How to Back Up and Restore a PC Before a Windows 11 Clean Install

A clean Windows 11 install erases files, apps, settings, and manufacturer customizations. Learn how to create and verify cloud and local backups, protect your BitLocker key, keep installation media separate, and restore files and applications afterward.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Back up before you erase. A Windows 11 clean installation removes personal files, installed apps, manufacturer customizations, and Settings changes. Use Windows Backup with OneDrive for the folders and settings it supports, make a separate copy of important data on an external drive, verify both copies, and save your BitLocker recovery key. After setup, sign in to the same Microsoft account, restore the available Windows Backup items, retrieve OneDrive files, copy back your local backup, and reinstall applications separately.

What a Windows 11 clean install erases

A clean installation starts Windows again rather than preserving the existing installation. Microsoft lists the items removed as personal files, apps, device-manufacturer customizations, and changes made in Settings. Read the full explanation in Reinstall Windows with the installation media.

That means files on the Desktop, in Documents, Pictures, Videos, Music, and Downloads can disappear along with project folders, saved exports, game saves, virtual machines, local email archives, browser data, and files stored on another internal volume if you select or format that volume during setup. A clean install is not a repair that quietly keeps your old profile.

Make the backup while the current Windows installation still starts and your files are readable. Do not wait until the installer is running: creating installation media can erase the USB drive used for it, and a failed or incomplete copy is difficult to repair after the original system has been removed.

Choose what must survive

Inventory every location

Start with a written list of data, not just the standard Windows folders. Review each user account on the PC and check:

  • Desktop, Documents, Pictures, Videos, Music, and Downloads.
  • Work, school, tax, creative, source-code, and project directories created outside your profile.
  • Files on other internal drives, secondary partitions, removable media, and network shares.
  • Browser bookmarks and exports, password-manager vaults, mail archives, contacts, and two-factor recovery codes where applicable.
  • Application-specific data such as templates, presets, catalogs, save files, databases, and license or activation information.
  • Encryption keys, certificates, SSH keys, and any configuration that is not stored in a cloud account.

Windows Backup’s selectable-folder list does not prove that every custom directory, second internal drive, or third-party application’s private data is included. Open the folders you identified and note their approximate size so you can choose adequate storage.

Use two destinations for irreplaceable files

The safest practical plan is a cloud copy plus a physically separate local copy. Windows Backup and OneDrive provide an account-based path for selected folders and supported settings; an external hard drive or USB storage gives you a copy that does not depend on an internet connection after it has been made. Microsoft describes these options in Backup, restore, and recovery in Windows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Two destinations also protect against a single mistake. If a folder was never selected for OneDrive, the external copy may contain it. If a cloud sync is interrupted, the local copy remains available. Keep the external drive disconnected after verification until you are ready to restore; this reduces the chance that an installation mistake affects both the PC and the backup.

Back up selected folders with Windows Backup and OneDrive

Prepare the Microsoft account and OneDrive

  1. Connect the PC to the internet and sign in to the Microsoft account you intend to use after reinstalling Windows.
  2. Open the Windows Backup app from Start. Review the folder categories it offers and select only folders that contain data you actually want in the cloud.
  3. Confirm that the selected folders are the ones in your inventory. Add custom folders to your local-drive backup if Windows Backup does not offer them.
  4. Allow OneDrive to synchronize completely. Leave the PC powered on and connected until the OneDrive status indicates that syncing has finished.

This workflow is not a sector-by-sector image of the old disk. It does not promise to reproduce every program, custom directory, driver, or application database. Windows Backup can preserve selected folders and supported settings or app-related information, while the applications themselves generally still need to be installed again.

Verify the cloud copy before erasing anything

Verification is a necessary safety step rather than an assumption that a sync icon means every file is safe. Open OneDrive on the web or from another signed-in device and inspect the folders you selected. Open representative documents, photographs, and project files; check that recent edits and large files are present. If a file shows a pending, error, or storage warning, resolve it before starting setup.

  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required

  • The available storage capacity may vary.

Compare the cloud folder names with your inventory. A folder that was moved, excluded, or never selected will not appear merely because OneDrive is installed. If OneDrive storage is insufficient, do not delete the originals to make room; use an external drive for the complete copy and keep the cloud set focused on the files you most need away from the PC.

Make a complete local copy on an external drive

Select and prepare the drive

Microsoft lists external hard drives and USB flash drives as backup destinations. Choose capacity based on the amount of data in your inventory, not on the size of Windows itself. A drive that is smaller than the selected folders cannot be a complete copy.

  1. Connect the external drive and confirm that it appears in File Explorer with the expected free space.
  2. Create a clearly named top-level folder, such as PC-backup-2026-10-16, so the backup date and purpose are obvious.
  3. Copy the entire contents of each required user folder and every custom data directory into that backup folder. Preserve the original folder structure where possible.
  4. Export data from applications that do not store files in ordinary folders, following each application’s own export or backup command.
  5. Wait for all copy operations to finish. Do not use cut-and-paste; the originals must remain on the PC until the backup is checked.

For a very large collection, copy in logical groups and record each completed group. File Explorer can report errors when a path is unavailable, a file is locked, or the destination fills. A successful copy of one folder does not establish that later folders copied successfully.

Check the local copy

Open the external drive and browse the backup as if the PC had already been erased. Open several files from different folders, including a recent document, an older document, a photograph, a video, and a project file. Compare folder counts or sizes for important directories and make sure filenames with unusual characters are present.

Do not format, repartition, or repurpose this drive for Windows media. Keep the backup in its own folder and safely eject it. If the drive is the sole local copy, disconnect it before booting the installer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Save the BitLocker recovery key

If device encryption or BitLocker is enabled, locate the recovery key before resetting or reinstalling. Microsoft’s Reset your PC guidance warns that encrypted devices may require this key during recovery work. Without it, an encrypted volume may remain inaccessible even if its physical drive is healthy.

Check the Microsoft account associated with the device for a saved recovery key, and retain the key somewhere you can reach while the PC is offline. If your organization manages the computer, its administrator may hold the key. Record the identifier that matches the PC rather than assuming that any key in an account belongs to this device. Do not store the only copy on the internal disk you are about to erase.

Create installation media on a separate USB drive

Microsoft’s Create installation media for Windows instructions require a blank USB flash drive with at least 8 GB of space. The media-creation process deletes the USB drive’s existing contents.

  1. Use a USB drive that contains no backup files, or copy anything important from it first.
  2. Run Microsoft’s installation-media creation process and select the Windows 11 media option appropriate for the PC.
  3. Choose the blank USB drive and allow the tool to create bootable media.
  4. Label the finished drive as Windows installation media and keep it separate from the external backup.

Never put your only file backup on the same USB drive used to create installation media. The installer is a bootable setup tool, not a personal-file backup, and its creation process intentionally removes existing contents.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Recovery Drive is a different tool

A Recovery Drive can help restore Windows or device recovery information, but it is not a copy of your documents. Microsoft states in Recovery Drive that “The recovery media doesn’t include your personal files.” Creating one also erases the chosen USB drive.

If you want both recovery media and installation media, use separate empty USB drives, or make sure anything on each drive is expendable. Keep your personal-file backup on the external storage or in OneDrive, not on either recovery medium.

Compare the backup and recovery options

Option Best use Important limits or checks
Windows Backup + OneDrive Selected user folders plus supported settings and app-related information in a Microsoft-account cloud workflow Confirm the folders selected, wait for synchronization, verify files in the cloud, and ensure adequate cloud storage. It is not a complete disk image.
External hard drive or USB storage A separate local copy of files that can be restored without internet access Capacity must cover the data being copied. Open representative files and compare the copied folders before erasing the PC.
Windows installation USB Bootable Windows setup for reinstalling the operating system Microsoft specifies a blank USB drive with at least 8 GB; creating the media deletes its contents. It does not back up personal files.
Recovery Drive Windows recovery files for restoring device state The recovery media excludes personal files, and creating it erases the selected USB drive.

Final pre-install checklist

  • Every user account and custom data location has been inventoried.
  • Selected OneDrive folders are synchronized and readable from the cloud.
  • An external-drive copy contains the important files and opens correctly.
  • Application-specific exports, browser exports, credentials, keys, and licenses have been handled where required.
  • The BitLocker recovery key is available outside the PC being erased.
  • Installation media is on a separate blank USB drive with at least 8 GB.
  • Any Recovery Drive is on another expendable USB drive.
  • The PC is connected to power, and the external backup has been safely ejected and disconnected.

Run the Windows 11 clean installation

With the checklist complete, insert the installation USB and restart the PC. Use the computer’s boot-device menu to start from that USB, then follow Windows Setup. Select the clean-install path only after confirming that the target disk or partition is the one you intend to erase. If several disks are listed, identify them by capacity and connection before deleting or formatting anything.

Keep the backup drive disconnected during this stage. That makes it harder to select the wrong disk and protects the local copy if setup displays multiple similarly named volumes. If Setup requests the BitLocker recovery key for an encrypted volume, provide the key you saved earlier. Allow installation to finish, complete the initial Windows configuration, connect to the network, and install available Windows updates before restoring a large amount of data.

Restore after Windows 11 is installed

Reconnect the Microsoft account and OneDrive

  1. Sign in to Windows with the Microsoft account used for the previous Windows Backup and OneDrive setup.
  2. Connect to the internet and open the Windows restore or backup experience when it is offered during setup or afterward.
  3. Choose the available backup to restore supported settings and app-related information. Review the selections instead of assuming every old setting is included.
  4. Sign in to OneDrive and wait for the selected cloud folders to become available. Verify that files open before removing any local or cloud copy.

Microsoft documents this account-based restore path in Transfer your files and settings to a new Windows PC. The exact items offered depend on what was backed up and what the current Windows setup supports. A restored settings profile should not be described as a reinstalled copy of every former desktop program.

Copy files back from the external drive

  1. Install updates and confirm that the restored Windows account has the expected permissions.
  2. Connect the external backup drive and open the dated backup folder.
  3. Copy files into the appropriate new user folders or chosen project locations. Avoid overwriting newly created files until you have compared names and dates.
  4. Open important documents, media, and project files from their restored locations.
  5. Keep the original external backup intact until the restored folders and critical files have been checked.

If a file opens with missing links or an application reports an unsupported format, restore the application and its companion data before judging the backup. Some programs store databases, catalogs, or presets in locations that are not obvious from the main document folder.

Reinstall applications and restore their own data

Download applications again from their official publishers, install required runtimes or drivers, and sign in with the appropriate accounts. Windows Backup does not establish that every third-party application, browser credential, custom plug-in, license, or private data store will return automatically. Use each application’s documented import, restore, or activation process and the exports you made before the clean install.

For browsers, import the bookmark file if bookmarks were not synchronized. For mail, calendars, password managers, development tools, creative software, and games, check their account-sync or backup features individually. Restore sensitive data only after confirming that the application is genuine and that you are signed in to the correct account.

Common problems and safe fixes

OneDrive shows missing or older files

Check the OneDrive web view, the account currently signed in, and the folder-selection settings. A pending sync, full storage allocation, excluded folder, or offline-only file can explain the difference. Do not erase the external copy while resolving the cloud discrepancy.

  • SuperSpeed USB 3.2 Gen 1 (5Gbps)

The external copy is smaller than expected

Compare the inventory with the destination one directory at a time. Look for skipped folders, copy errors, files stored on another internal drive, and application data hidden outside the standard profile. Recopy missing data to a new dated folder and verify representative files again.

Setup asks for a recovery key

Use the BitLocker key that matches the device identifier. Do not guess or delete encrypted partitions to bypass the prompt; doing so can make the data permanently inaccessible. If the PC belongs to an organization, contact its administrator for the managed key.

The installer USB is not offered as a boot device

Shut down, reconnect the installation USB directly to the PC, and open the manufacturer’s boot menu during startup. Confirm that the media was created on a blank drive meeting Microsoft’s 8 GB requirement. Keep the personal backup on a different drive while troubleshooting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A restored program cannot find its files

Install the program first, then use its own Open, Import, Catalog, Restore, or Data-location setting to point at the copied data. A simple file copy may not recreate permissions, services, registry entries, or version-specific paths that the application expects.

How long to keep the old backup

Do not delete the external backup immediately after Windows starts. Keep it disconnected but available until you have opened the files that matter, completed application setup, confirmed cloud synchronization, and recreated any required exports. Once the new installation has been used successfully and you have another verified backup cycle, you can decide how to retire or repurpose the old media.
