How to Build an Expense Approval Workflow in n8n

A practical n8n pattern for capturing expense claims, checking policy, routing human approvals, and recording every outcome against a stable claim ID.

Build an expense approval workflow in n8n by capturing each claim, validating it against explicit company policy, saving it to a ledger under a unique ID, and routing it to a human approver. The key design choice is to write every decision—including rejection, timeout, and error—to that same claim record. Treat the pattern below as a configurable implementation, not an audit-approved control design: your organization must set its own thresholds, approval authority, reimbursement rules, and retention policy.

What the workflow should do

A dependable workflow separates data capture, policy checks, human judgment, and recordkeeping. Keep the amount, currency, dates, category rules, and approval thresholds explicit. Automation can flag a claim or select a route; a responsible person should make the reimbursement decision.

  1. Receive a claim through a structured form or webhook. Add a dedicated mailbox or Drive folder if employees commonly submit receipt attachments.
  2. Normalize the claim and check that required information is present.
  3. Apply deterministic policy and duplicate checks before seeking approval.
  4. Save the claim as pending approval in a ledger before sending a request.
  5. Collect an approver’s decision and write it back to the ledger using the claim’s stable ID.
  6. Notify the employee and explicitly handle rejection, no response, and workflow errors.

n8n’s gallery illustrates these building blocks in examples for processing invoices from Gmail and Drive, approving and auditing expense claims, and approving employee expenses. These are configurable templates, not universal accounting controls.

Choose an intake route

Form or webhook

A structured form or webhook is a straightforward starting point when employees can enter claim details directly. Define required fields at intake and decide how receipt files or links will be attached. n8n’s employee-expense template uses a webhook-style intake, while its expense-claims example also describes webhook intake.

Email or Drive

If claims arrive as attachments, monitor a dedicated mailbox or folder rather than relying on employees to copy data into a form. n8n gallery examples include Gmail and Drive monitoring as well as email-based intake. Restrict what the workflow processes to the intended source so unrelated documents do not become claims.

Pick one route for the first version. Combining several intake paths is easier after the record format and downstream decision process are stable.

Normalize and validate each claim

Convert every submission into the same internal claim shape, regardless of where it arrived. At minimum, capture:

  • A stable, unique claim ID
  • Employee identity and submission date
  • Amount and currency
  • Merchant and expense date
  • Category and description
  • Receipt reference or link

Check required values before policy evaluation. Define how the workflow handles unsupported currencies, malformed dates, missing receipts, and amounts that cannot be parsed. If receipt extraction is used, preserve the original receipt and compare extracted totals with the submitted or otherwise established claim total. Send incomplete or contradictory data for correction or review rather than silently continuing. n8n’s invoice example includes checks for extraction completeness and totals before proceeding.

Apply policy checks before approval

Keep policy rules in a form the organization can maintain, such as a small policy table. Evaluate those rules deterministically rather than asking a free-form model to decide whether reimbursement is allowed.

  • Completeness: Are required fields and receipt evidence present?
  • Duplicate risk: Does the claim appear to match an existing ledger entry or receipt?
  • Threshold and authority: Which approver is responsible at this amount and category?
  • Local restrictions: Does the claim meet organization-defined category, date, or other rules?

State how currency conversion, date boundaries, and category matching work. If a rule cannot be evaluated reliably, route the claim to a person instead of treating uncertainty as approval. n8n’s expense-claim template demonstrates policy thresholds and ledger-history checks; its invoice example includes duplicate checking and threshold routing.

Write to a ledger before requesting a decision

Create or update the claim record before sending the approval request, with a status such as PENDING_APPROVAL. This makes the claim findable if an email is missed or a workflow stops after the request is sent. Use the stable claim ID as the key for later updates; do not rely on a subject line or employee name alone to identify the record.

A useful ledger record includes the claim ID, submitter, amount and currency, category, receipt link, policy outcome, approver, status, timestamps, and decision comment. Add only fields the organization can maintain and protect appropriately. n8n’s gallery examples use sheets as ledgers and include status tracking; the exact schema is an implementation choice.

Route the claim to a human approver

Send enough context for the approver to inspect the claim and receipt, with clear approve and reject choices and an optional comment. The response must be tied back to the claim ID, then recorded with the approver, decision time, and comment where available.

n8n documents human review before an AI Agent executes a tool: “You can require human approval before an AI Agent executes a specific tool.” Its human-review documentation lists channels including Slack, Telegram, Gmail, Teams, Google Chat, and others. A human-review pause is useful for consequential actions, but the channel itself does not guarantee a complete expense record.

Email for a simple approval

The Gmail node includes a send-and-wait-for-approval operation, suitable for a simple request-and-response pattern. n8n’s documentation says: “For more complex approvals, consider using the Wait node.” Choose the mechanism based on the process you need, then verify that its outcome updates the correct ledger entry.

Other channels for an existing team process

Slack and other documented human-review channels may fit better when approvers already work there. A channel change does not remove the need to retain the decision against the claim record. Evaluate each option by whether it captures the approver and decision, returns reliably to the same claim, and supports your required exception paths.

Close every outcome explicitly

Do not let a claim remain indefinitely pending just because a response did not arrive. Define statuses that distinguish the main outcomes, for example:

  • APPROVED or REJECTED after a decision
  • A clear incomplete or needs-review state when data or evidence is missing
  • A no-response or expired state when the decision window ends
  • An error state or escalation when workflow execution fails

On approval or rejection, update the existing record and notify the employee. For a timeout or execution error, identify an owner who can follow up and document the next action. One n8n invoice example configures a three-day decision wait and a no-response outcome; that is an example setting, not a generally recommended deadline. Set the response window and escalation rules to match your organization’s process.

Add receipt AI only after the basic flow works

Begin with one structured intake route, a small policy table, a ledger, and one approval channel. Manually inspect a claim record before adding extraction. If AI is used to read receipts or suggest categories, constrain its output to a defined schema, validate required values, preserve the original receipt, and route uncertain or contradictory results for review. Do not use a language model as the final reimbursement authority.

For policy-specific integration with existing finance tools, an n8n workflow implementation can be adapted to the organization’s rules and systems. Keep approval authority and policy ownership with the organization rather than embedding undocumented assumptions in the automation.

Test before turning on automatic intake

Use representative sample data and confirm both the ledger record and the behavior of each route. Test at least:

  • A valid claim that is approved
  • A claim that is rejected, including its comment if used
  • A likely duplicate
  • A missing or incomplete receipt
  • A claim just below, at, and above a policy threshold
  • A request with no response before the configured deadline
  • A workflow execution error and its owner notification

Confirm that every decision updates the original claim ID, the status is understandable to finance and the employee, and no branch leaves a claim without an owner. n8n’s gallery examples demonstrate ledgers, status updates, no-response handling, and error alerts; these tests are implementation guidance for validating your own configuration.
