You can use n8n to move inventory changes among Shopify, WooCommerce, and an Airtable coordination layer, but “sub-minute” is a performance target to measure—not a latency guarantee from any of these platforms. A reliable design needs more than a trigger and a quantity update: define which system owns each stock value, map products and locations across systems, make writes safe to repeat, handle failures, and reconcile records that drift.
What a reliable inventory sync has to decide
Inventory is not always a single number. Before connecting APIs, decide what quantity the workflow will synchronize—such as on-hand stock or available-to-sell—and which system is authoritative for it. If stores can each change the same quantity, the workflow also needs a rule for resolving simultaneous or conflicting changes. Otherwise, a valid adjustment in one system can overwrite a newer one elsewhere or cause updates to bounce between platforms.

- Authority: Choose one source of truth, or define which system owns which products, locations, or inventory fields. Airtable can serve as a record of mappings or an audit view, but it does not have to be the inventory authority.
- Identity: Decide how a product or variant is matched across systems. Shopify variant IDs, WooCommerce product IDs, and Airtable record IDs are different identifiers; do not assume they correspond.
- Location: If stock is location-specific, include the relevant warehouse or location in the mapping. Shopify inventory levels are associated with inventory items and locations in its inventory model.
- Exceptions: Specify what happens when a SKU is missing or duplicated, a product is bundled, or a store tracks stock differently.
A stable SKU may be sufficient for some catalogs; others need an explicit cross-platform mapping table. Treat ambiguous matches as exceptions to review rather than guessing which product to update.
How to sync inventory between Shopify and WooCommerce
A practical pattern is to receive a platform event, validate and normalize it, resolve the matching item and location, apply the authority rule, write the resulting state to the destination, and record what happened. The event starts the workflow; it does not confirm that the other platform accepted the update.

- Receive an event. Shopify documents an
inventory_levels/updatewebhook topic. Its current webhook documentation lists inventory access scope for inventory-level topics; confirm the applicable API version and app scopes during setup. WooCommerce supports product webhooks, but verify that the stock-adjustment paths used by your store generate the events you expect. Shopify webhook documentation and WooCommerce webhook documentation. - Verify and normalize. Check that the incoming request is authentic, then convert its identifiers and quantity into the inventory contract your workflow uses. WooCommerce signs webhook payloads with HMAC-SHA256 when a secret is configured; validate that signature before acting on the payload.
- Resolve the destination. Look up the mapped product or variant and, where applicable, the mapped location. Stop and record an exception if the match is missing or ambiguous.
- Apply the authority rule. Decide whether the event represents a value the workflow should propagate, or whether another system owns that quantity. Avoid treating every incoming change as an unconditional command to overwrite all other records.
- Write and verify. Update the destination through its API and record the response, including errors. WooCommerce provides a REST API for external integrations, and n8n documents WooCommerce product retrieval and update operations. WooCommerce REST API documentation and n8n WooCommerce node documentation.
For Shopify operations or Airtable operations not covered by a suitable built-in n8n node, an HTTP Request/API call may be an option. It still needs the platform’s required authentication, permissions, and request format.
Can n8n update stock across multiple stores in real time?
n8n can orchestrate event-triggered workflows, but an event-driven design is not the same as a real-time guarantee. End-to-end time includes event delivery, workflow scheduling and execution, API response time, and any waits or retries. None of the cited platform documentation establishes an end-to-end latency service-level agreement for this cross-platform setup.
For the closest practical approach to fast propagation, use event triggers where they are available and appropriate, keep the event-handling path focused, and measure the full trip from event receipt to successful destination write. Use scheduled polling only where an event mechanism is unavailable or insufficient; polling adds a detection interval and API reads. A hybrid design can use events for prompt updates and a separate reconciliation workflow to catch drift.

What Airtable should do
Do not assume Airtable can trigger this workflow in a particular way, or that it meets a particular request limit or payload lifecycle. Verify its current official Web API and webhook documentation, authentication requirements, payload behavior, and request limits before choosing an integration. Then decide whether Airtable is the system of record, a mapping/configuration store, or an audit view. The other platform event mechanisms do not establish Airtable’s current trigger behavior.
How to prevent overselling and feedback loops
If a workflow writes a stock change to another platform and that write emits a new event, the second event can send the value back again. Avoid loops by recording event and source metadata where possible, and by comparing normalized values before issuing a write. The aim is for processing the same event twice to leave inventory in the same state—not to apply the adjustment twice.
Prefer setting a destination to an authoritative quantity over issuing a relative “add” or “subtract” operation when the destination API and inventory contract support that approach. A repeated absolute update can converge on the intended state; repeating a decrement can incorrectly reduce stock again. If the business process really is based on reservations or deltas, give each operation a durable identity and ensure duplicate operations are not applied twice.

- 【Plug and play for Easy Portability】- Insert the USB wireless receiver into the computer, turn on the inventory scanner and connect to the computer immediately, plug and play, no need to install drivers or software, Compatible with most POS systems except those requiring proprietary hardware integrations or direct app-level integration.
For genuinely bidirectional inventory, define conflict handling explicitly: for example, assign authority by product or location, or route conflicting changes for review. A simple “last event received wins” rule is risky because event arrival order is not necessarily the order in which the underlying stock changes occurred.
How to handle rate limits and failed writes
Shopify says API limits can differ by API and may be temporarily reduced for platform stability. Do not design around a fixed sustainable write rate without checking the API and version your workflow uses. Shopify API limits.
In n8n, use bounded retries for transient failures, with waits or batching when a destination signals that requests should slow down. Its documentation describes Retry On Fail and Loop Over Items with Wait/batching as rate-limit handling patterns. n8n rate-limit guidance.

- Retry: Retry temporary failures and rate-limit responses within a defined limit; do not retry indefinitely.
- Do not blindly retry: Permission, authentication, validation, or mapping errors usually need correction rather than another identical request.
- Record unresolved work: Store the event, intended destination, response, and retry outcome so persistent failures can go to a dead-letter queue or operator review.
- Monitor WooCommerce delivery: WooCommerce provides webhook delivery logs and automatically disables a webhook after repeated failures. Monitor delivery state as well as n8n execution errors; a workflow cannot process an event it never receives.
How to structure the n8n workflow
Keep the responsibilities visible and separable so a failed destination write does not disappear inside a long, opaque chain. A typical flow can be organized as follows:
- Trigger: Receive the configured platform event. For each platform, confirm the event topic and the stock-changing actions it actually covers.
- Validate: Verify the sender where supported, check required fields, and reject malformed or unauthenticated requests.
- Normalize and map: Convert the payload into a common internal shape, then resolve the SKU or explicit mapping and any location identifier.
- Decide: Apply the authority and conflict rules, then compare the normalized target value with the current destination value if that check is appropriate.
- Write: Use a built-in node when it supports the required operation; otherwise, use an authenticated API request with the required fields and version.
- Record and recover: Save the source event, target, attempted value, API outcome, and timing. Route retryable and permanent errors differently.
n8n describes itself as a workflow automation tool with Cloud and self-host options. Cloud reduces the operator’s deployment responsibilities; self-hosting gives the operator responsibility for deployment and ongoing operation. Choose based on operational ownership, deployment constraints, and data handling needs, rather than assuming either option makes the workflow faster by itself. n8n documentation.
How to measure whether sync is actually sub-minute
Instrument the workflow with timestamps for event receipt, workflow start, destination write completion, and later confirmation or reconciliation. Calculate observed propagation time from a defined start and end point, and review both typical and slow runs; an average alone can conceal occasional long delays. Do not claim a benchmark unless it comes from actual runs under the relevant workload.
Test with the store’s expected event volume, product/location mix, and failure conditions. Include bursts, duplicate deliveries, throttling, and unavailable destinations. Set an alert threshold for excessive lag and define who investigates and how unresolved updates are replayed or corrected. Shopify’s rate-limit behavior can vary, so a result measured at light traffic is not evidence that the same latency will hold at peak volume.
Quick Recap
Choose the right sync pattern for your inventory ownership
| Design choice | Useful when | Main trade-off |
|---|---|---|
| Event-driven | A relevant event is available and the store emits it for the changes that matter. | Reduces detection delay, but missed delivery or workflow failure still requires monitoring and recovery. |
| Scheduled polling | There is no suitable event trigger, or periodic checks are needed. | Easier to reason about as a recurring scan, but adds interval-based delay and API reads. |
| Event plus reconciliation | Fast updates matter, and drift must also be detected. | Combines prompt event processing with periodic comparison, at the cost of an additional recovery workflow. |
| Single authority | One system or business process owns each synchronized quantity. | Simplifies conflict resolution; other systems must not independently override that value. |
| Bidirectional authority | Multiple systems legitimately change inventory. | Requires explicit conflict rules, duplicate handling, and clear ownership by item, location, or operation. |
| Built-in n8n node | The node exposes the required operation and fields. | Convenient to maintain, but may not cover every API operation needed. |
| Direct API request | The required operation is not exposed by a suitable node or needs finer request control. | More control over request details, with authentication and API compatibility to maintain. |
Before putting the workflow into production
- Write down the quantity definition, authority rules, SKU/variant mapping, and location behavior.
- Confirm event topics, app permissions, webhook secrets, and the inventory-changing actions that generate events in each store.
- Test duplicate events, missing mappings, API throttling, permission errors, and destination downtime.
- Verify current Airtable API and webhook behavior before relying on it as a trigger or record of truth.
- Set retry limits, error routing, delivery monitoring, reconciliation cadence, and an owner for manual recovery.
- Measure propagation latency under expected workload before describing the system as sub-minute.
