You can also add reference files under Knowledge when the workflow depends on material the Gem should consult. Previewing alone does not save the Gem.
Build the Gem in the Gemini web app
- Open the Gemini web app and go to Gems.
- Select New Gem, then enter a name that makes the recurring job easy to recognize.
- Write the Gem’s instructions. Describe the recurring work, rather than giving it only one example request.
- Optionally add reference material under Knowledge. You can add files from your device or Google Drive; computer help also describes adding a NotebookLM notebook.
- Use the preview to try a representative task. Check the answer against your requirements and revise the instructions if needed.
- Select Save when the instructions are ready. Google cautions that previewing does not automatically save the Gem.
Google’s creation instructions cover this path in its Gemini Gems help. Custom Gems can be created, edited, or deleted in the Gemini web app; saved Gems can be used on the web and in the mobile app. Google also says web-created Gems appear in the Workspace side panel, but that does not mean every management control is available in each client. Write instructions for a repeatable job
Google recommends making instructions clear and detailed. A useful way to organize them is by four elements: Persona (the role and response behavior), Task (what to do or create), Context (background that affects the work), and Format (how the result should be structured). The aim is to capture the decisions you would otherwise have to restate each time.
Use this adaptable template as a starting point:
Role: [what the Gem should act as]. Task: [the recurring job]. Context: [audience, constraints, and reference material]. Output: [format, length, and required sections]. If key information is missing, ask before assuming.

For example, a Gem used to turn meeting notes into action items should specify whose perspective to write from, what counts as an action item, which audience will read the result, and whether the output should include owners and deadlines. Replace the bracketed prompts with the rules of your actual workflow; an instruction that is too broad can leave important choices unstated.
Google says you can ask Gemini to rewrite or expand a short initial instruction. Treat that rewrite as a draft: review it for accuracy, add the constraints it missed, and edit it before saving. A detailed instruction helps set expectations, but Google’s guidance does not promise identical responses or guarantee that every answer will follow the instructions perfectly. Decide whether to attach knowledge files
Add a file when the recurring task depends on reference material—such as a maintained policy or style guide—that would be cumbersome to paste into each request. For a workflow governed mainly by stable instructions, an instruction-only Gem may be simpler to maintain. Google’s documentation does not publish comparative performance measurements for Gems with and without attached files, so choose based on the workflow’s reference needs and the effort of keeping those references current.
Google documents adding files from your device or Google Drive under Knowledge. Drive use has prerequisites: Google says Keep Activity must be on and Google Workspace must be connected to Gemini Apps. It also says the most recent version of a Drive file is used, which can help when a source document is maintained over time. Check Google’s file and Drive instructions before relying on a particular account setup.

Test the workflow before relying on it
- Choose a representative input, including the kinds of context or edge cases the recurring job actually encounters.
- Run it in Preview and check whether the Gem follows the requested format, audience, constraints, and use of reference material.
- Identify the specific miss—such as a missing section or an unsupported assumption—and revise the relevant instruction rather than adding unrelated detail.
- Preview again, then select Save to keep the updated Gem.
Preview is a review step, not evidence that every future response will be the same. For important work, inspect the output and verify it against the underlying source material instead of assuming the Gem has followed every instruction.
Know about Google’s announced Gems-to-Skills transition
As of October 3, 2026, Google’s help page titled “About the transition from Gems to skills” says Gems will transition to Skills starting in November 2026. Google says it plans to automatically recreate Gems as Skills when Gems go away and also provides a manual recreation procedure. This is an announced future change, not a completed transition as of that date. Because timing and rollout details may change, check Google’s transition help page for the current status before setting up or revising a workflow around Gems.

What to check for your account
Google’s cited setup guidance does not establish subscription eligibility for every user, availability in every country, or organization-specific administrator restrictions. If you do not see Gems or cannot add a Drive source, consult current Google guidance for your account type and region, and check with your Workspace administrator where relevant.
