For GST records, bulk-download the portal’s official PDFs, spreadsheets or JSON files first; use screenshots only to preserve visible page context, such as a filed status, message or selected period. GSTN guidance documents downloads for several record types, but the sources reviewed do not establish an official bulk-screenshot feature. This guide shows how to build a traceable records set without treating screenshots as substitutes for portal-generated records.
Start with the GST Portal’s original downloads
Sign in to the official GST Portal and locate the relevant taxpayer, period and record. Download the filed or generated artifact before taking screenshots, and retain its original file and format where practical. A downloaded record is generally more complete and reusable than a picture of a page; a screenshot can add context about what the portal displayed at the time.

- GSTR-2B: GSTN says generated GSTR-2B data can be viewed and downloaded by tax period in Excel and/or JSON. Table-wise Excel downloads are available when the total number of documents across tables is up to 1,000. Above that count, the FAQ points users to advance search or downloading the entire file. - Filed GSTR-3B: The GSTN manual directs users to select Download Filed GSTR-3B; the resulting PDF bears a final-form watermark. GSTN: GSTR3B – File Nil Return
- GSTR-9C: A GSTN utility guide says filed data can later be downloaded from the File Annual Returns page, including JSON, PDF and Excel files and taxpayer-uploaded PDF/JPEG files. - Electronic ledgers: A GSTN functionality compilation from 2021 describes viewing electronic credit, cash and liability ledgers for 12 months and downloading PDF and Excel versions. This is historical functionality guidance; do not assume the same viewing window applies to every current portal view. - Certificates: GSTN says issued certificates appear under Services > User Services > View/Download Certificates and can be downloaded as PDFs. GSTN: View / Download Certificates

Build a traceable screenshot set
Capture only pages where the visible state adds something the download does not—for example, a filed status, portal message, relevant filter or navigation state, or an item without a supporting download. The steps below are practical recordkeeping advice, not a GSTN-prescribed workflow or naming standard.
- Choose the record and context. Note the taxpayer, financial year or return period, and portal section you need to document.
- Download the source artifact. Save the portal-generated PDF, spreadsheet or JSON first. For a large GSTR-2B dataset, use advance search or the full-file option rather than trying to capture every row as an image.
- Capture the useful page state. Use your computer’s ordinary screenshot function or a browser capture method to save the page. Include enough visible context to identify the portal section and selected period. Avoid unrelated taxpayer or personal information; never include credentials or OTPs in an image.
- Name each image consistently. A practical pattern is
GSTIN_record-period_page-sequence_YYYY-MM-DD.png. Include the date, record type, period and sequence so files sort and can be identified later. This is a suggested convention, not an official GSTN standard. - Maintain a simple index. Record each screenshot filename, what page or status it shows, and the corresponding downloaded source filename. This makes it easier to connect visible context to the underlying record.
- Store the set securely. Keep downloads and screenshots in a controlled folder, limit access to people who need it, and maintain a separate backup under your organization’s own records policy.
Automate screenshots only with care
The GSTN materials cited here document downloads and portal functions, not an official bulk-screenshot tool or endorsement of browser extensions or desktop automation. Treat browser automation as a general computer technique, not a GST Portal feature. Before automating interaction with an authenticated account, check current portal terms, security practices and your organization’s policy. In particular, protect session credentials and avoid scripts that expose taxpayer data in logs or shared storage.
