If only the vehicle or transport leg has changed, update Part B of the existing e-way bill. First decide what changed
An e-way bill is the document required in specified cases for the movement of goods under section 68 of the GST Act and Rule 138. The right action depends on whether the changed information is in Part B or elsewhere in the submitted bill.

NIC’s official FAQ states: “The e-way bill once generated cannot be edited or modified. Only Part-B can be updated.” That makes a vehicle change different from correcting the shipment information used to generate the bill.

Use three checks to decide which route applies: which field changed, when the bill was generated, and whether it has been verified in transit. A vehicle or transport-leg change points to Part B. A mistake in the underlying shipment details points to cancellation and fresh generation, but only if the cancellation conditions are still met. A vehicle update does not solve an invoice or goods error, and a cancellation request cannot be used after the bill has been verified in transit.
Before taking action, compare the generated bill with the transaction documents and the movement that will actually take place. Identify the exact field that is wrong rather than treating every change as a general “edit.” This helps avoid choosing a vehicle-update option for a non-Part-B error or relying on a bill whose underlying details do not match the shipment.
How to update a vehicle number or transport detail
NIC says the bill’s generator or the transporter assigned to it can update vehicle details. Use this route when the consignment is still covered by the same e-way bill and only its transportation details have changed, such as after a vehicle breakdown or transshipment.

- Open the e-way bill record in the official portal. Select the “Update vehicle number” option in Part B, as described in NIC’s official Q&A.
- Enter the replacement vehicle details and submit the update. The generator or assigned transporter may perform the update. Follow the fields and validations currently shown in the portal.
- Continue the journey within the original validity. NIC’s guidance says the new vehicle continues under the original e-way bill validity. A vehicle update is not itself stated to extend that validity.
NIC’s Q&A describes the breakdown case this way: “If he has to change the vehicle, then he has to enter the new vehicle details in that EWB, on the eway bill portal, using ‘Update vehicle number’ option in Part B and continue the journey in new vehicle, within the original validity period of e-way bill.”
Breakdown, transshipment and other transport changes
A breakdown is a practical example of why Part B can need updating: the goods may remain the same, while the vehicle carrying them changes. NIC’s Q&A also addresses transshipment. In either case, the distinction is that the transport arrangement changes, not the invoice or the underlying particulars of the consignment. Update the vehicle details in the existing bill when that is the actual change.
Do not treat a vehicle change as permission to replace or rewrite the shipment data in the bill. If the consignment itself, the parties or another non-Part-B entry is incorrect, the vehicle-update function does not correct it. Follow the cancellation rules for that separate error, if cancellation is still permitted.

The role of the person making the update matters as well. NIC identifies the generator or the transporter assigned to the bill as able to update vehicle details. If the assigned transporter is handling the update, coordinate so the actual vehicle details entered match the vehicle that will carry the goods. The official guidance does not establish one universal sequence of portal screens for every portal version, so use the current portal prompts rather than relying on old screen-by-screen directions.
When the goods cannot reach their destination in time
A replacement vehicle does not reset the validity clock. Rule 138 includes an exceptional provision for a new e-way bill after Part B is updated when goods cannot be transported within the validity period. This is not a general extension available whenever a journey is delayed: check the current rule and portal requirements for the applicable circumstances before relying on it.
Keep the ordinary vehicle-change rule separate from this exceptional situation. Ordinarily, NIC says to continue in the new vehicle within the original validity period. The exceptional rule concerning inability to complete transport within validity is a distinct provision, not an automatic consequence of entering a new vehicle number. Do not assume that a breakdown, a late update or a new vehicle on its own authorizes more time.
How to cancel an incorrect e-way bill and issue a new one
For an error outside Part B, the official guidance is to cancel the incorrect bill and generate a fresh one with the corrected details. Cancellation is not deletion or an in-place correction; the original bill remains subject to the system’s cancellation status and the legal restrictions.
- Check the cancellation conditions immediately. Under Rule 138 and NIC’s FAQ, cancellation is available within 24 hours from generation when the goods have not been transported or have not been transported according to the information furnished.
- Check whether transit verification has taken place. A bill verified in transit under Rule 138B cannot be cancelled. The 24-hour period does not override this bar.
- Cancel through the e-way bill portal if both conditions are met. Use the cancellation function available for the bill and follow the portal’s current prompts. The official materials establish the time and eligibility limits but do not establish one fixed sequence of screen labels for every portal version.
- Generate a fresh e-way bill using the correct shipment details. Do not continue relying on the incorrect bill as though it had been silently amended. Check the new bill’s details and validity before the goods move.
NIC’s FAQ says cancellation “is required to be done within twenty four hours from the time of generation.” Rule 138 additionally conditions cancellation on the goods not having been transported, or not having been transported according to the information furnished, and disallows cancellation after verification in transit.

What does the 24-hour condition mean in practice?
The clock is measured from the time the e-way bill was generated, not from the moment someone notices the error or decides a correction is needed. Check the bill’s generation time as soon as you identify a non-Part-B mistake. If the deadline is close, do not postpone checking eligibility while attempting to find an edit function: NIC says the submitted details cannot be changed in place, and the cancellation window is limited.

The deadline is only one part of the test. Rule 138 describes cancellation where the goods have not been transported or have not been transported according to the information furnished. It separately bars cancellation after transit verification under Rule 138B. Therefore, being within 24 hours does not make a bill cancellable if the verification bar applies, and being unverified does not make it cancellable after the deadline.
If you meet the stated conditions, the correction route is two linked actions: cancel the incorrect bill and then generate a fresh bill using the accurate information. Do not confuse that with deleting the record, changing the original bill’s submitted details, or creating a second bill while assuming the first one has been corrected. Confirm the status shown by the portal and retain the relevant bill details for your records.
What if 24 hours have passed or the bill was verified?
The official materials establish no general late-cancellation workaround. They also state that cancellation is unavailable once the e-way bill has been verified in transit. Do not assume that a portal request, correction to another field or fresh bill will erase or cure the status of the original bill.

There is no general late-cancellation remedy established in NIC’s FAQ or the Rule 138 material described here. Avoid relying on informal advice that a late cancellation, deletion or silent amendment will be accepted. Explain the specific circumstances to the GST helpdesk or a qualified GST professional, including what was wrong, when the bill was generated, whether movement has occurred and whether transit verification is shown.
Likewise, do not mistake issuing a fresh e-way bill for resolving the status of an earlier one. The official route for an eligible error is cancellation followed by fresh generation. When cancellation is no longer allowed, the appropriate next step depends on the facts and current official guidance; the material cited here does not establish a substitute portal procedure.
Check validity before the goods continue moving
Rule 138 sets distance-based validity. The rule table states one day for a distance up to 100 km, then one additional day for every further 100 km or part of 100 km. NIC’s FAQ summarizes ordinary validity as one day for each 100 km or part and says validity expires at midnight on the last day.

For example, the table’s “or part” wording means the additional-day calculation is not limited to complete blocks of exactly 100 km. This is a description of the ordinary distance table, not a substitute for checking the validity calculated for a particular bill. NIC says ordinary validity expires at midnight on the last day; use the expiry shown for the bill and confirm the applicable rule rather than assuming a vehicle update changes that expiry.

Do not treat this summary as universal for every movement. Rule 138 also contains a separate provision for over-dimensional cargo, and applicable exceptions or later notifications may affect the calculation. Check the current consolidated rule and the validity shown for the particular bill. Updating Part B does not, by itself, grant extra time.
