How to Build a Marketing Plan for a Managed Service Provider

Build an MSP marketing plan around a clear business goal, a defined audience and offer, a manageable channel mix, named owners and measurable outcomes.

Build an MSP marketing plan by setting a business objective first, choosing a specific audience and offer, checking that your website explains the value clearly, and selecting only the channels your team can execute and measure. Put owners, costs, dates and outcome measures on a calendar; test an initial campaign and adjust it against results. There is no established universal marketing budget or channel ranking for every MSP.

1. Set the business outcome before choosing tactics

Decide what the plan needs to accomplish and over what period. An MSP might focus on winning new accounts, expanding current clients, improving retention, or supporting a particular service line. Choose one primary objective so that channel choices and measures follow from it.

Translate the objective into a measurable marketing goal. For example, a goal could be to generate qualified opportunities for a defined service among a particular type of organization during the next year. The exact target should come from your sales capacity and business economics, not an industry benchmark that the available sources do not establish.

Work out what success means

  • New business: Track qualified opportunities and new recurring contracts, not just the number of inquiries.
  • Client expansion: Measure relevant service conversations, qualified cross-sell opportunities and resulting contracts.
  • Retention: Define the client behavior or renewal outcome the marketing activity is intended to support.
  • Service-line growth: Set a target audience and track whether the campaign creates appropriate opportunities for that service.

These are possible measures, not published universal benchmarks. Choose definitions that match your sales process and record how an opportunity becomes qualified.

2. Choose a target market and a clear offer

Define which organizations your MSP can serve well. Depending on your business, useful filters may include industry, organization size, location, technology environment, or a particular business situation. A specific audience makes it easier to decide what to say, where to reach people and which inquiries are worth pursuing.

Then describe the offer in terms of the buyer’s business problem. Technical capabilities matter, but prospects need to understand what those capabilities help them do. Instead of leading only with a list of tools or services, explain the operational or business outcome your service is designed to support, and clarify what is included.

MSP-focused guidance recommends identifying target customers, differentiating the provider and connecting technical expertise to customer outcomes. That is a planning principle, not a requirement that every MSP specialize in the same industry. MSP360’s guidance on marketing for managed service providers and ChannelE2E’s MSP marketing guidance

Check whether the offer is focused enough

  • Can the intended buyer recognize that the offer is relevant to their organization?
  • Does the message explain a business benefit rather than relying on unexplained technical terminology?
  • Can your team deliver the service consistently to this audience?
  • Is there a clear next step for a prospect who wants to learn more?

3. Audit the website and customer path

Before driving attention to your business, check what a prospect will find after they arrive. Review whether the website explains your services plainly, supports the chosen positioning and gives visitors a useful next step. Make sure service pages answer basic questions about fit, scope and how to start a conversation.

Review search visibility and the usefulness of existing content as well. A campaign that creates visits will not solve unclear messaging or a confusing path to contact you. Barracuda advises reviewing the website, service content and SEO, while Cloud Secure Tech places the website and search early in its recommended channel sequence. These are recommendations from their respective publishers, not proof that one channel order works for every provider. Review the path from first visit to follow-up

  1. Open the pages a prospect is most likely to reach from a campaign, search result or referral.
  2. Check that the page identifies the audience and service, and explains the business relevance.
  3. Confirm that the next step is clear, such as requesting a conversation or learning about a defined offer.
  4. Decide who receives inquiries, how quickly they are followed up and how the outcome will be recorded.

4. Select channels that fit the audience and your capacity

MSP marketing guidance discusses a range of possible channels: search and SEO, educational content, email, reviews and directories, paid promotion, referrals, social media, local events, and vendor or distributor programs. Treat these as options to evaluate, not a checklist every MSP must complete. Compare each candidate by audience fit, execution effort, cost, time horizon, measurability and whether it builds an owned audience or depends on paid exposure.

Channel When it may fit Planning question
Search and website content When prospects search for services or questions your MSP can address Can you maintain useful pages and measure relevant inquiries?
Email When you have permission-based contacts and something relevant to communicate Who will create the messages and manage follow-up?
Reviews and directories When prospects use reputation signals or listings to evaluate providers Can you keep information accurate and request feedback appropriately?
Paid campaigns When you can define a focused audience, offer and test budget What result would justify continuing the spend?
Referrals and social media When relationships or professional networks can reach the chosen audience Who will nurture those relationships and handle responses?
Events When relevant buyers or partners attend and your team can participate effectively How will you identify follow-up opportunities and measure them?
Vendor or distributor programs When existing technology partnerships offer relevant support or joint activity What resources are available to your organization, and what effort or conditions apply?

This comparison is a decision aid, not a ranking: the sources do not provide comparable costs, conversion rates or evidence that a particular channel consistently outperforms the others. A 2025 The Channel Company summary reported that almost 90% of partners said face-to-face events were very important to their marketing strategy. The underlying State of Partner Marketing study, conducted by IPED, drew on an online survey of 151 solution providers and researcher interviews; it is broad partner sentiment, not an MSP-only result or proof that events will outperform digital marketing for your business. The Channel Company’s 2025 State of Partner Marketing report announcement

Keep the first channel mix manageable

Pick a small number of tactics that reach the target audience and that named people can execute. For example, an MSP could improve a service page, publish useful educational content and follow up with relevant existing contacts. That is an example of a possible mix, not a prescribed formula. Add another channel only when you can support it and determine whether it contributes to the objective.

Consider local and partner-supported activity

If local relationships matter to your market, assess relevant events and referral opportunities. A 2020 industry article also suggests checking what vendors and distributors offer. Cisco’s EMEA report discusses co-marketing and joint sales, but its regional context should not be generalized to every MSP or geography. Confirm current program availability and eligibility directly with the relevant partner before building a plan around it. Cisco’s EMEA managed services report

5. Set a budget, owners and calendar

There is no defensible universal marketing-spend percentage in the cited material. Set a budget based on your business objective, internal capacity, the actual costs of the selected activities and the value of opportunities your team can pursue. Include the time needed to create content, manage campaigns and follow up—not only media or event fees.

For every planned tactic, record its audience, offer or content asset, owner, cost, launch date and measure. A 12-month plan can make longer-term work visible, while quarterly review points are a practical way to check whether priorities or assumptions need to change. The quarterly cadence is an implementation suggestion, not a cadence prescribed by the cited checklist.

Plan field What to record
Objective The business outcome this activity supports
Audience and offer Who the activity targets and what relevant service or message it presents
Owner The person accountable for preparation, launch and follow-up
Cost and capacity Direct expense and the staff time or skills required
Timing Preparation, launch and planned review dates
Measure Activity indicators and the business outcome used to judge value

6. Test, measure and refine the plan

Start with a bounded campaign rather than assuming a tactic will work because it is popular or because it generates activity. Barracuda’s checklist recommends testing an initial campaign, evaluating results and fine-tuning. Apply that loop to the MSP’s own audience, offer and sales process. Barracuda’s marketing-plan checklist

Separate activity from business outcomes

  • Activity indicators: website visits, content engagement, email responses, event attendance or inquiries.
  • Progress indicators: conversations held, qualified opportunities created and proposals made.
  • Business outcomes: converted recurring contracts, expansion or retention outcomes that match the plan’s objective.

Activity data can help explain what happened, but it is not interchangeable with a business result. Review whether the audience was right, whether the message was understood, whether the follow-up happened and whether the cost and effort were reasonable. Keep, change or stop tactics based on those findings rather than treating an unverified channel ranking as a rule.

What the market figures can—and cannot—tell you

Cisco’s report, drawing on Canalys data, states that channel partners delivered US$122 billion in managed IT services in EMEA in 2022 and that EMEA managed IT services revenue rose 14% that year. These are historical, region-specific figures; they are not a current global market size, a forecast or evidence that a particular marketing channel will work for an individual MSP.
