A private learning aid can start as a searchable spreadsheet or document; once it guides shared tagging, data definitions, or policy, it needs an approved home and accountable stewardship.
Start with a manageable, trusted source set
Choose one team, project, or subject area rather than trying to catalogue every file. Begin with current policies, project plans, meeting notes, tickets, or other documents that people rely on. Prefer authoritative, recent material over duplicates and outdated drafts.

Before copying text into a glossary—or submitting it to a note-taking app or AI service—check your employer’s confidentiality, access, retention, and AI-use rules. A term definition and a permitted link to its source may be safer and more useful than storing a sensitive excerpt. These are prudent handling practices, not a legal determination.

Capture terms with enough context to verify them
As you read, note terms that are unfamiliar, repeated, or used inconsistently. Useful candidates include acronyms, internal project and system names, process labels, metrics, and ordinary words with a team-specific meaning. Do not assume every unfamiliar phrase deserves an entry: prioritize terms that affect understanding, decisions, or handoffs.
#1 Best Overall
Record where you encountered each candidate and when you captured it. A source document link, a short permitted excerpt or section reference, and a capture date make it possible to check the original usage later. These provenance fields are practical recommendations for a personal reference; they are not required fields in Microsoft Purview’s documented glossary import format.
Write entries that explain your team’s meaning
Define the term in plain language as it is used in the relevant team or domain. Explain what it refers to in the work, and, when useful, how it differs from a nearby concept. Avoid pasting whole passages from source documents: keep only enough context to define and verify the term under your organization’s rules.
Rank #2
A useful personal entry can include:
- Preferred term: the label you want to find first.
- Definition: the plain-language meaning in this context.
- Team or domain: where that meaning applies.
- Source and capture date: a permitted document link or reference and when you recorded it.
- Acronym expansions and synonyms: alternate labels people may search for.
- Related terms: concepts connected to the entry, without treating them as synonyms.
- Owner or subject expert: a person who can confirm or update the meaning.
- Review state and confidence note: for example, confirmed, needs clarification, or uncertain.
Microsoft’s Purview Unified Catalog CSV import instructions specify a required name, description, and owner, with support for experts, acronyms, resources, and custom attributes. Your personal glossary can add source and capture fields even though the documented import schema does not require them (Microsoft Learn: Create and Manage Glossary Terms in Unified Catalog).

Keep different meanings separate
The same word can legitimately mean different things in different teams. Microsoft’s Purview guidance uses governance domains to give terms context and notes that sales and marketing may use a shared word differently (Microsoft Learn: Glossary Terms in Unified Catalog). If you encounter that situation, create distinct entries with their team or domain stated rather than forcing one definition to cover both.
Rank #3
Connect alternative labels only when they refer to the same concept. Keep related concepts separate, and mark an uncertain interpretation as uncertain until someone close to the work confirms it. For conflicting usage, record the examples and ask a business or data expert to resolve whether the team has two meanings or an outdated term.
Choose a home that fits the glossary’s purpose
| Need | Reasonable home | What it supports |
|---|---|---|
| Personal lookup and learning | Searchable document or spreadsheet | A lightweight private reference is a practical choice; Microsoft’s reviewed documentation does not prescribe a personal-only tool. |
| Consistent tagging of shared SharePoint documents | SharePoint managed metadata and Term Store | Term sets, synonyms, permissions, and managed metadata columns can support consistent tagging and discovery (Microsoft Learn: Introduction to managed metadata – SharePoint in Microsoft 365). |
| Governed data terms connected to organizational assets | Microsoft Purview Unified Catalog | Terms can be organized by governance domain and related to data products, assets, columns, and critical data elements; terms can also carry policies (Microsoft Learn: Glossary Terms in Unified Catalog). |
These are different levels of formality, not interchangeable storage choices. Compare who may read and approve entries, how well each option preserves synonyms and domain-specific meanings, whether terms connect to documents or data assets, and who will maintain them. SharePoint’s guidance says planning depends on how formal and controlled an organization wants its metadata to be: a formal term set calls for stakeholder involvement, while a looser approach can begin with user-contributed keywords and organize them later (Microsoft Learn: Introduction to managed metadata – SharePoint in Microsoft 365).

If the glossary becomes shared infrastructure—affecting discovery, data definitions, or access policies—do not quietly turn a private spreadsheet into the authority. Use an approved term store or catalog and establish who owns, approves, and maintains definitions. Microsoft recommends data stewards who are business and data experts for glossary curation, and its getting-started guidance describes publishing terms in a governance domain and linking them to data products to improve discoverability (Microsoft Learn: Get started with data governance in Microsoft Purview).

Optional: import terms into Purview
For readers whose organization already uses Purview Unified Catalog, Microsoft documents creating terms individually or importing them in bulk from a formatted CSV. The bulk import feature is marked preview in the reviewed instructions, so confirm it is enabled and suitable for your tenant before depending on it. Imports create terms in draft state; each term needs a unique name, description, and owner. The format also supports experts, acronyms, resources, and custom attributes. A file can contain at most 1,000 rows, and bulk import cannot be used to edit or update existing terms (Microsoft Learn: Create and Manage Glossary Terms in Unified Catalog).
Permissions matter: Microsoft says any user can read published terms, while creating, editing, and managing terms requires the Data Steward role in the governance domain. Linking glossary terms to assets also requires Data Reader access to the assets’ collections (Microsoft Learn: Create and Manage Glossary Terms in Unified Catalog). That makes Purview a governed team capability, not simply a private glossary file.
Do not assume a document-processing model will automatically find and define glossary terms in arbitrary team files. Microsoft’s overview describes models for identifying, classifying, and extracting information from SharePoint documents, but it does not establish automatic glossary-term mining (Microsoft Learn: Overview of document processing model types).
Validate entries and keep them current
When a definition could affect another person’s work, ask the relevant business or data expert to confirm it before treating it as authoritative. Keep the source reference and owner with the entry so later questions can be checked against context rather than memory.
