Back up your iPhone and confirm the backup finished before handing it over or erasing it. Then follow the instructions for your specific service route: Express Replacement, mail-in service, or an in-person appointment. The steps are not identical—especially for Find My, Wallet, mobile service, and returning the original phone.
Choose the service route before preparing the iPhone
Apple offers in-person service at an Apple Store or Apple Authorized Service Provider, mail-in service using a prepaid shipping box, and Express Replacement for eligible AppleCare customers. Availability, eligibility, fees, and logistics depend on the device, coverage, region, and service assessment. Start with the instructions Apple gave you for the repair rather than assuming every replacement follows the same process. See Apple’s iPhone service and repair options and Express Replacement Service.

| Service route | Preparation focus | Find My and logistics |
|---|---|---|
| Express Replacement | Back up first; transfer data and mobile service to the replacement, then erase and power down the original. | Use the return kit and shipping instructions Apple supplied. Express Replacement is an AppleCare benefit; eligibility and local terms vary. |
| In-person appointment | Back up, check syncing, turn off Apple Cash, remove Wallet cards and passes, and review Parts and Service History for “Finish Repair.” | Follow the appointment’s Find My instructions; bring identification and any requested items. |
| Mail-in service | Back up and follow the service-specific instructions Apple provides for the device. | Use the prepaid packaging and shipping directions supplied for that repair. Do not assume Express Replacement return steps or deadlines apply. |
Back up the iPhone and verify it completed
Apple supports backups to iCloud or a computer. Choose a backup destination you can access after service, and make sure the backup has finished before sending or erasing the phone. For an appointment, Apple also advises checking that the iCloud features you use have finished syncing; a backup and syncing are related but distinct preparations.

Prepare for Express Replacement
Express Replacement sends a replacement iPhone before Apple receives the original, subject to the applicable service terms. Apple’s preparation and return instructions are specific to this route.
- Back up the original iPhone. Use iCloud, a Mac, or a PC, and confirm the backup completed.
- Set up the replacement and transfer data and mobile service. Complete the transfer before erasing the original so you retain access to your information and cellular service.
- Erase the original. On the original iPhone, go to Settings > General > Transfer or Reset iPhone > Erase All Content and Settings, following Apple’s instructions for the arranged service.
- Power it down and pack only the iPhone. Put the phone in the smaller box and place that box in the larger supplied box. Apple says not to include a case, power adapter, cable, or other accessories; extras sent with the phone will not be returned. Follow any model-specific directions in your kit.
- Use the specified return method. Apply the supplied return label and use the courier or collection method named in the kit. Keep a receipt or proof of collection.
Apple’s current Express Replacement instructions describe a return window of 10 business days. They also say the card hold is released after the original is processed and coverage is confirmed; if the phone is not returned within that period, or is ineligible because of unauthorized modifications or severe damage, the hold may be charged. These are terms stated in Apple’s Express Replacement materials, not a universal promise for every country or service arrangement; check the local instructions and terms that apply to your case. See Apple’s Express Replacement preparation page and Express Replacement Service.
Prepare for an in-person appointment
Apple’s appointment checklist adds several steps beyond making a backup. Complete the ones that apply before you arrive:

- Capacity Display Variance: 1TB external ssd often appears as around 931GB on Windows. MacOS can show full 1 TB capacity. This is binary calculation difference and doesn’t affect SSD hard drive actual physical storage
- 1050 MB/s Speed: Instantly access to your files with blazing-fast 10Gbps external SSD read up to 1050MB/s and write up to 1000MB/s. LED Light indicates USB SSD instant activity
- Data Security: Solid state drives S.M.A.R.T. health diagnostics and adaptive TRIM optimizing data block management ensures consistent write speeds and extends the longevity of the portable SSD
- USB-C & USB-A Cable: Both cables featuring rapid USB 3.2 Gen2, this USB SSD effortlessly bridges devices, enabling seamless cross-platform file transfers and backup between computers, smartphones, tablets and iPhone
- Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity
- Confirm the iPhone backup and finish syncing the iCloud features you use.
- Turn off Apple Cash and remove cards and passes from Wallet.
- Check Settings for Parts and Service History and resolve any “Finish Repair” state if possible.
- Follow the Find My instructions Apple or the service provider gives you.
- Bring the iPhone, any accessories needed to explain the issue, a sales receipt if available, and government-issued identification. Check whether the location requires an appointment.
If the iPhone is unresponsive or you cannot complete a step, do what you can and contact Apple or the provider about the remaining preparation; Apple notes that some steps may be completed online. Never give another person your Apple Account password, device passcode, or account security details. If software support requires access to the iPhone, Apple says to remain present while the technician has access. Full guidance is on Apple’s service-appointment preparation page.

Do not treat “turn off Find My” as a rule that applies to every repair. Apple’s service-appointment guidance says Find My may need to be turned off. Separately, Apple’s Ready for Repair or Trade In flow can allow eligible devices running software version 27 or later to keep Find My on during eligible in-person service or trade-in processes. Eligibility and scope depend on the device and process, so use the instructions attached to your service request or confirm them with Apple or the Authorized Service Provider.
Apple explains the newer process at How to use Ready for Repair or Trade In; the appointment checklist is at Prepare your iPhone or iPad for a service appointment.

Restore the iPhone after service
A serviced or replacement iPhone may arrive erased. During setup, choose the iCloud backup you want to restore, or restore a computer backup using Finder or Apple Devices; iTunes applies in the older configurations Apple specifies. Check the backup’s date and size when selecting it, and keep the iPhone connected while restoration completes. Apple’s detailed steps are at Restore your iPhone from a backup.
Recommended Free Tools
If you set up the device as new and later decide to restore an older iCloud backup, Apple says you must erase the iPhone and restore it again. Newer backups created after setting up as new can replace earlier saved backups, so do not rely on an older backup remaining available indefinitely.
What the service estimate does—and does not—tell you
Apple inspects the iPhone to provide a personalized estimate. The final fee and service options depend on factors including model, coverage, region, damage assessment, parts availability, and local terms. There is no single fee or eligibility rule that can be applied to every iPhone replacement; check the estimate and terms for the specific service arranged. Apple’s overview is at Apple Service and Repair for iPhone.
