A WordPress intranet is a private website for employees: use a domain or subdomain reserved for internal work, require authentication across the site, block search indexing, then add team spaces, a staff directory, policies and protected documents. The reliable build order is privacy first, permissions second, collaboration features third, and launch content last.
Antihost offers managed WordPress hosting with free migration, one-click staging and a 14-day free trial.
Define what the intranet must do
Write a short scope before installing plugins. An intranet may be a document hub, an employee directory, a discussion space, an announcement board, or all of those. Each function changes the access rules and the plugins you need.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →- Information hub: policies, procedures, benefits information and frequently used forms.
- Team workspace: department pages, project groups, discussions and direct messages.
- Internal publishing: announcements that every employee can read, with a small group allowed to publish.
- Directory: names, departments, locations, contact methods and reporting lines.
- Private file area: documents whose URLs must not work for logged-out visitors.
Decide whether every employee should see the same material. A single private site is easier to operate; separate department areas provide better confidentiality but require more careful role and membership management. List information that contractors, temporary staff and outside partners must not see before you create any groups.
Choose the site address and hosting model
Use an internal-only address
Reserve a domain or subdomain for the intranet rather than placing it in a public marketing site. Common patterns include intranet.yourcompany.com and team.yourcompany.com. Keep the address stable so bookmarks, links in onboarding material and integrations do not break when the site is redesigned.

A private address does not make a site private by itself. DNS, hosting and WordPress access controls must all be configured. Treat the address as a label, not as a security boundary.
Compare hosting approaches
| Approach | What your team manages | Best fit | Trade-off |
|---|---|---|---|
| Self-managed WordPress hosting | Updates, backups, web-server settings, certificates, monitoring and incident response | Teams with infrastructure expertise and existing operational controls | Maximum control, but the intranet becomes another business system to maintain |
| Managed WordPress hosting | WordPress configuration, users, plugins, content governance and testing; the host handles some platform operations | Small teams that need a private site without running the entire stack | Less low-level control and possible restrictions on plugins or server rules |
Whichever model you select, confirm that it supports HTTPS, scheduled backups, restoration to a test location, adequate PHP and database resources for your plugins, and a way to restrict or remove direct access to uploaded files. The available limits and features vary by host and plan, so record them before committing.

Install a current, supported WordPress release and remove demonstration content, unused themes and plugins. Create a named administrative account for each person who needs administrator rights; do not share one password. Use a password manager and multi-factor authentication if your identity or security tooling supports it.
Set the site URL and HTTPS URL consistently. Mixed HTTP and HTTPS addresses can produce redirect loops, insecure-content warnings and cookies that do not behave as expected. Test the front end and the administrator area in a private browser window before inviting anyone.
Require login for the entire site
An intranet should not depend on employees remembering which pages are private. Make authentication the default for every front-end request, then create explicit exceptions only when you have a reason.
Whole-site login
A force-login plugin is the simplest pattern: unauthenticated visitors are sent to the login screen instead of seeing pages. Verify that the login page, password-reset flow and any required privacy notice remain reachable. Test a logged-out browser against the home page, a guessed page URL, the media attachment URL and the REST endpoints used by your chosen plugins.

Membership-based access
A membership plugin can provide login protection plus per-page rules. This is useful when contractors or departments need different areas. Configure the restriction at the smallest sensible boundary: a whole section, page, category or file collection. Avoid creating dozens of one-off exceptions that nobody can audit later.
Plugins change labels and compatibility over time. After every plugin or WordPress update, retest both a logged-out visitor and each representative role.
Stop search indexing
In the WordPress dashboard, open Settings → Reading and enable Discourage search engines from indexing this site. This is a request to crawlers, not authentication. Keep the login requirement active even if the setting is enabled, and do not publish confidential information on a page that is intentionally public.
Pick the collaboration layer
There are three practical build patterns. Choose one as the core rather than installing overlapping plugins that each try to manage profiles, groups and permissions.
Recommended Free Tools
| Build pattern | Strengths | Limitations and questions to settle |
|---|---|---|
| BuddyPress-based intranet | Group discussions, member profiles, activity streams and instant-messaging-style interactions | Needs a clear moderation policy, profile privacy settings and testing with your theme and other plugins |
| Dedicated intranet plugin | A quicker path to a private network and common employee features; All-in-One Intranet is one example that turns a WordPress installation into an intranet network on activation | Feature depth, role integration and file protection vary by release; verify current documentation and compatibility |
| Membership plugin plus custom pages | Precise control over who can see each page, category or area; works well for a document-first intranet | Discussion, messaging and directories may require separate components or custom development |
Do not select a product solely because a tutorial names it. Check the current release, update history, WordPress compatibility, export options, privacy behavior and what happens when the plugin is disabled. Pilot the selected pattern with a small group before importing company-wide content.
Design the information architecture
Create predictable top-level areas
Start with a short navigation structure that mirrors how employees ask for information:

- Home: current announcements and links to the most-used resources.
- Departments or teams: one area per group, with an owner responsible for keeping it current.
- People: the staff directory and instructions for updating a profile.
- Policies and procedures: approved documents with an owner and review date.
- Forms and tools: frequently used requests, templates and internal links.
- Help: how to request access, report an error or contact an administrator.
Use groups for departments or projects when conversation and membership matter. Use ordinary pages for stable reference material. Keep navigation labels plain; employees should not need to understand WordPress terminology.
Build the directory deliberately
Decide which fields are necessary before asking staff to complete profiles. A useful minimum might be name, role, department, location or time zone, and an approved contact method. Do not expose personal data merely because a profile plugin offers a field. Explain who can see each field and how an employee can request a correction.

Seed useful content before launch
Publish the first announcements, starter pages, policies and contact information before inviting the wider team. An empty intranet teaches people that it is not useful. Assign an owner and review date to every policy area, and archive superseded versions rather than silently replacing material that may be needed for an audit.
Plan roles before inviting users
The default WordPress roles—Administrator, Editor, Author, Contributor and Subscriber—describe publishing capabilities, not most workplace hierarchies. They are usually a poor fit for distinctions such as managers, employees and contractors.
Map real responsibilities
Write a role matrix before creating accounts. A workable starting point is:
| Role | Typical access | Important restriction |
|---|---|---|
| Intranet administrator | Configuration, plugin updates, users, backups and incident response | Use sparingly; separate daily publishing from system administration |
| Content manager | Announcements, policies and approved pages | No plugin, theme or user-management access unless required |
| Department manager | Content and discussions inside an assigned team area | Cannot read confidential areas belonging to other teams by default |
| Employee | Read internal content, participate in permitted groups and maintain an approved profile | No publishing or membership changes outside assigned capabilities |
| Contractor | Only the pages, groups and files needed for the engagement | Set an end date and review access regularly |
Implement custom roles safely
A roles-and-capabilities plugin such as Members can provide a user interface for granular permissions. Developers can also create a role with WordPress’s add_role() function. The following is an illustrative starting point, not a complete policy:

add_role( 'department_manager', 'Department Manager', array(
'read' => true,
'edit_posts' => true,
) );
Audit every capability you grant, especially anything that can publish, delete, export, install or administer. WordPress stores roles and capabilities in the options data under the user_roles key; changing a role in code does not automatically make an unsafe capability safe. Remove obsolete roles and test with a real account for each role.
On multisite, the Super Admin role is separate and has network-wide authority. Do not grant it simply because someone needs to manage one intranet site.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Protect employee data and uploaded files
Use HTTPS everywhere
SSL/TLS is a baseline requirement for an intranet handling employee data. Confirm that the certificate covers the exact hostname, renews automatically or has an owner and alert, and redirects HTTP to HTTPS. Check that login cookies are marked secure and that embedded resources do not fall back to HTTP.
Reduce password-attack risk
Install and configure a maintained login-rate-limiting solution such as Limit Login Attempts Reloaded. Set thresholds that deter automated guessing without locking out an entire office behind one shared IP address. Combine rate limiting with strong unique passwords, administrator least privilege and monitoring for unusual login activity.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsMake private uploads genuinely private
WordPress media URLs can be predictable. If a file must be visible only to logged-in users or a particular role, do not assume that hiding its page is enough. Use a file-library or access-control solution that checks authorization before serving the file, or implement an equivalent server-side rule with someone who understands your hosting stack.
Test this control directly: upload a non-sensitive test file, copy its direct URL, sign out, open a private browser window and request the URL. A secure result is a denial or login redirect, not a successful download. Repeat with a logged-in user who lacks the required role.
Best Value
Consider single sign-on
Single sign-on can let employees use existing company credentials and simplify onboarding and offboarding. Treat it as an integration project: define the identity provider, group-to-role mapping, recovery path if the identity service is unavailable and an emergency administrator account. The integration must not bypass page, group or file restrictions.
Patch like a business system
Keep WordPress, themes, plugins and the hosting platform updated. Before applying a major change, take a restorable backup and test the login flow, role boundaries, group pages, forms and file downloads. Remove abandoned plugins instead of leaving them disabled but installed. Maintain a written inventory with an owner for every component.
Build and launch in a controlled sequence
- Record requirements: list audiences, confidential areas, data fields, content owners and retention rules.
- Provision hosting and HTTPS: confirm backups, restoration, resource limits and certificate management.
- Install WordPress: set the canonical HTTPS address, create individual administrator accounts and remove unused software.
- Reserve the internal domain: publish the stable intranet or team subdomain and document DNS ownership.
- Lock the site: enable whole-site login or membership restrictions, then test logged-out access to pages, media and plugin endpoints.
- Discourage indexing: use Settings → Reading → Discourage search engines from indexing this site; remember that this does not replace authentication.
- Configure the collaboration layer: install and test BuddyPress, a dedicated intranet plugin or a membership-plus-pages design—one core pattern at a time.
- Create roles: implement the approved matrix, assign the least privilege needed and test every role with a non-administrator account.
- Build structure: add department groups, the directory, policy pages, forms, help instructions and protected file areas.
- Seed content: publish announcements and starter material, assign owners and add review dates.
- Pilot: invite representatives from each role, record confusing navigation and permission failures, then correct them.
- Invite staff: provide login instructions, acceptable-use guidance and a clear way to report a problem.
Operate the intranet after launch
Control onboarding and offboarding
Connect account creation to a documented request and approval. For departures, disable the account promptly, remove group memberships, transfer owned pages and files, and preserve records according to your retention policy. Contractors should have an explicit end date rather than indefinite access.
Assign content ownership
Every department area needs a named editor and a backup. Schedule reviews for policies, emergency contacts and forms. Add a visible “last reviewed” date where stale information could cause harm, but do not imply that a date alone proves the content is still correct.
Back up and rehearse recovery
Keep backups separate from the live site and include the database, uploads, themes and configuration required to rebuild. A backup that has never been restored is an assumption, not a recovery plan. Periodically restore to a private test location and verify that users, permissions and protected files behave correctly.
Measure usefulness without exposing people
Ask employees which tasks still require email or shared drives. Prefer aggregated usage and support requests over intrusive individual tracking. Use the answers to simplify navigation and retire duplicate pages.

Logged-out visitors can still see content
- Check whether the force-login or membership rule excludes the home page, custom post type, REST route or media attachment.
- Clear page, object and reverse-proxy caches; a cached private page can be served to the wrong visitor.
- Test the direct URL, not only the navigation link. Hidden links are not access control.
A legitimate employee is redirected repeatedly
- Confirm the site and WordPress URLs both use the same HTTPS hostname.
- Check cookie-domain and secure-cookie settings after a domain or certificate change.
- Temporarily disable one recently changed access plugin in a staging copy to identify conflicts, then update or replace the conflicting component.
A user sees too much
- Inspect direct role assignments as well as inherited group membership.
- Remove broad capabilities from the role, then retest with a fresh session.
- Review file URLs separately; page restrictions do not automatically secure media files.
Search results expose an old page
- Keep authentication enabled and remove the page or change its visibility.
- Leave search discouragement enabled, but understand that it cannot erase a result immediately.
- Check caches, feeds and attachment URLs for copies of the material.
Where P2 fits
P2 is described by the WordPress.com help site as a shared inbox that replaced email for Automattic’s internal communication. Coverage of its relaunch described a beta and plans for an updated WordPress.org release, but current availability and version were not established here. Do not make P2 the foundation of a new intranet until you verify its present distribution, maintenance status and compatibility in the current WordPress.org theme directory.
Make the final architecture decision
Choose a BuddyPress-centered build when conversation, groups and member interaction are the primary work. Choose a dedicated intranet plugin when you need a faster all-in-one starting point and can accept its feature boundaries. Choose membership controls plus custom pages when document confidentiality and precise page permissions matter more than social features.
In every case, the non-negotiables are the same: authenticated access, HTTPS, tested file protection, least-privilege roles, maintained software, restorable backups and named owners for content and accounts. Build those controls before inviting staff; adding collaboration features to an unsecured site only makes the eventual cleanup harder.
