child labels for individual projects. Start with a flat set if it is easier to scan; add nesting only when it helps you find mail.

Applying a label does not, by itself, move a message out of the inbox. Archiving is a separate action. Archived messages remain findable in All Mail, and a reply to an archived conversation returns it to the inbox. See Google’s guide to organizing and archiving email and its explanation of labels and filters.

Create labels and document the starting state

Google’s help pages describe label creation and nesting, but Gmail’s interface can change. Check the current interface in your account before recording click locations or naming individual controls. The screenshots below are documentation subjects, not operating-system or browser-specific instructions for taking a screenshot.

  1. Open Gmail and capture the inbox with the labels area visible. Use a test account or obscure personal information.
  2. Create the labels you plan to use. If the workflow needs hierarchy, create a nested label as well.
  3. Capture the labels area again so the new categories and any nesting are visible.
  4. When making screenshots for a guide, hide or remove names, email addresses, message subjects, account identifiers, and notification details.

Build and test a filter before saving it

A filter uses search criteria to identify messages and can automatically perform actions on matching incoming mail. Sender, subject, and other search criteria can help target a recurring type of message. The important check is whether the criteria find the mail you actually intend to organize: Google recommends reviewing the search results before creating the filter.

  1. Enter the intended search criteria in Gmail and run the search.
  2. Inspect the results. Refine the criteria if unrelated messages appear or expected messages are missing.
  3. Capture the criteria and the results, with sensitive message details obscured. This records what the filter is designed to match.
  4. Open the current filter-creation flow and choose the actions that fit the workflow, such as applying a label or archiving. Google also documents deleting and starring as possible filter actions.
  5. Capture the selected actions before saving. Only describe options that are visible in the interface you are documenting; do not imply that older matching messages will be changed unless you verify and show the relevant option.
  6. Save the filter, then check a matching message to confirm the expected label or other selected action.

For a label-only rule, the message remains in the inbox unless another action changes that. Add archive only when you want matching mail out of the inbox; the message remains accessible in All Mail.

Capture the workflow’s outcome

A useful screenshot set shows the setup and the result, not just a finished inbox. Keep each image focused on a meaningful state:

Choose manual labels, filters, or an API

Approach Best fit What it does
Manual label Mail that is occasional, varied, or best judged by a person You apply one or more labels while reviewing the message.
Filter Recurring messages with criteria you can test reliably Gmail matches incoming mail against search criteria and can apply actions such as labeling or archiving.
Nested labels A category with meaningful subcategories Organizes labels in a hierarchy; it is compatible with either manual labeling or filters.
Gmail API Developer-built mailbox automation The API documentation covers filters that can add or remove labels or forward mail, and mailbox change notifications through Google Cloud Pub/Sub.

These choices solve different problems rather than competing as one-or-the-other systems. Google’s Gmail API overview is the appropriate starting point for developer automation; it is not necessary for a personal label-and-filter workflow.

Where can I edit my email filters?

Gmail’s filter controls and exact screen locations may vary as its interface changes. Use the current Gmail settings and look for the filters section; verify the visible labels and actions before documenting the route.
