How to Build a Reliable Crypto Accounting System

A crypto accounting system combines records, software, accounting rules, and review to track crypto transactions and support tax or financial reporting.

A crypto accounting system is the process and tools used to collect crypto transaction records, track holdings and cost basis, support valuations, and prepare information for tax returns or financial statements. It may mean software alone, but a reliable system also includes source records, accounting rules, reconciliations, and review.

What does a crypto accounting system do?

It organizes evidence from wallets, exchanges, custodians, bank records, and other sources, then classifies transactions and calculates or reports the relevant amounts. It does not create the underlying blockchain record. Depending on the user’s needs, the system may track tax lots and gains, maintain bookkeeping records, or support period-end valuation and financial-statement reporting.

There is no single formal definition of “crypto accounting system” established by the authorities cited here. The exact requirements depend on jurisdiction, taxpayer or entity, transaction, and reporting framework.

What records should it capture?

For U.S. federal tax purposes, the IRS treats digital assets as property and says relevant records include purchases, receipts, sales, exchanges, and other dispositions. For gain or loss calculations, it identifies asset type, transaction date and time, units, fair market value in U.S. dollars at the time, and basis. Basis records also need relevant acquisition details, including acquisition date, units, and acquisition-date fair market value. See the IRS digital assets guidance.

A useful recordkeeping system, adapted to the rules that apply, should be able to preserve:

  • Wallet or exchange identity, account owner, and opening and closing balances.
  • Transaction date and time, time zone where available, asset and network, units, transaction identifier, and transaction type.
  • Fiat value at the relevant time, together with the source or method used to determine it.
  • Fees, including fees paid in crypto, and links between transfer legs so a movement between the same owner’s accounts is not mistaken for a sale.
  • Acquisition cost or other basis evidence, disposition proceeds, and the method used to identify units where required.
  • Supporting exports, statements, wallet records, invoices, and valuation evidence, retained independently of an exchange where possible.

This is a practical checklist synthesized from official guidance, not a universal statutory list. The UK tax authority HMRC likewise advises individuals to retain their own records, including asset type, dates, units, values in sterling, wallet addresses, and relevant bank and wallet information; its examples include exchange downloads and public blockchain references. See HMRC’s recordkeeping guidance.

How is tax accounting different from financial accounting?

Tax reporting

Tax accounting classifies activity under the applicable tax rules and supports calculations such as basis and gain or loss. IRS guidance says digital-asset transactions should be reported whether or not they produce a taxable gain or loss. A transfer between wallets or accounts controlled by the same owner is generally different from a sale or exchange, while paying a fee with a digital asset may itself involve a disposition. Classification therefore matters as much as collecting transaction data. IRS digital-asset FAQs, updated December 15, 2025, discuss rules for transactions on or after January 1, 2025: IRS FAQs on digital-asset transactions.

Financial statements

For U.S. GAAP, the accounting depends on whether an asset meets the scope criteria in ASC 350-60. Under FASB ASU 2023-08, in-scope crypto assets are subsequently measured at fair value, with remeasurement changes recognized in net income each reporting period. Digital assets outside the scope require analysis under other applicable U.S. GAAP. EY’s technical guidance, updated March 28, 2025, explains the distinction: EY guidance on crypto assets.

KPMG’s 2026 handbook says the amendments apply to all entities for fiscal years beginning after December 15, 2024, including interim periods. It also reports that FASB added projects in October and November 2025 concerning crypto assets classified as cash equivalents, possible scope expansion for wrapped and receipt tokens, and derecognition when control transfers. The handbook says FASB had not made tentative decisions or issued proposals on those projects as of its publication. Because those projects can change, consult current authoritative guidance before relying on their status. KPMG’s 2026 Crypto Assets handbook.

Not every token is automatically cash, inventory, or an in-scope crypto asset under U.S. GAAP. Rights, contractual features, ownership, and the reporting entity’s circumstances can affect the analysis; treatment also differs across jurisdictions.

Is crypto tax software the same as a crypto accounting system?

No. The terms overlap, but tax software may focus primarily on gain-and-loss calculations and tax forms. Business accounting may additionally require general-ledger classification, period-end valuation, reconciliations, review controls, and disclosures under the entity’s accounting framework. Software can help organize and process records, but it does not replace source evidence, an accounting policy, or professional judgment.

Why aren’t exchange reports always enough?

A single exchange export may not show activity across every relevant wallet, platform, or custodian, nor explain whether apparent transfers belong to the same owner. Keep source records and enough linkage to reconcile transaction legs, balances, valuations, and ownership. HMRC notes that exchanges may retain records only for a short time or may cease to exist, which is one reason to retain records independently.

What should U.S. taxpayers know about Form 1099-DA?

IRS guidance says brokers must report covered digital-asset dispositions on Form 1099-DA for transactions on or after January 1, 2025. Treasury’s June 2024 announcement says gross-proceeds reporting for 2025 sales begins in 2026, while basis information for certain digital assets begins in 2027 for 2026 sales. Broker reporting can assist return preparation, but it should not be assumed to include every detail needed to establish basis or reconcile activity across wallets. See the Treasury and IRS announcement.
