Use an app’s native, re-importable export when you need to restore its data, a readable export when you need to inspect or share it, and a separate backup when you need protection against loss of the working system. These are different jobs: synchronization keeps copies aligned, migration moves selected data between instances, export creates a copy, and backup is a recovery copy with known scope and restore requirements.
The exact process depends on the app and version. The workflows below cover Joplin notes and to-dos, Nextcloud groupware migration and calendar export, and administrator-level Nextcloud backups; they are not universal instructions for every open-source productivity app.

Choose the right kind of copy

Before relying on any export or backup, identify its scope, destination, and restore prerequisites. Keep a recovery copy independent of the app’s working data, and verify that you can restore it. App interfaces and commands can change, so check documentation for the installed version before acting.

Joplin is an offline-first notes and to-do application with several export formats. For a recovery copy, Joplin’s official export documentation describes JEX as a tar archive that can contain multiple notes and notebooks and can be re-imported into Joplin. It says the format preserves metadata including geolocation, updated time, and tags. Retain the archive separately from the active Joplin data.

Pick a format for the job

Choose the export option in Joplin for the scope you need—individual notes, notebooks, or all content—and preserve any attachments required for the result to be useful. The precise menu labels can vary by platform or release; consult the export documentation for your installed version rather than assuming an interface path.
When filesystem synchronization is useful
Joplin’s terminal documentation describes filesystem synchronization as storing notes, notebooks, tags, and other metadata as plain-text files. That can make the synced files visible for inspection, backup, or moving. Use Joplin’s documented sync workflow; editing the sync data casually can interfere with synchronization. Keep a separate recovery copy rather than treating synchronization itself as the backup.

How to move selected Nextcloud groupware data
The Nextcloud 35 user manual describes the User Migration App for moving specified groupware data between instances. It lists contacts and groups; calendars and events, including details and attendees; calendar app settings; and mail account parameters, aliases, and preferences. This is selective groupware migration, not a transfer of every app’s data or the whole server.

- On the source instance, open Personal settings and select the data you want to migrate.
- Export the selected data and download the generated file.
- On the destination instance, use the migration app to import that file.
Check the manual for the Nextcloud version in use and confirm that the data you need is among the supported selections. Do not assume that other apps, files, or server configuration are included.

Can you export a Nextcloud calendar to an ICS file?
Yes. The Nextcloud administration manual documents the calendar:export command for exporting a calendar in iCalendar, xCal, or jCal format. iCalendar conforms to RFC 5545, and the manual gives an example that writes a calendar to an .ics file. This is a calendar-specific copy, not an export of an entire user account or server.
Because command syntax and behavior are tied to the installed server version, consult the administration manual that matches your Nextcloud release before running it. Check the resulting file and its contents before relying on it as the only copy of a calendar.

What a Nextcloud server backup needs to cover
For a self-hosted Nextcloud deployment, backup scope is an infrastructure question, not just a matter of exporting one user’s groupware. Nextcloud’s operations guidance treats backup and restore as work that must account for all relevant data. Inventory the actual files, database, configuration, and app data in your installation, then verify a restore. The correct procedure depends on the deployment; the available guidance does not support one universal server-backup recipe.

The Backup App repository warns that the app does not store all Nextcloud data. Its first backup pass is uncompressed and can require at least as much space as the current setup; packing also uses temporary files. The app can be configured to use external storage as a destination, but destination capacity and the installation’s scope still need to be checked.

Configuration matters for encrypted backups: the Backup App documentation says the configuration contains keys required for restoration. When using encrypted configuration export, follow the app’s documented export procedure and securely retain the resulting key. A backup that is missing required configuration or keys may not be restorable.
Check a copy before you depend on it
- Scope: Confirm whether the copy covers notes, selected groupware, one calendar, or the full deployment.
- Fidelity: Check whether the format is re-importable and which metadata or attachments are explicitly included.
- Independence: Store a recovery copy separately from the live data and sync target it is meant to protect.
- Prerequisites: Note required apps, configuration, encryption keys, and destination-instance conditions.
- Restore: Test the documented restore or import process before treating the copy as dependable.
For another open-source notes, calendar, task, or office app, use its own version-specific documentation to establish what is exported and how restoration works. Joplin’s formats and Nextcloud’s migration or backup procedures should not be assumed to apply to other products.
