Clockify can help you capture billable time, check it before billing, create and send invoices, and keep invoice status visible. It can make the work of invoicing more organized, but it does not guarantee faster payment: that also depends on your contract, your client’s payment process, and the payment options you provide.
Set up clients, projects, and billable rates
Start with a clear structure for the work you expect to invoice. In Clockify, organize time by client, project, and task, and choose a rate that reflects your agreement with that client. Decide which kinds of work are billable and which are not; Clockify lets you classify entries, but it cannot decide what your contract permits you to charge.

Setting this up before work begins reduces ambiguity later. Use project and task names that will still make sense to you—and, where appropriate, your client—when you review time or prepare invoice descriptions. Clockify’s time tracking and invoicing overview describes its time-tracking and billing workflow.

Clockify supports timer-based tracking, manual time entry, and a timesheet view for entering time across a week. Use the method that fits the work, but keep entries tied to the correct client, project, and task and mark each billable or non-billable.
#1 Best Overall
- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
- Timer: Start and stop tracking as you work.
- Manual entry: Add time afterward when you need to reconstruct a work session.
- Timesheet: Enter time in a weekly view when that suits your routine.
For more useful invoices, write descriptions that identify the work rather than relying on vague labels. A practical routine is to enter or check time daily, while the details are easy to recall. Clockify documents these entry methods and billable classifications in its client billing information.
Review time before creating an invoice
Before billing, open a report and filter it by the client, project, or task you plan to invoice. Clockify offers summary, detailed, and weekly reports. Check the entries for missing work, incorrect dates or descriptions, and time marked with the wrong billable status. Also look for time that has already been invoiced so it is not billed again.

If your team uses approvals or locks to control changes, use those features where they are available on your plan and fit your process. The point of this review is to reconcile what you tracked with what the client agreement allows you to charge—not simply to transfer every recorded hour onto an invoice.

Clockify says each active or invited user uses a paid seat. Prices and plan packaging can change, so check the current plan details for your account and region.

Clockify’s invoicing feature information also lists invoice customization, recurring invoices, and report attachments. A Q1 2026 update from CAKE.com announced creating invoices from reports and attaching time reports to invoices sent to clients. These tools can help present supporting detail alongside the amount due; they do not replace checking that the invoice matches your agreement.

Monitor status and follow up on overdue invoices
Use invoice statuses and due dates to keep track of what is outstanding. Clockify documents overdue reminders and the ability to record payments. If an invoice passes its due date, review its status and send a timely, professional reminder that includes the invoice and its payment terms.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesRecording a payment in an invoice system is an administrative record; it does not by itself establish that Clockify processed the client’s payment. The sources describing Clockify’s invoice workflow document sending invoices, monitoring status, and recording payments, but do not establish a client-facing payment checkout method. Clear terms, prompt delivery, and consistent follow-up may help you manage billing, while the client controls when and how it pays. Clockify’s billing overview and invoicing page describe these administrative features.

Hand off reviewed time to accounting if needed
If your bookkeeping process uses QuickBooks Online, Clockify documents an integration route for sending time entries for billing or accounting. Setup requirements and limitations vary by account and plan, so check Clockify’s QuickBooks integration instructions before relying on it.
Clockify also documents a separate QuickBooks Payroll add-on with its own subscription and eligibility requirements; it is not the same thing as the standard integration. See the Payroll add-on requirements if that route is relevant. Clockify lists other time-tracking integrations, including Xero and Peppol e-invoicing, but availability and setup depend on the service and applicable geography; check the integrations page for details before choosing a workflow.
