Start with hosting and core publishing, map the editorial handoffs, then add only the integrations, distribution, measurement, and recovery tools that fill a defined gap. WordPress already provides content management, users, and publishing functions; its REST API can connect other applications when you need structured content exchange.
Start with the publishing requirements
Before choosing products, map how an article moves from assignment to publication and what must happen afterward. Record who creates and reviews content, which channels receive it, what editors need to measure, and who is responsible for updates and recovery.
- Workflow: List the actual stages, such as draft, review, scheduled publication, and correction.
- Connections: Identify which systems need to read or change WordPress content, and what data they need.
- Distribution and measurement: Choose the audience channels and editorial signals that matter to your publication.
- Operations: Decide who maintains the site, checks integrations, and restores service if an update or connection fails.
This requirements map gives you a way to compare hosted and self-managed setups without assuming that every publisher needs the same tools.
Choose where WordPress will run
A WordPress site needs a web server. With generic hosting, the publisher or its technical support team may take on more of the setup and upkeep; WordPress-specific hosting may include preinstallation, backups, updates, or developer tools, depending on the provider. WordPress’s hosting guide describes these hosting distinctions. Check the provider’s current service details and WordPress’s documentation for technical requirements before deciding.

Hosted WordPress.com is another option: the service documents an integrated stack that can include publishing and distribution features, analytics, API access, staging, and backups. Availability depends on the plan and configuration; do not assume that a feature shown in product documentation is included on every plan. Compare the operational responsibilities and capabilities that apply to your particular setup rather than treating hosted as simply “easy” and self-managed as simply “powerful.”

Build the editorial workflow before adding workflow plugins
WordPress includes post statuses for common stages such as draft, pending review, scheduled, and published. User capabilities determine who can edit, submit work for review, or publish. The post status documentation explains the built-in statuses and their uses.

First test whether those statuses and your team’s roles support the handoff you need. A small team with a straightforward review may not need another workflow component. Consider an editorial plugin when you have a concrete requirement—such as multi-stage approvals, assignments, or a calendar—that the built-in process does not meet. Assess its compatibility and maintenance needs as part of the decision.
Connect external tools through integrations
For applications that exchange structured content with WordPress, the REST API is a technical connection point. The WordPress Plugin Handbook describes it as a way to get data into and out of WordPress. The REST API handbook explains the interface, and the REST API reference lists resources and routes for objects such as posts, revisions, media, users, and settings.

No-code connector or custom API integration?
A no-code connector can be suitable when it supports the exact trigger and action your workflow needs. A custom API integration offers more control over how content is mapped and handled, but requires someone to build and maintain it. WordPress.com also documents API access for connected self-hosted sites through Jetpack; see its REST API getting-started guide for the relevant setup.
Set permissions and failure handling deliberately
Some public data can be accessed anonymously, but actions that create or manage content require authentication and appropriate permissions. Before enabling a connection, decide which account or application owns it, what access it needs, and what should happen if a request fails or the connection is removed. Keep ownership and recovery procedures clear so a broken integration does not become an unexplained publishing problem.

Plan audience distribution and measurement
Distribution choices should follow your audience and publishing cadence. WordPress.com documents newsletter and RSS functions, social sharing, and analytics as elements of its tech stack; availability can depend on plan and configuration. Its tech stack overview describes those capabilities. Jetpack also documents Stats and sharing features for WordPress sites, with capabilities varying by configuration and hosting context; consult the Stats guide and Jetpack plugin listing for current details.
Choose analytics based on the questions editors need answered—such as which stories are viewed or where visits come from—and check how the chosen setup handles visitor information against your publication’s privacy commitments and applicable requirements. Do not add tracking just because it is available; decide what the team will use and who is responsible for it.

Make updates and backups part of the same plan
Updates keep components current, but a recovery path matters if an update causes a problem. WordPress supports automatic updates for plugins and themes and advises operators to have a way to roll back before enabling them. Review the auto-update documentation alongside your backup and restore arrangements.
WordPress.com’s backup guide states that its Business and Commerce plans receive automated backups at least every 24 hours and can restore from the previous six months while the site has an eligible plan. Those details apply to the specified WordPress.com plans, not to every WordPress installation; consult the WordPress.com backup guide for current terms. For self-managed hosting, verify the backup scope, retention, and restore procedure with your provider, including whether both site files and the database are covered.
Keep the plugin footprint intentional
Plugins extend WordPress core with optional functions, including SEO, security, caching, e-commerce, and import/export. WordPress notes that plugin quality and compatibility vary in its plugin management documentation. Treat each plugin as a maintained dependency, not just a feature toggle.
- Name the specific capability gap it fills.
- Check compatibility with the WordPress version and other components you use.
- Review what data it accesses and whether it overlaps with an existing tool.
- Know how to export relevant data or continue the workflow if the plugin or connected service is removed.
- Assign an owner and an update path for integrations the publication depends on.
These checks are a practical way to keep the stack understandable; they are not a WordPress rule that every site must follow in a particular manner.
