A useful meeting agent does not treat every suggested task as a promise. It keeps a reviewable record of what was said, where it was said, and whether a person confirmed it. Approved commitments can then carry into later meetings until someone confirms they are complete or resolved.
What should a meeting agent remember?
It should remember confirmed commitments and decisions as evidence-backed records, not as free-floating summaries or supposedly infallible model memory. Each record should preserve the original wording and enough context to let a person check how it was classified.

Keep four categories distinct:
- Decision: an outcome the group agreed on.
- Explicit commitment: a person clearly agreed to do something.
- Proposed next step: a suggestion that has not been accepted.
- Open question: an unresolved issue that needs an answer.
A sentence such as “We could send the revised pricing next week” is not, by itself, a promise. The agent should not convert a suggestion into an assigned task or infer an owner and deadline that the speakers did not establish.

- Authorize capture. Make recording or transcription subject to the relevant participants’ consent and the organization’s policies. The cited project descriptions do not establish one universal consent rule, so the applicable requirements depend on context.
- Preserve the source. Keep transcript segments with speaker and timestamp context. A summary alone makes it harder to check whether an item was a decision, a tentative idea, or a misheard statement.
- Extract candidates, not facts. Identify possible decisions, commitments, blockers, and questions. Treat each as a candidate until reviewed.
- Attach evidence and uncertainty. Show the source wording and identify gaps. If owner, outcome, or timing is missing or unclear, mark it for review rather than filling it in silently.
- Compare with prior records. Check whether an approved item already exists, has changed, or may have been resolved. Do not create duplicate commitments simply because the topic appears again.
- Ask a person to confirm. Let a reviewer approve, edit, or reject each candidate. Persist confirmed records and only then allow them to drive reminders, messages, or task-system updates.
- Resurface open items later. Bring approved, unresolved commitments into a relevant later meeting. Stop carrying an item forward when a person confirms its outcome or resolution.
What belongs in a reviewable record?
A compact record can be useful without pretending to know more than the meeting established. Keep the original source attached and make missing details explicit.

| Field | What to retain |
|---|---|
| Type | Decision, explicit commitment, proposed next step, or open question. |
| Evidence | Original transcript wording, speaker, and timestamp or other source context. |
| Owner | The person identified in the meeting, or “unclear” pending confirmation. |
| Outcome | The action or result stated, or a visible note that it needs clarification. |
| Timing | The stated deadline or timing, or “not specified.” |
| Status | Awaiting review, confirmed and open, changed, completed, or resolved—with a human-confirmed update where needed. |
This structure separates what the transcript supports from what a reviewer adds. It also gives later follow-up a traceable basis instead of relying on a model’s unshown recollection.
Where current designs put the review boundary
Project architecture: VisualSprint
VisualSprint’s repository describes an architecture using live audio and shared-screen context, timestamped transcript segments, extraction of decisions and commitments, and retrieval against prior meeting history. The repository also says the project is at an early implementation stage and foundational product capabilities remain upcoming. It is a project design, not evidence of a validated production system. What evidence says about extraction quality
A 2017 Microsoft Research-hosted CSCW study, More to Meetings: Challenges in Using Speech-Based Technology to Support Meetings, examined a small, specific set of formal meetings at one multinational technology company. Researchers recorded nine meetings totaling 488 minutes, with 57 participant attendees. They surfaced 64 simulated action items and collected 100 ratings; the mean score across items was 2.23 out of five. Read the 2017 study

Those results are a reason to scrutinize generated action items, not a general accuracy rate for current meeting agents. The study does not provide a broad accuracy percentage, and its reported ratings should not be recast as precision or recall. The practical implication is to retain evidence and require review rather than treating extraction as authoritative.

How to judge whether a meeting agent is trustworthy
- Can you open the transcript wording or source moment behind each item?
- Does the system distinguish explicit commitments from suggested next steps?
- Can a reviewer correct or reject an item and mark unclear owners or timing?
- Does it carry approved open commitments into later meetings and let people confirm resolution?
- Are outgoing messages and external task updates held for approval?
These criteria distinguish a useful memory aid from a system that silently turns ambiguous conversation into obligations. The cited product descriptions show different workflow choices; they do not establish a ranked comparison or prove which performs best.
