They cover different risks: restore points are not document backups, and a Recovery Drive does not contain personal files.
Which Windows 11 backup method should you use?
| Method | What it protects | Where the copy or recovery data lives | Best suited to |
|---|---|---|---|
| Windows Backup with OneDrive | Selected user folders and some Windows settings | OneDrive cloud storage linked to your Microsoft account | Accessing synced files from another device and restoring selected settings |
| File History | Versions of personal files in libraries such as Documents, Pictures, Videos, and Music | An external drive or network location | Recovering an earlier copy of a file, including when internet access is unavailable |
| System Protection | System files, installed applications, the Registry, and settings | Restore-point storage allocated on the PC | Reversing some unwanted system changes after a driver, app, or settings update |
For broader protection, pair a file-backup method with System Protection rather than treating them as substitutes. A separate copy on an external drive also covers situations where cloud access is unavailable; cloud sync and a locally stored backup address different failure scenarios.

1. Back up selected folders with Windows Backup and OneDrive
Windows Backup can sync selected folders to OneDrive and save certain Windows settings and preferences. Microsoft says its consumer Windows Backup setup uses a personal Microsoft account; work or school accounts do not work with this consumer app flow. If the PC is managed by an organization, check which account and backup options are allowed.
- Open Start, search for Windows Backup, and launch the app.
- Choose the folders you want to sync, such as Desktop, Documents, Pictures, Videos, or Music, and select the settings or preferences you want saved.
- Complete the OneDrive setup and confirm that the account has enough storage for the selected folders.
- To access synced files on another PC, sign in to the same account and open OneDrive.
Microsoft Support’s Windows Backup guidance, accessed October 7, 2026, states that a free Microsoft account comes with 5 GB of OneDrive storage. The page does not expose a publication date, and storage terms can change; check the current allowance in your account. This approach requires an internet connection and enough available cloud storage.

- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
2. Keep earlier file versions with File History
File History saves versions of personal files to an external drive or network location. Microsoft says it automatically backs up libraries that include Documents, Pictures, Videos, and Music. To include another folder, add it to a library. A connected external hard drive or portable SSD can serve as the destination, but buying or connecting a drive alone does not start a backup: File History must be configured, and the destination needs to be available for backups to run.
- Connect an external drive, or make sure the network location you plan to use is available.
- Open Control Panel > System and Security > Save backup copies of your files with File History.
- Select Turn on and confirm the destination shown for the backup.
- From time to time, make sure the drive or network location is accessible so File History can keep saving copies.
Restore a previous version without overwriting current work
- Open the folder that contained the file.
- Choose Restore previous versions, then select the snapshot you want.
- To inspect an older copy safely, restore it to a different location. Use the normal restore action only when you intend to replace the current file.
Microsoft warns that replacing the current copy cannot be undone. Restoring to a separate location lets you compare the older version first.

3. Use System Protection to roll back system changes
System Protection creates restore points containing system files, installed applications, the Windows Registry, and settings. It can help undo a problematic driver, software installation, or settings change. It is not a backup of personal documents and photos. Microsoft’s System Protection guidance, accessed October 7, 2026, says the feature is not enabled by default.
- Open Start, search for Create a restore point, and open the result.
- On the System Protection tab, select the system drive and choose Configure.
- Turn on system protection, set how much disk space restore points may use, and apply the change.
- Before a major system change, return to the System Protection tab and choose Create to make a restore point manually.
If Windows later develops a problem, open the System Protection controls and choose System Restore to select a restore point. System Restore targets system files and settings; Microsoft says it does not affect personal files. Restore-point availability depends on protection having been enabled and points being available.

What to do when Windows will not start or a file is missing
Prepare a Recovery Drive for boot and recovery problems
A Recovery Drive is a bootable USB recovery option to prepare while the PC is working. Creating it erases the USB drive, and it does not include personal files, so it cannot replace OneDrive or File History. Follow Microsoft’s current instructions for your device rather than assuming one USB capacity fits every PC.
Understand the limits of point-in-time restore and reset options
Microsoft’s current recovery guidance says Point-in-time restore requires Windows 11 version 24H2 or later and keeps restore points for up to three days. It rolls back changes made after the selected point. This is a version-sensitive recovery option, separate from System Restore, which targets system files and settings.

- Easily store and access 4TB of content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal

Other recovery choices, including Reset this PC and reinstalling Windows from installation media, can remove apps, settings, or files depending on the option selected. Microsoft warns in its Recovery options in Windows guidance, accessed October 7, 2026, that some recovery options can cause data loss. Back up personal files and keep your BitLocker recovery key available before starting a recovery action.

Try Windows File Recovery only as a last attempt
If a file was deleted and no backup contains it, Microsoft’s Windows File Recovery command-line app, available from the Microsoft Store, can attempt recovery from local storage. It is not a backup: Microsoft advises minimizing or avoiding use of the affected device to improve recovery chances. The utility does not support recovery from cloud storage or network shares.
