Make and verify a separate copy of the photos and videos you want to keep before deleting anything. A library that appears on several devices through sync may still be one library, not several backups: with iCloud Photos, deleting an item on one device also deletes it from other devices using the same Apple Account, and iCloud Photos is not duplicated in iCloud Backup. Apple explains how iCloud Photos works and how its storage and deletion behavior works.
Before you delete anything, identify what you want to clean up
First decide whether you want to free space on a phone or computer, reduce cloud storage, or remove photos from the library altogether. These are different goals, and a delete command in a synchronized photo library may affect every device using that account.

- Free device space: Look for the service’s device-storage or space-saving option rather than assuming that deleting from the library affects only the device.
- Reduce cloud storage: Removing items from a synced library can remove them from the account and its connected devices.
- Remove photos for good: Keep a verified copy first, then check how deletion and any recovery period work for your service.
Identify the source library—such as iCloud Photos, Google Photos, or a computer’s Photos library—and whether the originals are actually stored on the device. If a service uses optimized storage, some full-resolution originals may be in the cloud rather than downloaded locally. Do not assume a device contains everything needed for an archive.

Download or export the photos and videos you want to retain to local storage, such as an external hard drive or SSD with enough room for the current library and future additions. Apple’s iCloud archive and copy guidance explains how to download information stored in iCloud and recommends backing up the library after exporting it. Downloads may arrive in ZIP files, so make sure they have finished downloading and are extracted or otherwise accessible before you assess them.

Choose the form of copy that fits how you may need to restore your photos. Ordinary exported files are easy to browse in folders and can be copied between drives; a computer photo-library archive may better suit someone who wants to continue using a photo app. The exact procedure for a Mac Photos library depends on factors such as where the library is stored and whether originals are downloaded, so check the current Photos user guide for your macOS version before moving or copying that library.
Do not assume an export retains every feature of the original library. Album organization, edits, Live Photo components, metadata, and supported file types may vary by service and export method. Inspect the files you receive, especially if retaining edits or organization is important.

Check that the backup is complete enough before cleanup
An app’s “backed up” status is useful, but it is not proof that every item you care about is present and usable in a separate copy. Before deleting, check the exported or copied material itself.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors- Compare expected date ranges and important albums against the source library.
- Check file counts where practical, and make sure videos and less common formats are included.
- Open a selection of photos and play a few videos from the copy—not only from the original library.
- Confirm that important originals and any metadata or organization you rely on are available in a usable form.
- Keep the original export files and metadata if capture dates matter. Google warns that an operating system may give a downloaded photo or video a new file timestamp based on the download time, which can differ from its capture date.
For Google Photos on a computer, check the service’s backup status and its supported-file guidance before relying on it; Google notes that some file types may not work with Google Photos. See Google Photos’ computer backup guidance and its computer download guidance.

Keep another copy somewhere separate
One exported copy is safer than relying on sync alone, but it can still be lost with the device or drive where it is stored. Keep another copy in a separate place—for example, a second drive that is disconnected when not in use, or an off-site service you have checked. Avoid leaving the only backup connected to the same device you are cleaning up.
There is no one right drive size or cloud plan for every library. Estimate the space needed from your actual photos and videos, allow room for growth, and choose a destination you can access and restore from. Before relying on another cloud photo service, check its deletion behavior, quality settings, supported formats, account access and recovery, and export path. A second cloud service is not automatically an independent archive if deletions or account problems can affect it.

Clean up only after the copy is verified
Once you have checked the copy and confirmed that a second copy is safely stored, use the cleanup action that matches your goal. Read the service’s confirmation prompt carefully: removing an item from a synchronized library is not the same as removing a local download while retaining the cloud original.

If you use iCloud Photos
Apple says deleting a photo or video on one device removes it from other devices signed in to the same Apple Account with iCloud Photos. Apple also says iCloud Photos content is not duplicated in iCloud Backup and advises keeping backup copies. The iCloud storage guidance and iCloud Photos guidance describe these behaviors. Apple’s current support guidance says deleted items in Recently Deleted can be recovered for 30 days; that is a limited recovery feature, not a substitute for a separate backup.

If you use Google Photos
Check the backup status for the relevant items before removing local files, and confirm that the formats you care about are supported. When downloading a copy, remember that the downloaded file’s operating-system timestamp may reflect download time rather than the photo’s capture date; preserve and inspect metadata if that distinction matters.
